Introduction to the APMe User Interface

Once you log in to APM Enterprise, you’re taken to the home page. On the upper right is the User Menu, which consists of six options: Quick Navigator, Favorites, Recent Data, Online Help, Workflow Case Notifications, and User Profile.

  • The Quick Navigator allows you to bypass the portal menus by typing the name of a page directly in the Search field.
  • Favorites displays a list of records flagged as a favorite by the current user.
  • Recent shows a list of the most recently accessed records.
  • Online Help opens a menu of various help options, including:
    • About – Displays the product version and release.
    • System Information – Displays information about the deployment environment and database
    • Data Dictionary – Opens a searchable data dictionary
    • Shortcuts – Displays a list of keyboard shortcuts
    • SAP Help – Opens the online help in a separate tab
  • Workflow Case Notification opens a workflow case notification search window.
  • The User Profile menu allows you to modify your user profile or log out of the system.

Portals

Most of your work in APM will take place in portals. Selecting a portal opens a menu of pages. Many menus also contain sub menus.

The portals are:

  • Manager Portal
  • Integration Portal
  • Administrator Portal
  • Credentialing Portal

Manager Portal

In the Manager Portal you’ll manage producers, view customer and policy information, run payouts, generate reports, and much more.

  • The Producers menu allows you to manage the details of every individual in the organization. All the information about each producer, including the Producer ID, tax ID number, address, Certifications, Licenses, and Insurance will be found here. You’ll also manage Holds and Manual Adjustments here.
  • The Customers menu gives you access to information about customers and their policies. You can also edit records, change producers, and assign policy identification.
  • The Payment Plans menu contains the schedule master and rules used to enforce compensation between the company and the broker. This is also where you can define the rate plans for Medicare Advantage.
  • Configuration allows you to manage Hold Types, Producer Roles, and Configure Indirect Hierarchies
  • The Processing menu contains transactions, retroactivity, and statements and vouchers. This section is also found under the Integration portal.
  • The Reporting menu contains Reports Audit History, and custom reports. Here you will also be able to configure the report templates and forms.
  • Correspondence contains the option to create, maintain, and generate letters and emails.
  • Workflow allows you to create, search and manage tasks, and search for Notes.
  • The Tools menu allows you to view messages and the application log, and activate users.

Integration Portal

In the Integration Portal, administrators manage the ways data flows in and out of APM.

  • The Inbound Data menu is where data is uploaded by means of automatic feed or manual import.
  • Record Search allows you to validate and modify data, as well as search for a specific record in any file.
  • Extracts Reports gives you the ability to search for and generate reports and statements.
  • Processing operates the computation and payout. This component is a limited version of the Processing tab found in the Manager portal.
  • Time Periods is used to add, update, and set the process periods.
  • Workflow allows you to create, search and manage tasks.
  • The Tools menu allows you to view messages and the application log.

Administrator Portal

The Administrator portal is intended for security and configuration of APM. This is where you can make high level changes to the system.

  • On the Security page, you can manage users and group security, customize your theme, and manage Sign-on settings.
  • System Activity allows you to monitor user and database activity.
  • The Configuration menu controls settings for codes, fields, entities, servers, and import formats. Modifications should only be performed by an advanced user or consultant.
  • Commission Settings allows you to configure periods, pay cycle, and license types.
  • Entity Configuration enables you to define various attributes at the Entity level. These attributes define controls when the entity is used for specific functions in other parts of the system.
  • The Dashboard Configuration menu allows the administrator to create and manage user dashboards.
  • The WorkFlow menu allows for adjustments to task schemes and types.
  • The Tools menu contains a SQL workbench intended for troubleshooting and debugging. This also allows for reloading and refreshing of application caches.
  • The Reference menu opens the Data Dictionary.
  • Finally, Logging provides a detailed account of the Application and Authentication Logs.

Credentialing Portal

The Credentialing Portal contains components used to manage producer compliance such as licensing and education.

  • The Certificates component contains pages for the broker License, Appointment, Contract, Insurance, and Background Checks.
  • The Producers component displays information about each producer, including the Producer ID, tax ID number, address, Certifications, Licenses, and Insurance will be found here. This component is the same as the one under the Manager portal.
  • The Workflow component allows you to create, manage, and search tasks.

In this lesson, you saw an overview of the APMe user interface.

Searching

When you open any page from one of the portals, by default you will be presented with a Master Search pane in which you can populate fields with any criteria. The Search button at the bottom of this pane will display all records that meet the criteria.

As an example, the image below shows the Producer Master Search. We’ve entered the name Jim Ford and selected the Search button to return Jim’s producer record.

The Data Dictionary

The Data Dictionary allows you to easily access a list of fields available on each form, and provides specific details regarding each field and form. This tool allows you to find information on any type of entity in the database, including:

  • Field Names
  • Data Types
  • Field Lengths
  • Foreign Key Relationships
  • Descriptions of field use
  • Code definitions or which code lookup types are used

There are two ways to access the data dictionary: from the Help menu, or by double-clicking a field or other label on a page. The image below shows the Data Dictionary page for the Producer entity, including a list of parent and child entities and fields. Each entity listed is a hyperlink that takes you to the page for that entity.

Exercise: Navigate the APMe Interface

In this exercise, you will log in to APMe and perform basic navigation tasks such as searching and setting a favorite.

  1. Log in to APMe.

    1. Open the URL provided by your facilitator.

    2. Enter your user ID and password.

  2. Search for a producer and set the producer as a favorite.

    1. From the Manager portal, select Producers.

    2. Select the Expandicon in the secondary navigation pane:

    3. In the Producers/Payees menu, select Producers.

    4. Select Search.

      The unfiltered list of producers is displayed.

    5. Search for a producer named Jackie Underwood.

      • In the Name field, type Underwood.
      • Select Search.

      The producer record for Jackie Underwood is displayed.

    6. Set Jackie Underwood as a Favorite.

      • Select the Star in the upper right corner.
      • In the popup window, enter the title Jackie Underwood.
      • Select OK.
  3. Update the User Profile

    1. Select the User Profile menu.

    2. Enter the name Alexander Smith.

    3. Set the User Time Zone to US/Eastern (ET).

    4. Set the email address to asmith@sabermanagement.com.

      Select OK.

  4. Find Producer data definitions in the Data Dictionary

    1. From the Help menu, select Data Dictionary.

    2. Type Producer.

    3. The parent entities, child entities, core and user defined fields are displayed.

    4. Close the window.
