Time Account Snapshot Reportable with Story Reports

You can create Story Reports to get the time account balances as of a date by using the Time Account Snapshot table.

Configuration Requirements

You configure the generation of snapshot calendars.

The Time Account Snapshot calendar run is scheduled to generate the time account snapshot data.

Make sure that the Time Account Snapshot object is set to Secured under Configure Object Definitions.

You can only see this table when you use the Time Account Snapshot Data table.

New FMLA Dashboard and Integration of SAP SuccessFactors Time Management with FMLA Third-Party Providers for USA

The Family Medical Leave Act (FMLA) is a labor law that allows covered employers to provide employees with unpaid leave for certain medical and family reasons. This feature is designed to integrate with third-party providers to automatically generate FMLA-related absences and access them using a new FMLA dashboard.

When an FMLA request is received from the provider, the system checks internal configurations to determine which absences to create based on the FMLA reason and the employee. The system then generates the relevant absences automatically, complying with predefined configurations. We now have a dashboard that lists FMLA requests. You can filter by the employee name, request status, and absences processing status. You can also view the request period for FMLA requests.

Note

  • In the case of continuous absences, you can only use this feature for full-day absences. For intermittent absences, you can use this feature for half-day absences.
  • Only time account balances based on the FMLA request start date are considered.

We developed this feature to support the integration with third-party providers using an API and the automatic creation of FMLA-related absences. This automation ensures consistency, reduces manual work, improving efficiency when dealing with FMLA requests.

Configuration Requirements

  • You must be using SAP SuccessFactors Time Off.
  • You must have configured the API authorization using the Identity Authentication Service tenant tool.
  • You've created an API user in the SAP SuccessFactors system.

Role-Based Permission Prerequisites

You have the relevant FMLA permissions under User PermissionsMiscellaneous Permissions and under User PermissionsTime Management Object Permissions. Under Administrator Permissions, you must also assign the Manage Family and Medical Leave Act permissions to have access to the dashboard.

Support Absences in Weeks

You can now manage leave accruals and deductions in weeks to comply with legal requirements in Australia.

This functionality is available in SAP SuccessFactors Employee Central Time Off. You can access it by configuring leave types to support accruals and deductions in weeks. The system displays balances, replicates data, and handles leave payouts, manual adjustments, and termination payouts in weeks, while employees continue to request absences in days or hours.

This enhancement ensures compliance with legal requirements for leave management in Australia, where leave must be calculated in weeks.

Configuration Requirements

  • You have enabled Time Off.

  • Your Time Account Type unit must be set to weeks.

  • You must activate the Deduction field.

Note

The unit 'weeks' is only supported with permanent time accounts for Australia.

Customized Tokens for Time Off Alerts

As a system administrator, you can configure enhanced Time Off alert notifications using the Document Generation framework that supports additional tokens such that you can provide more contextual and dynamic alert messages on the home page to-do card and alert notifications.

Configuration Requirements

You need to use the onPostSave rule trigger on the Employee Time object to create the alerts as well as the Trigger Employee Time Alert Event() or Trigger MDF Alert Event() rule functions. Please note that you need to use the template mapping using document generation to customize the alert message.

Enable Yearly View in Team Absence Calendar

You can now enable the yearly view for the Team Absence Calendar on your own.

Before this enhancement, the enablement of team absence calendar required a support ticket to SAP SuccessFactors. All existing customers using the yearly view will have the new configuration setting enabled by default.

This change makes it easier for admins to enable this feature.

Go to Manage DataTime Management Configuration and set Enable Yearly Team Absence Calendar to Yes.

Enhanced Global Assignment Support in Workforce Availability

We've enhanced the Global Assignment functionality in the Workforce Availability feature. The delta load now includes new Global Assignment entries to ensure accurate replication of availability data in Consolidated Time Recording in S/4HANA.

The availability information is replicated for the following Global Assignment events:

  • Add Global Assignment: Whenever a new Global Assignment is added, a new event is created to replicate the availability data for host assignment period and update the records for home assignment accordingly.

  • Edit Global Assignment: If the Global Assignment end date changes, a new event is created to replicate the availability data for each of the changed dates.

  • End/Obsolete Global Assignment: If the Global Assignment ends, the workforce availability data stops replication of host assignment data after the end date of Global Assignment. If a Global Assignment is deleted, then the workforce availability data is also deleted for host assignment.

Configuration Requirements

Note

The OData V2 API for Workforce Availability is not publicly available for outside consumption.

  • Global Assignments are enabled in the system.

  • Go to Manage Data, and create a Global Assignment Configuration object.

  • Go to Admin CenterToolsTime ManagementConfigure Workforce Availability and add or update the company codes for both Home and Host assignments for which you want to replicate the data.

Suppression of Cancellation Email Notification on Editing Pending Absences

We have streamlined the email notification process to ensure that managers receive accurate information about absence modifications.

Whenever a pending absence was edited by an employee, there were two email notifications sent to their managers. One of the notifications indicated a cancellation of the original request and the other was about the edited corrections. This led to unnecessary confusion, as the original request was not actually canceled but merely adjusted. With the recent improvement, the cancellation email notification has been suppressed. Now, only one email regarding the corrections is sent, thus simplifying the communication and ensuring that managers receive accurate information about absence modifications.

Configuration Requirements

No configuration changes are required. The cancellation email notification is automatically suppressed.

Previously, two email notifications were sent. Now, only one email notification is sent when a pending absence is edited by an employee.

TLMTriggerTasks Job Available in Scheduled Job Manager

The TLMTriggerTasks job has been added to the Scheduled Job Manager.

The TLMTriggerTasks job triggers, for example, scheduled and automatic calendar runs, recalculation, and Time Sheet jobs. This change will help administrators to make sure the job is running successfully by checking the details with the Scheduled Job Manager. Previously, the TLMTriggerTasks job was not supported in the instance for either monitoring or scheduling. However, the system now supports monitoring of the TLMTriggerTasks job directly by using Scheduled Job ManagerJob Monitor. This allows users to track the status of the job without requiring access to Provisioning.

Note

Scheduling the TLMTriggerTasks job still requires access to the Provisioning system, and scheduling through the instance is not supported.

This is part of an ongoing effort to make Scheduled Job Manager the central self-service tool for managing and monitoring scheduled jobs.

Configuration Requirements

The TLMTriggerTasks job is available automatically in the Scheduled Job Manager.

Automatic Recalculation for Changes in Holiday Calendar

You can now activate automatic recalculations to be triggered for changes within the Holiday Calendar object.

If you activate recalculation in the Time Management Configuration object, you also have the option to activate Automatic Recalculation after Holiday Calendar Changes. For each change within the Holiday Calendar object, a Time Management Recalculation Event will be created, which recalculates all time data for all employees with this Holiday Calendar assigned.

This feature ensures data consistency and reduces manual effort.

Configuration Requirements

In the Time Management Configuration object, set Automatic Recalculation after Holiday Calendar Changes to Yes.

Replication of Employee Central Time Unit Weeks to SAP Payroll Infotypes/Tables Is Supported

You can now replicate time accounts in weeks to relevant infotypes and tables in an SAP payroll system.

Previously, absences were replicated only in unit days and hours to an SAP payroll system because Employee Central Time didn't support time accounts in weeks. According to legal requirements, Australia Long Service Leave is calculated in unit weeks. This change ensures compliance and provides a standardized approach for calculating leave entitlements.

Configuration Requirements

To use this feature, ensure you've configured the settings in Employee Central Time.

You must have installed the relevant support package in your Employee Central Payroll system:

  • SAP S/4HANA HCM (S4HCM 101): support package 27
  • SAP ERP HCM (EA-HR EHP8): support package F1

Please note that you can't use the feature as a whole until the support package mentioned has been released. The full documentation will be made available then too.

Replication of Permanent Time Accounts Supported in an SAP Payroll System

You can now replicate permanent time accounts from Employee Central Time to an SAP payroll system.

Previously, you could replicate only ad hoc and recurring time accounts. Now, you can replicate all time accounts available in Employee Central Time to an SAP payroll system. This enhancement improves compliance and streamlines payroll processes by enabling the replication of all time accounts to an SAP payroll system.

Configuration Requirements

You must have installed the relevant support package in your Employee Central Payroll system:

Support Recording of Time in Days on the Mobile Time Sheet

You can now display planned working times and record working times in unit days instead of hours on the Mobile Time Sheet.

The Mobile Time Sheet supported time recording only in unit hours for the duration users. With the new implementation, you can view the planned working time and record working time in unit days. The Approvals section on the Mobile Time Sheet UI shows time in days for both Planned Working Time and Recorded Time. Also, the time sheet summary shows the Planned Time and Recorded Time in days.

We're closing a functionality gap with this feature.

Configuration Requirements

  • Ensure that SAP SuccessFactors Time Tracking is enabled.
  • The Time Recording Variant is set to Duration in the Time Recording Profile.
  • The Time Recording Method is Positive in the Time Recording Profile.
  • Under Configure Object DefinitionsObject DefinitionTime Profile, the visibility of the timeSheetDayRecordingEnabled field is set to Editable. From Manage dataTime Profile, set the Allow Time Recording in Days field to Yes for the relevant Time Profile.

Automatic Synchronization of Clock In Clock Out Employees Supported for Leave of Absence

When an employee goes on a Leave of Absence (LOA) or returns from a LOA, it is no longer needed to perform a manual employee synchronization for Clock In Clock Out users.

When you create a LOA, the Job Information of the employee is updated with the appropriate employee status. When a Clock In Clock Out employee goes on a LOA or when the employee returns from a LOA, the Clock In Clock Out employee synchronization is now automatically triggered.

In the existing implementation, any change in the Job Information of employees triggered an automatic employee synchronization except for Clock In Clock Out employees going on or returning from a LOA. With the new implementation, Clock In Clock Out employees are automatically synchronized when they go for or return from a LOA.

A Clock In Clock Out employee can't clock time when on a LOA as the employee synchronization is automatically triggered when there is a change in the Job Information record of the employee.

In the current version a Clock In Clock Out employee can't clock time when on a LOA as the employee synchronization is automatically triggered when there is a change in the Job Information record of the employee. For example, an employee who went on a LOA on June 22nd and tries to clock time between June 22nd and July 4th will get an error message as shown in the preceding example.

In the current version, on return from a LOA, the Clock In Clock Out employee is able to view all the assigned time event types because the employee synchronization is automatically triggered.

In the previous version, when an employee went on a LOA, a manual employee synchronization was required, and the clock time options weren't available to the employee. When the employee returned from a LOA, the clock time options were made available to the employee only after manual synchronization. For example, a manual employee synchronization wasn't performed when the employee returned from a LOA on July 4th. As a result, the clock time options weren’t visible.

By enabling geofencing, an organization can prevent employees from recording time when they aren't within the desired location. The geofence capabilities for various roles can be explained as follows:

  • Administrator: As an administrator, you can:
    • Create, copy, modify, delete, activate, and deactivate geofences using the Manage Geofences page. A geofence can be of a circular or polygonal shape with a defined boundary. For more details, refer to the Related Information section.
    • Assign geofences to employees using the Create Clock In Clock Out Group page. You can assign multiple geofences to different Clock In Clock Out groups.
    • Ensure that employees are allowed to clock time only when they're within an assigned geofence.
    • Specify the type of time event types that require geofence validation. For example, clock in, clock out, and so on.
    • Define time event types that you can record outside the geofence.
    • Get the geofence details for every clock time action, so that you can view from the Manage Clock In Clock Out page and the Time Sheet UI. The geofence details allow for better traceability.
  • Employee: As an employee, you can:
    • Clock time using a mobile device only when within the assigned geofence.
    • View the distance from your current location to the nearest geofence.

Note

We are currently using Google Maps to render the maps shown in the application. If Google Maps isn't supported in your country/region, then you won't be able to use the Geofencing feature.

In the existing implementation, we only have an option to perform a location capture which provides the geographical coordinates of an employee's location when a time event is recorded. A manager has to then use these coordinates to cross-verify if the employee had recorded time when within the desired location. It was necessary to prevent employees from recording time when they weren't within the desired location.

Periodic Time Account Updates with Payout

The periodic time account update process now allows you to make multiple payouts with different pay components. This enhancement enables admins to pay out any remaining balances for working time accounts or time off in lieu accounts at the end of a period such as a year or month, which avoids manual payouts.

The configuration of payouts using business rules offers the flexibility to calculate the payouts using certain thresholds and distribute the balances across different pay components. The pay components are mapped to the wage types with different payment rates in Employee Central Payroll.

Configuration Requirements

You have an SAP SuccessFactors Time Tracking license.

You set up this feature by going to Manage DataPeriodic Time Account Update Profile and setting Update Type to Payout. You then configure the business rule for payout by using the plus icon next to the Update Rule with Payout field and assigning the rule to the field.

Enhanced Absence Recording in Consolidated Time Recording

Employees can now request absences using the Consolidated Time Recording UI in the SAP S/4 HANA Private Cloud solution.

The workflow approval process for both absences and attendances is handled in the SAP S/4 HANA system. The absences recorded in the SAP S/4HANA system are replicated in real-time to the SAP SuccessFactors system. These include the absences that are approved and the ones that are pending approval. You can record the absences for each day in the SAP S/4 HANA Time Sheet UI. You can only enter the duration or start time and end time of an absence. Any additional absence data such as attachment or custom fields can't be recorded from the SAP S/4 HANA Time Sheet UI.

Employees had to open two different browsers for requesting absences and attendances leading to a poor user experience. This solution provides a seamless user experience where employees can record both absences and attendances using a single screen.

Configuration Requirements

  • Ensure you have SAP SuccessFactors Time Tracking enabled.
  • Ensure that you've enabled Consolidated Time Recording under Admin CenterManage Employee Central Settings.
  • Go to Configure Object Definitions and set the field Absence Source to Editable for the Time Type object.

    Note

    The Absence Source field is editable only if Consolidated Time Recording is enabled.
  • Go to Manage Data and configure the Time Type by setting the Absence Source field as Consolidated Time Recording.
  • Assign the Consolidated Time Recording Absence time types to a time profile.
  • Assign this time profile to an employee who has an External Time Recording group assigned in Job Information.

Enhanced Time Valuation - Counting Records in a Time Type Group

You can now count the number of times an event occurs during a day.

We can now count the number of records in a time type group. For example, counting on-call duty for paying a flat rate depending on the number of occurrences in a day. The Create Time Record valuation type has access to several attributes of a time type group. For example, attributes that allow you to determine the rest period. This Create Time Record valuation type has been enhanced to determine the number of records in a time type group. Also, it is now possible to directly create a counted value. The result of this valuation type is provided as a time type group of category Counted Events and can be eventually replicated for payroll purposes. For more details, refer to the Related Information section.

In the previous versions, it was possible to count only the number of days an event occurred. There was a requirement to count the number of time records created during a day.

Configuration Requirements

  • In the Time Recording Profile, add a new time valuation of type Create Time Record.

  • In this newly created time valuation, set the Time Record Type to Counter Record.

  • The Counter Type must be set to Time Type Group.

  • Also, in Counter Record, the Time Type Group must be set to the Time Type Group for which you want to determine the number of records. For example, On-Call Time. The Time Type Group Attribute is set automatically to Number of Records.

  • Access the SAP SuccessFactors Time Statement from the SAP S/4HANA Cloud Private Edition ‘My Timesheet’.
  • Time recording for Global Assignments from the SAP S/4HANA Cloud Private Edition ‘My Timesheet’.

As an employee, you can now access the SAP SuccessFactors Time Statement from the SAP S/4HANA Cloud Private Edition ‘My Timesheet’ to know the details of your recorded times, absences, and time valuation results, such as overtime hours and premiums for a selected week. For more details on the SAP SuccessFactors Time Statement, refer to the Related Information section.

As an employee, you can also record time for your multiple global assignments from the SAP S/4HANA Cloud Private Edition ‘My Timesheet’.

Time Sheet Change Audit Document for an Employee Self-Service Scenario

Employees can now generate a Time Sheet Change Audit Document using the Time Sheet UI and review the updates made to their time sheet.

As an employee, you can access the Change Audit Document if you have the relevant permissions. You can create and view the change audit data for your own time sheet. As a manager or administrator, you can create and view the change audit data for your target population. At any point in time, a single user can generate only one Change Audit Document for one time sheet period. The Change Audit document will be available for download for up to 7 days, after which it will be deleted.

Note

In cases where the document generation is only partially successful, you can continue to download the document or generate a new document after a while.

The Time Sheet Change Audit document serves to track and document manual changes in an easy manner to ensure transparency and accountability for payroll and time inquiries, investigations, or any audit needs. For example, an employee may have forgotten to update the time sheet due to some reason and the employee's manager may have changed the employee's time sheet to record time on behalf of the employee. Using the Time Sheet Change Audit document, the employee can review who made the updates to the time sheet and when. This feature helps organizations to be compliant with regulations such as section 404 of the Sarbanes-Oxley Act (SOX), the US FLSA, and the US Federal DCAA timekeeping requirements.

Configuration Requirements

  • Ensure that you have a valid SAP SuccessFactors Time Tracking license and it's enabled.
  • Time Management is based on the Metadata Framework (MDF), which provides standard audit capabilities. You can use them to create the Time Sheet Change Audit document for your Time Management data. You must enable logging for the following MDF objects to be able to create the Time Sheet Change Audit document:
    • Employee Time Sheet
    • Employee Time Sheet Entry
    • Time Recording
    • Allowance
    • Allowance Recording
    • Employee Time
  • To enable logging:
    • Go to Admin CenterConfigure Object DefinitionsObject Definitions and select the object for which you want to create the change logs
    • Set the MDF Version History field to Complete History.

Half-Day Absences for Clock-Time Users in Mobile Time Off

In Mobile Time Off, clock-time users can now select the first or second half of a day when creating an absence request without having to enter the start time and end times.

Configuration Requirements

This feature is only available for clock-time users and for customers with an SAP SuccessFactors Time Tracking license.

You configure this feature by setting both the requestingWithAbsenceDayClassification field in the Time Type object definition and the absenceDayClassification field in the Employee Time object definition to Editable. You then go to the time types for which you want to allow half-day absences and set Requesting With Absence Day Classification to Half-Day Classification Possible.

If you only allow full day recording for a time type, the Absence Duration field becomes read-only and shows theFull Day value. Previously, the Full Day checkbox was hidden for time types that only allowed full day recording.

A validation check is added with the 1H 2023 release to block saving a Time Account Type with the Accrual Recalculation Posting Method Classic.

Deprecation Details

We're replacing the old time type configuration for short-term disability USA with the new configuration based on an absence pay scheme and absence pay policy.

Instead of creating one time type for each absence pay policy, you can now associate a time type with an absence pay scheme, and then assign both to the absence pay policy. This absence pay policy is then assigned to the relevant employee in the Job Information. The new process reduces the effort of creating one time type for each absence pay policy.
