Using Configuration Center and Admin Alerts

Configuration Center overview

Configuration Center provides a holistic view of the configurations that are supported across SAP SuccessFactors.

With Configuration Center, we can do the following:

  • View SAP SuccessFactors application configurations.
  • Download configurations to a local machine.
  • Transport configurations and configuration bundles from a source tenant to a target tenant.

This is applicable to the following:

  • SAP SuccessFactors Employee Central
  • People Profile
  • Talent:
    • 360 Reviews
    • Cross-Talent Configuration
    • Goal Management
    • Performance Management
    • Succession
  • Qualtrics

Configure prerequisites for Configuration Center

Before using Configuration Center, certain settings must be enabled in the source and the target tenants. First the corresponding modules must be enabled in both tenants so that they become available in the Configuration Area.

  • For SAP SuccessFactors Employee Central: Employee Central V2 from Provisioning
  • For SAP SuccessFactors Talent Management: Performance Management, Succession Management, 360 Reviews, Total Goal Management.
  • Qualtrics: Qualtrics Employee Experience from the Upgrade Center

Moreover, the following switches need to be enabled from Provisioning:

  • Enable Generic Object
  • Enable the Attachment Manager

You also need the permissions related to the Configuration Center. You can find the relevant permissions by selecting the appropriate permission role and selecting the options for Configuration Center in the Administrator Permissions section.

Additionally, you will need to enable Admin access to MDF OData API permission or the View, and Edit Miscellaneous Permissions for the following MDF objects:

  • ExportConfigRequest
  • TransportConfigRequest
  • ExportConfig1ode
  • ImportBundle
  • ImportConfigRequest
  • ImportLogEntry
  • BundleDefinitionConfig1ode
  • ConfigBundleDefinition

You also need the permissions related to the Configuration Center. You can find the latest permissions needed for various SAP SuccessFactors modules on the SAP Help Portal:

Note

There are some technical gaps when using Configuration Center. For example, when you transport rating scales or route maps from the source tenant to the target tenant, if there's a rating scale or route map with the same name in the target tenant, it's replaced with the transported one. Viewing SAP SuccessFactors Application Configurations using the Configuration Center

You can view the following configuration type:

  • · Features Configurations: This refers to the Provisioning settings
  • · System Configurations: This refers to the settings in the SAP SuccessFactors application and how each setting interacts with each other based on a system settings file created automatically by the system or defined by the user MDF Object Definitions
  • · MDF Object Definitions: This gives the option to view and manage database object definitions, object relationships, and object hierarchy.
  • · Route Maps: A route map establishes the steps and roles that are involved in a performance review.
  • · Rating Scales: A rating scale is a tool used in Performance Management forms with which the reviewer assigns a score to the employee as a measure of performance.
  • · Templates: Online forms that are used by Managers and Employees to give ratings and comments on their goals, performances, or competencies. The form consists of several sections with configured features. Configuration Center supports Goal Management templates, 360 Reviews templates, and Performance Management form templates.

Drill down to the configuration group and choose the configuration type. You can view the list of configurations on the right panel of the screen.

Downloading SAP SuccessFactors Application Configurations using Configuration Center

Follow the steps below to download configurations:

  1. From the Action Search go to the Configuration Center.
  2. From Configuration Activities, go to Download Mode.
  3. Choose a Configuration Area from the dropdown and drill down to the configuration group. For example, select Talent -> Cross-Talent Configuration -> Matrix grid report icon configuration -> Rating Scale
  4. Select the configurations you wish to download. For example, at the Rating Scale level select the checkbox next to the Readiness rating scale.
  5. Enter a name and a description for your download request and click the Create button.
  6. Click the Initiate Download button.  You should get a message stating that your download request has been submitted. Click OK.  This will take you automatically to the Download Requests tab.
  7. On the Download Requests tab under the Action column select the configuration you just created and click Download.
  8. Save the file to your local system.

Your configurations are available to download for up to 7 days.

Similar steps can be used to transfer configurations from one company instance to another.  This requires more setup because both target and source systems must be configured to facilitate the transfer.

Track the status of each download request in the Downloads Requests tab:

  • Pending
  • Ready for Download
  • Failed
  • In Progress

Transport options in Configuration Center

Configuration Center can also be used to do the following:

  • Define Transportation Routes to pair source and target systems and allow the transfer of configurations between those systems
  • Monitor Transport Requests to see Exports, Imports and generate Import History reports.
  • Use Bundle Management to view and edit Configuration Bundles used for downloading configurations to a local system or for transferring between company instances.

Using Configuration Center

MDF Object Definitions can be added to a Transport Bundle from the Configure Object Definitions page.

Using Configuration Center, you can review or edit the MDF Object Definitions. Choose Classified to review or edit the MDF object Definitions that are identified and categorized by SAP SuccessFactors under a specific Configuration Area or Product. To review or edit configurations that are not categorized by SAP SuccessFactors, choose Miscellaneous.

Note
You can add MDF Object Definitions from the Configure Object Definitions page only to bundles that have not yet been transported to the target tenant.

Admins can continuously add configurations to the bundle and transport them using Configuration Center, after reviewing the changes. 

Filter capability in Configuration Center

You can now apply filters to narrow down your search results to view and download the required configurations or to transport the required configurations from one tenant to another.

You can use the Last Modified By, and Modified In filter options to search for configurations.

The filter options make it easier to find the configurations in each configuration group.

Note
You can view only 300 configurations. Apply filters to view fewer than 300 configurations.

Add an MDF object instance to a transport bundle

In the Manage Data page, you can add an MDF object instance to a transport bundle so that you can transport the instance to a paired target system using Configuration Center. This enhancement was added in the Manage Data page to eliminate manual configuration efforts for MDF object instances in the paired target system.

For a selected MDF object instance the option Add to Transport Bundle in the Take Action dropdown menu was introduced.

As a requirement, a transport bundle for the corresponding MDF object was created in Configuration Center. If the MDF object is secured, the necessary view and edit permission are set.

Note

For Custom MDF objects, the Add to Transport Bundle option is only applicable to object instances that belong to Configuration and the Non-User Transactional object categories.

For predelivered MDF objects, the availability of the Add to Transport Bundle option for an object is defined by SAP SuccessFactors.

Uncategorized object category: The Add to Transport Bundle option isn't allowed.

Enhancements to the Bundle Management and Configuration Activities

Here are the enhancements as of 1H 2023 release to the Bundle Management -> Actions -> View bundle configurations:

  • You can view the configurations that are added to the newly created bundle.
  • You can delete the configurations that added to the newly created bundle.
  • You can edit the configuration bundle details like Change Request ID and Bundle Description.
  • You can transport the bundle from one tenant to another using the Initiate Transport option.

Here are the enhancements to the Configuration ActivitiesConfiguration AreaTransport Mode tab:

  • You can add configurations to an existing bundle using the Add to Transport Bundle option. You can also see the number of configurations you've selected next to the Add to Transport Bundle option.
  • You can select multiple configurations within a Configuration Area and create a new bundle. You can also see the number of configurations you've selected next to the Create New Bundle option.
  • You can select configurations across different Configuration Area and add them to the transport bundle.

After selecting the configurations, the selected configuration groups will be highlighted. Transport is initiated from the Bundle Management tab. You can edit the configuration bundle from the Bundle ManagementActionsViewEdit option .

Admin Alerts

To use this feature, you need the Administrator Permissions -> Admin Alerts -> Configure Alert Types permission.

You can now configure the system to automatically acknowledge (auto-acknowledge) specific admin alerts after a defined amount of time.

For some admin alert types, the module specific applications have enabled the feature to acknowledge alerts. This is applicable for the following alert types:

  • Time Valuation
  • Periodic Time Account Update
  • Employee Time Calendar Creation
  • Termination End Handling Alert
  • Processing Paired Time Events for Time Sheet
  • Absence Segmentation
  • Reallocate Absences
  • Time Collector

For these alert types, you can now define an amount of time after which an alert is acknowledged automatically (auto-acknowledged). The applications define a maximum value after that, an alert is auto-acknowledged.

Up to the maximum value, you can configure the system individually with an amount of time specific to your requirements. After that, an alert is set to auto-acknowledged.

In the current version, the alert table includes an Auto-Acknowledged column. In the Configure Alert Type popup, you can now set the number of days after which alerts are auto-acknowledged. There's also a Retract Acknowledgment feature that you can use to revoke the auto-acknowledgment.
