The SAP Learning analytics dashboard, accessible for SAP Learning Hub Subscription customers, provides powerful tools for tracking learning activities and certification progress in your organization. Below you will find guidance on how to answer typical reporting scenarios using the dashboard. This article covers both Learning Activities and Certifications use cases.

Tracking learner engagement: Are learners actively using their assigned SAP Learning Hub licenses?

The dashboard provides combined measures that aggregate data from both the SAP Learning Site and SAP Learning Hub Content Library. This single view helps you easily monitor license usage and learner engagement across platforms. To determine if learners are making use of their assigned Learning Hub licenses, you have several options:

  • The KPIs section on the “Learning Activities” page provides an overview of total ordered and assigned licenses, the total number of active learners, and the percentage of active learners across both SAP Learning Site and SAP Learning Hub Content Library.

  • For more granular insight into individual activity, the “Last Activity Date” dimension in the Learner view of the "Explore and Export Data" feature reveals the date on which each learner most recently engaged with the Learning Hub. This field takes into account learning activity both in the SAP Learning Site and the SAP Learning Hub Content Library. Furthermore, it includes engagement in key resources such as Practice Systems and Live Sessions, so you can be confident that any type of participation is tracked.

Measuring Time Spent Learning: How much time do learners spend learning?

Assessing the time investment of your learners is possible through a combination of dashboard insights and detailed data exploration.

  • The KPIs section on the “Learning Activities” page provides a quick overview of total and average estimated hours, plus detailed breakdowns by learning type (Learning Journeys, Courses, Live Sessions, Practice Systems) and number of engaged learners.

  • For a more detailed or individual-level analysis, you can leverage the “Estimated Hours” and “Learners” metrics. These are available in the dedicated views of the "Explore and Export Data" section: Learning Journeys, Courser, Live Sessions, Practice Systems, and All Learning Activities. By examining these data points, you can understand patterns in learner engagement and proactively support those who may need encouragement.

How can I get country/region-specific views?

  • There are several charts on the "Leaner Engagement” and “Learner Activities per Learning Format” sections that display data split by country / region, allowing for geographic analysis of learning activity:

  • Additionally, you can use the dedicated page filter to select specific countries / regions and view the dashboard data accordingly. Please note, filtering directly on individual charts is not supported; all filtering should be done through the main page filter.
  • When working with “Explore and Export Data" feature, you can use the “Country/Region” and “SAP Region” dimensions to further refine your analytics to the desired geographic scope.

How can I filter analytics data for a specific group of learners?

For organizations using the SAP Learning Hub private cloud version, or those with more than 100 user licenses, there is a capability to group learners through custom fields (1-4). When leveraging the self-service SAP Learning license management, administrators may assign up to four custom fields per learner. The custom columns become part of the data reflected in the majority of the views in the “Explore and Export Data" feature. As a result, you can easily segment and report on learning activities for distinct groups - whether by department, location, or another categorization that suits your organization’s needs.

Valid Certificates: How to obtain a list of learners with valid Certifications

To identify which learners currently hold valid SAP certifications, you have two primary options:

  • The quickest option is to leverage the predefined valid certifications export file.

To do so, navigate to the “Learning Achievements tab, then proceed to the “Explore and Export Data” section by pressing the respective button on the top right. In the preselected Certifications view, press the Valid Certificates button. This will trigger a csv file download that provides a list of all valid (active) certificates, using several built-in filters: certifications with status “Active”, Certification Exam Result: “Passed” and Test Type: “Base.”

To minimize duplicate records, only the “Learner Email Address” is retained for unique identification.

  • Alternatively, you can define a custom view the “Explore and Export Data” section.

Follow the above steps to navigate to the Certifications view. By default, a filter for valid certifications only is applied. You have the possibility to adjust the table by adding or removing dimensions/measures, using the Configure Table button. Use the Certified Learners metric to obtain the number of unique learners, or select the Valid Certificates metric if you need the total number of certificates rather than the number of learners. You may also apply additional filters, like country/region to have a more focused overview. After you’ve set up the desired tabular view, you may analyze the data online or download it in your custom format by pressing the Export Current View button.

You can remove unnecessary dimensions (such as Test Type or Certification Exam Result) from your view to streamline the dataset

Notes:

  • By default, the Certification view is restricted to certification activities for the current year. If you need all valid certifications, ensure the time frame covers the last 10 years. This is important because certified individuals’ data is anonymized after 10 years, per SAP data privacy policy as of June 2024.
  • If you observe multiple entries for a single learner in your certification data, please refer to the comprehensive explanation under the duplication issue.

How many certified individuals do we have per region or solution area?

You can analyze certification data by both Country/region and SAP Solution Area.

  • There are several charts on the Learning Achievements page that show the breakdown by Country/Region and SAP Solution Area.
  • Additionally, you can use the dedicated page filters to select specific countries / regions and/or SAP Solution Areas to view the dashboard data accordingly. Please note, filtering directly on individual charts is not supported for these dimensions; all filtering should be done through the main page filter.

For further analysis, in the Explore and Export Data sections, you can use the Certified Learners metric. You can drill down by SAP Region, Customer Country/Region (organization location) or SAP Universal ID Country/Region (the user’s actual physical location) dimensions to further refine your analytics to the desired geographic scope

Set the Activity date range filter to cover the last 10 years, which is the time frame evaluated in the Global SI report

  • When exporting data, apply the PartnerEdge Relevant filter and set its value to True. Only certificates relevant to the Partner Competency Framework are counted in the SAP Global SI Ranking.

How to identifying learners who need to complete UID setup

After March 31, 2025, only certificates held by learners with a compliant SAP Universal ID (UID) are considered valid. Therefore, the Valid Certificates export will exclude any learners who have not set up a compliant UID.

If you need to identify which learners have not yet completed their UID setup:

  • Use the predefined export in the Certifications view in the Explore and Export Data section.
  • Alternatively in the same view, set the date range from Start to December 2025. Make sure that Measure ‘Learners’ is selected and apply filter Compliant UID = ‘No’.

The Compliant UID is a derived field that may have the below values:

  • Yes: The certificate is linked to a compliant SAP Universal ID.
  • No: UID setup is incomplete; the learner must finalize the process as per SAP instructions
  • N/A: If a certification has been (or soon will be) retired, it cannot be linked to a SAP UID. In such cases, “Compliant UID” = N/A, and the learner must recertify.

How to identify learners who need to soon take a delta assessment to stay certified

To retrieve the list of learners who have not taken the required delta assessment needed for maintaining certification and are at risk of expiry, use the Certifications view in the Explore and Export Data section. Set the date range accordingly and apply filters:

  • Certification Status = ‘Active’
  • S-user Status != ‘Deleted’
  • Due Date Bucket = ‘Due Date <= 7 Days’
  • Recertification Needed = ‘No’

How to get a list of learners who need to recertify

To identify all learners who must complete full recertification due to exam or framework changes:

  • Use the Certifications view in the Explore and Export Data section.
  • Filter on “Recertification needed” = Yes or “Yes, manual check needed”.
  • The “Recommended Certification Alternative” field provides further guidance on the required certification for recertification, and you may also consult the SAP official documentation on certification portfolio to identify an alternative learning plan.

Understanding the Recertification Needed values:

  • Yes: The certification is or will soon be retired, requiring a new (replacement) exam for recertification.
  • Yes (manual check needed): No recommended alternative is defined; a manual review of the official PDF recommendations is needed.
  • No: The learner may remain certified by passing delta (update) assessments.
  • Done: The learner has successfully obtained a recommended alternative certification.
