Robert, our new consolidation consultant, wants to:
- Understand how to set up "Read-Only Cells" versus "Read-Only Blocks" and "Read-Only Entire Form".
- Get into the concept of the "Read-Only: Cells Where Data Entry Isn't Allowed" feature.
You can make individual cells read-only by selecting the cell or cells you want to display as read-only. Then, navigate to the Properties panel and choose the Cell View tab. Then select Read Only under Format.
When you run the form in the Enter Package Data app, read-only cells are displayed with a gray background. In the Cell Details, Read-Only Reason is Designed as a read-only cell.
If data entry is not permitted for a breakdown category, read-only cells with a gray background also display, whether or not the cell has been made read-only in the Manage Forms app.
You can make entire blocks read-only: select the block of cells you want to display as read-only and open the Additional Options (…) icon for this block. Choose Lock icon from the possible selections.
When you run the form in the Enter Package Data app, read-only cells display with a gray background and, in the Cell Details, you see Read-Only Reason is Designed as a read-only cell.
On the General Information tab, you can decide if you want the entire form to be read-only. If you select Entire Form, you can view but not enter a value in any of the data cells. The system does not accept any value.
When you run the form in the Enter Package Data app, a message displays that the form is in read-only.

The breakdown category 1B00 is assigned to FS item 111100 - Cash on hand as a basic data setting. If you check the configuration of this breakdown category, you find that the maximum selection for characteristic subitem in this breakdown category is Z-BC-TT-02.
If you check this selection object using the Define Selections app, you see that subitem 915 is included in the breakdown category selection and subitem 920 is not included.
As such, a posting on the combination of FS item 111100 and subitem 920 is not allowed.
The figure, Read Only: Cells Where Data Entry Isn't Allowed Feature, shows that, in the first block of the columns definition, subitem 915 is selected and, in the second block, subitem 920 is selected.
Subitem 920 is not allowed in connection with FS item 111100 - Cash on hand according to the breakdown category of this FS item.
If you select Read-only Cells Where Data Isn't Allowed in the General Information tab of your form wizard, the only cells you want to be read-only are the cells that do not allow data according to the breakdown category. When you run the form in the Enter Package Data app, the data cells where data is not allowed according to the breakdown category are read-only and show in gray. Why the cell is read-only is given in the cell details.
If you do not select Read-only Cells Where Data Isn't Allowed, you can make entries in all cells, even in cells where data entry is not allowed according to the breakdown category. In this case, the system runs a check when you save your data. An error displays if entries are made where data entry is not allowed. Why the cell is read-only is given in the cell details. It is the same reason as case 1.
It is worth deselecting Read-Only Cells Where Data Isn't Allowed when all data that displays in the form is allowed, for example, in a profit and loss (P&L) form with financial statement items in rows and functional area in a column. Deselecting this option can significantly impact on how long it takes to run and save the form, proportionate to the number of cells in the form.
