Considerations before creating a user in SAP Ariba

Monique Dupont is a new employee, and part of her responsibilities will include working in SAP Ariba as a Sourcing Agent. She needs to be created as a new Enterprise User, and needs help from her administrators.

Jenny has been tasked with adding Monique as a user in the system. She consults Marco, to ensure she has all of the correct data.

User accounts provide individuals access to SAP Ariba products. Before creating a user, there are implications on the type of realm the user is being added to, and what user information will be required.

Suite Integrated or Not Suite Integrated?

  • Suite integrated Realms

    In suite integrated realms, both solutions share the same common user, linked by the common user ID. The common user object contains information such as name, email address, default currency and locale.

    On the Procurement side, the user must also have a partitioned user. This object contains data such as shipping address and accounting information.

    Groups will be synchronized.

  • Non Suite integrated Realms

    In non suite integrated realms, common users exist as two separate common users in each application.

    On the Procurement side, the partitioned user data is still necessary.

    Groups are not synchronized.

It is recommended for customers to have their user administrators agree on a uniformed process when adding and maintaining user data as early as possible.

If a customer is deploying SAP Ariba Procurement solutions in tandem with SAP Ariba Strategic Sourcing, it is recommended for both teams to work together on user creation and have a process in place for Strategic Sourcing group assignments.

Required Information and How is it Managed.

Sourcing User Data Requirements

For Strategic Sourcing-only User data, the minimum information that is required to create an Enterprise user is their name, email, and login. Supplemental data can be added initially or after creation.

  • Manually through the User Manager interface
  • By manual imports and exports
  • Via integration

User-Related Import Operations

Depending on the suite integration scenario and user management tactics used by a company, there are other user-related imports that may be used to maintain group assignments and user data.

For manual imports within a Strategic Sourcing only realm, user data is typically imported using the Import Enterprise User task, selecting the SharedUser.csv.

User Licenses

Strategic Sourcing users can be considered "licensed or chargeable users" depending on their user group assignments, and access to projects. Customer Administrators need to make sure the number of licensed users is within the contractual entitlements.

What is a user license

A user license refers to the number of users and project owners in your site allowed by your contract with SAP Ariba.

In this context, a user represents an individual employee or contractor who is provided with access to perform activities and access functionality in your site.

What determines a user license

The SAP Ariba user either:

  • belongs to system groups to be able to create projects themselves

    -OR-

  • is listed as a Project Owner on a project workspace
    • A project owner represents an individual for whom one of the following is true:
      • Listed as owner on the Overview tab of a project
      • Included in the list of individuals in the Project Owner group on the Team tab
      • Included in a project group (as an individual or as a member of another group), where the project group is assigned the Project Owner role.
