The Store is a central component within SAP Build Process Automation that offers prebuilt content created and curated by SAP that can be used free of charge. This content could contain prebuilt, directly usable packages, including templated automations, workflows, processes, process visibility dashboards, forms, and actions.

Business Scenario

A department within your company regularly creates Microsoft Excel documents that contain data about goods and materials that are required by the department. In order to trigger the purchasing process, purchase requisitions need to be created within the company’s SAP S/4HANA system. As it is a tedious task to go through the Excel list line by line and to create purchase requisitions for each required product manually, you as a (citizen) business process developer are given the task to implement an automation that creates the required purchase requisitions from the list automatically. The finished automation will free up your colleague’s valuable time. Before you start to create the automation from scratch, you browse through the SAP Build Process Automation Store. Fortunately, an appropriate Process Automation content is already available as a template in the Store. It makes your life easier as you only need to activate the content and adjust it in case of more specific requirements.

Task Flow

In the task of this exercise, you will perform the following steps:

  1. Browse for required Process Automation content in the SAP Build Process Automation Store.
  2. Open the imported Process Automation content.
  3. Create a new project from the Process Automation Template.

Task 1: Activate Process Automation Content

Steps

  1. Browse for required Process Automation content in the SAP Build Process Automation Store.

    1. From the SAP Build Lobby, open the Store.

    2. Use Process Automation to filter the available projects by Project Type.

    3. Use Template to filter the remaining projects by Format Type.

    4. Use the Products to filter the remaining projects by Microsoft Excel and SAP S/4HANA.

    5. Use the Sourcing and Procurement to filter the remaining projects by Line of Business.

    6. In the list of the remaining projects, select the appropriate project for creating Purchase Requisitions from an Excel file (Create Purchase Requisitions from Excel).

    7. Select the Add button in the upper right to add the content to your account. It might take a while until the content has been imported.

  2. Open the imported Process Automation content.

    1. Select the Open button in the upper right to open the content.

    2. In a new tab, you will see the overview of all artifacts within the package.

    3. Select one of the automation artifacts, for example, ProcessInputFile.

    4. As you are currently watching the released project version, you will notice that all the content is in a "view only" mode, thus, you cannot make adjustments.

  3. Create a new project from the Process Automation Template.

    1. Close the browser tab that opened in the previous step.

    2. From the overview of your imported Process Automation package, expand the menu next to the Open button and select Create from Template.

    3. Enter a name for your new Business Process project, for example PurchaseReqBot.

    4. Select Create.

      Wait a few seconds until the project is created.

    5. Open the project from the SAP Build Lobby.

    6. You will now notice that all the artifacts are editable. Therefore, you can adjust the project to your individual requirements. Note that before you can use the project that you created from the template, you need to Release it.

Congratulations, you have imported and activated your Process Automation content package.
