In this section, you learn how to enable a requisition, so that your client can begin creating new jobs.

Steps to Enable a Job Requisition

To enable the requisition, follow these steps:

  1. Log in to Provisioning and select your instance from the List of Companies.

  2. Scroll to the Managing Recruiting section, and click Import/Update/Export Job Requisition Template.

  3. If the job requisition data model (JRDM) has the same template name (in the XML) as one that exists, the JRDM overwrites the existing template.

    If the JRDM has a different template name, a new template is loaded into the system.

Template Settings and Route Map

In this section, you learn how to select template settings and create a route map.

Form Template Settings

The following steps show you how to locate the Form Template Settings page, and create a route map from Admin Center:

  1. Navigate to Admin CenterCompany SettingsForm Template Settings.

  2. On the Managing Form Templates page, click the relevant requisition link.

  3. On the right side of the screen, from the dropdown menu, select the appropriate route map.

Update of the Form Template

To finalize updating the form template, follow these steps:

  1. On the Form Template Settings page, scroll down and select all the appropriate template settings.

    • Consider possible options, for example the button to add approvers, or to send the requisition back to a previous step.

    • Not all available settings work for requistions.

  2. At the bottom of the page, click Update Form Template.

Note
You can only associate one route map with a requisition template. Therefore, if your client has a different approval route or process for different types of jobs (for example, hourly or professional) you must create a different route map and a different requisition template for each type of job.
Note
Think of Due Date as a date when final approval is required.

Permissions to Create a Requisition

When implementing the Recruiting solution, permission to create requisitions should be granted to the appropriate people in the client company.

For the creation of requisitions, the following process outlines the initial steps to grant the specific permissions required:

  1. Go to Admin CenterManage EmployeesSet User PermissionsManage Permission Roles.

  2. Select the role to which the form creation permission should be added.

  3. Click the Permission... button.

  4. In the Permission settings dialog box, in the General User Permission section, select Permission to Create Forms.

  5. Select Others.

  6. Select the names of the forms that this role can create.

  7. Click Done.

  8. Log out of the instance, and log back in as a user with permissions for testing purposes.

    When permission has been granted, the Create New button is available on the Recruiting tab.

Note
Granting permission to create requisitions to all users is not recommended. However, if you wish to assign this permission to everyone in the company, you grant it to the role assigned to all system users. Doing this grants permission to all users for the Recruiting tab, and to create forms.

Business Example

The first step toward creating job requisitions is to load them in the system. In this exercise, you are required to enable a job requisition.

Task 1: Confirm that the JRDM is uploaded in Provisioning

Steps

  1. Log in to Provisioning and from the company list, select your instance.

  2. Locate the Managing Recruiting section and select the appropriate option to load a JRDM.

    To do so, scroll down to the Manage Recruiting section and click Import/Update/Export Job Requisition Template.

    1. Scroll down to the Manage Recruiting section.

    2. Click Import/Update/Export Job Requisition Template.

  3. Locate the JRDM provided and import the file.

    Browse for the file, JRDM_RCM.xml, in your course files and select Upload.

    1. Browse for the file, JRDM_RCM.xml.

    2. Select Upload.

  4. Open the JRDM from your course files with an XML editor.

  5. Verify that the template name of the JRDM matches the name loaded into Provisioning.

Task 2: Confirm that Language Packs are Enabled

Steps

  1. Navigate to Company Settings.

  2. Scroll down to Language Packs.

  3. Enable additional language packs: Deutsch (German), Español ‎(Spanish).

Task 3: Confirm that the Route Map is associated with the JRDM

Steps

  1. Log in to your SAP SuccessFactors instance.

  2. Navigate to Admin CenterCompany SettingsForm Template Settings and select the appropriate job requisition title.

    Hint
    The Action Search option in Admin Center is very useful. Start typing a word like "template" and your options display. There is no need to memorize icons.
  3. Connect the Job requisition short route map to the Hourly Job Requisition template you uploaded.

    To do so, select the job requisition route map from the list of route maps.

    1. On the right side of the screen, from the dropdown menu, select the Job requisition short route map.

  4. Enable an approver to be added to the route map.

    Select the Allow Add Approver/Evaluator checkbox and click Update Form Template.

  5. Select Enable form routing to previous step at the bottom of the page.

    Hint
    To quickly find the relevant content, use the search/find feature on your computer and type in a keyword on pages with lists.
    1. Scroll down to the Allow Add Approver/Evaluator checkbox.

    2. To enable an approver, select the Allow Add Approver/Evaluator checkbox.

    3. At the bottom of the page, click Update Form Template.

Task 4: Grant Permission to Create the Requisition

Steps

  1. To grant permission for the staffing department, managers and the system administrator, navigate to Admin CenterManage EmployeesSet User PermissionsManage Permission Roles.

  2. Open the permission role with the title Create Recruiting Forms.

  3. In the Permission settings section, select Permission..., and the General User Permission link.

    1. Move to the Permission settings section and select Permission....

    2. Select the General User Permission link.

  4. Select the Permission to Create Forms option.

  5. Select the Others option and select the Hourly Job Requisition.

  6. Press the Ctrl key and also select the Corporate Job Requisition.

  7. Click Done.

    Hint
    The job requisition form you uploaded may take a while to be refreshed here under Create Forms. Give it some time if you do not see it in the list right away. Another workaround is to select All forms.
  8. In the Grant This Role To section, confirm that the Staffing department and the Full System Administrator have permission to create requisitions from the selected requisition templates.

  9. Click Edit Granting to assign the permission to managers.

    1. Click Add... and assign managers from the Permission Group dropdown menu.

    2. From the Permission Group dropdown menu, select Managers.

    This enables all managers, including the hiring manager, to create the requisition.

  10. Click Done.

  11. Click Save Changes.

  12. Log out and then log back in as an administrator.

  13. Navigate to HomeRecruiting and verify the Create New button is available.

  14. Proxy as a member of the Staffing department, such as Paula Price.

  15. Navigate to HomeRecruiting and verify the Create New button is available.
