Confirming Notifications and Orders

Objective

After completing this lesson, you will be able to create Confirmations

Overview Confirmations

Key Terms used in this lesson

  • Time Confirmation

The actual time needed for a certain task is posted against the order operation within a time confirmation.

  • Technical Confirmation

Details to be documented such as damage, object part, cause are posted against the maintenance notification within the technical confirmation.

Before a maintenance task can be technically completed, the working times are entered in the time confirmation, and the activities, damages, and causes of damage are entered in the technical confirmation.

In the confirmation phase the following activities are performed:

  • Time confirmation
  • Technical Confirmation
  • Measurement / Counter Readings
Image shows three headings, Times, Activities, and Measurements/counter readings. Two headings have bullet points under them. Under Times, there are four bullet points: Individual entry, collective entry, overall completion confirmation, and time sheet (CATS). Under Activities, there are three bullet points: Activity reports, overall completion confirmation, and confirmation texts.

Time Confirmation

You can create time confirmations using the following apps:

  • Perform Maintenance Jobs
  • Find Maintenance Orders and Operations

After you enter completion confirmations for operations or sub-operations in a maintenance order, the system automatically assigns the PCNF (partially confirmed) status to those operations or sub-operations. As soon as all the operations or sub-operations in a maintenance order have been completely confirmed, the order itself is assigned the CNF (finally confirmed) status.

There is always a risk of completion confirmations being assigned to the wrong operations or sub-operations, or entered with the wrong data. Therefore, the system allows you to reverse completion confirmations, if required.

How to Create a Time Confirmation for an Order

Technical Confirmation

Within the technical confirmation the technical findings for the technical object are entered and form the basis of a subsequent evaluation.

Technical findings can contain the following information:

  • Cause of damage
  • Work executed (activities and tasks)
  • Damage and exact location of damage
  • Machine downtimes and system availability before, during and after the maintenance task (system availability)

You can enter the technical findings either in the malfunction report (the request that forms the basis of the order, if there is one), or in an activity report, which is entered after the creation of the order.

When you complete the maintenance notification, the system transfers the data to the notification history. The notification history is a part of the maintenance history and is the basis for analyses.

Object List

If the order includes several technical objects that were assigned to the order by the object list, use the object list to open a new maintenance notification for the respective object. This means that each technical object has its own technical confirmation.

If the order was created based on several notifications, these notifications are part of the object list, and these notifications can be used directly to record the technical findings.

SAP GUI Transactions

As an alternative to working in SAP Fiori Launchpad you can use the following transactions.

For the On Premise edition they are available via SAP GUI for Windows.

In addition, every transaction also has a SAP GUI for HTML version.

Transactions for Confirming Maintenance Orders:

  • IW41 - Individual Time Confirmation
  • IW42 - Overall Completion Confirmation
  • IW47 - Confirmation List
  • IW44 - Collective Time Confirmation Without Selection
  • IW48 - Collective Time Confirmation With Selection
  • IW38 - Confirmation via Order List (use Order >Confirmation >Collective Confirmation or Overall Completion Confirmation)
