You use the budget dashboards to access your budget information. The dashboard shows how much you have spent to date, including your pre-approved spending across an approver's budget. To access the budget dashboards, select Budget Dashboards from the Reporting tab. To view the Budget Overview page, you must have the Budget Owner, Budget Viewer, or Budget Approver role. Use the Budget Overview to view your budget quickly and to see how much your budget has been Spent is Pending, Remaining, or Unexpensed. As a budget owner, you should view your budget to make spending decisions or see how much is left on your budget. Also, compare one budget year with another. On the Budget Overview page, the bar graphs are color-coded, and they display the following percentages of your budget Spent, Pending, or Available. Green equals 80% or less, yellow equals 81 to 99%, red equals 100% or more. And when a budget reaches an Alert Limit, yellow, or Control Limit, red, the budget owner receives a notification email regarding the spent budget limit. The budget overview defaults to the current budget period. You can choose Period Budgets or Data Range budgets to view past budgets. For this training, we will use Cancel. If you have the Budget Approver or Budget Viewer role, you can view budgets shared by other owners in the Shared Budgets section. The shared budgets are prefixed with the budget owner's name. Select the list view icon to change from tile view to list view. You can expand the budget with the arrow icon to view the Spent, Pending, and Remaining amounts. First, let's select a budget to view the details. Use the Budget Breakdown, Top Spending Categories, and Spending trend to view the budget details and charts. To view the spending trend chart, select the right arrow. The spending trend chart is available in quarterly and monthly views. To see additional details on how much of your budget has been spent or is pending, scroll down to view the pending transactions, spent transactions, spending categories, and budget adjustment sections. When submitting expense reports, they show as pending transactions until the processor approves the report and the status is approved. The expense report is then moved to the spent transactions section. If a report is returned to an employee or recalled, it is removed for the expense report. from the pending amount. To review spending categories, select spending categories. The spending categories are listed based on the expense types. You can rearrange the list by selecting the column headers. To add budget adjustments, select budget adjustments. You can see all the adjustments made against this budget. You can also add an adjustment. Select Add Adjustment, complete all the fields in the window, and select Save to add the adjustment to the budget. For this training, choose Cancel. To export data, select Export Data. You can export spending data. Select a Data Type, Date Range, Product Category, and Transaction Status. Select the Product Category drop-down menu. You can filter the Product Category to All Categories, Credit Card, Expense, Invoice, Purchase Request, or Request. You can filter the Transaction Status to Pending and Spent, Pending or Spent. When you have selected your export specifications, choose Export Data to send the data to an Excel file. For this example, choose Cancel. To return to the Budget Overview page, select the Budget Overview link. To add a team budget, select Add Team Budget. Enter the required information in the fields. Budget Name, Budget Display Name, Budget Owner, Period Type, Fiscal Year and Currency. By default, the budget type is set as Team Account. Enter the Budget Amount. Select save.
