Closing the Workshop Successfully

To ensure the continuity and impact of the workshop it’s essential to identify actionable next steps, assign responsibilities, and define due dates to maintain momentum toward realizing the AI use cases. Incorporating a feedback exercise at the end helps in gathering insights to enhance future workshops.

Before the session ends, it’s important to define next steps to ensure the workshop results don’t fade out. Remember that this workshop is just the beginning of an engagement, and there are still many activities to complete before the selected use cases become reality.

In a team discussion, decide on 4-5 action items to follow up on from the session. Document them in a next steps matrix, including the name of the person responsible for each task and the assigned due date. One of the next steps could be organizing a Business AI Design Workshop to detail the content for the selected use case with end users. If a use case wasn’t selected during the workshop, assign customers the task of choosing a use case to move forward with and agree on a date for a follow-up session to discuss their decision and define an action plan.

Finally, it is recommended to conclude the session with a feedback round, so you can improve future sessions. On a whiteboard, place two large post-its with the questions: "What did you like?" and "What do you wish for next time?" Ask participants to silently write down their answers to both questions. Then, have them share their feedback with the team and place their post-its on the whiteboard, allowing 1 minute per person.
