How to Track Car Mileage Using the Scheduled Option

Learn to capture business mileage using the Scheduled option:

Steps

  1. Enable Drive.

    The scheduled option must be enabled to track mileage automatically. Select Enable.

  2. Turn ON the Scheduled option.

    By default, the Auto Capturing Mode is turned OFF. Drive is not tracking the location or any movements at this point. Select Scheduled to enable Drive.

  3. Set the daily schedules.

    Uses the toggle buttons to configure your daily schedule. Keep the toggle buttons ON for the days you want Drive to track your location and movements. Toggle to buttons OFF for the days you do not want Drive to track your location and movements.

  4. Adjust the sliding scales.

    By default, weekdays are set to capture the mileage from 8:00 a.m. to 5:00 p.m. You can review and make changes to the times, using the sliding scales.

    During the times selected, Drive will capture mileage when your vehicle starts moving and will end when your vehicle stops moving, creating an expense distance log.

  5. Turn ON the Add Directly To Expenses setting.

    If Add Directly To Expenses is turned OFF, you can review your trip in the SAP Concur mobile app and then select Upload to move it to Concur Expense.

    If Add Directly To Expenses is turned ON, the trip will automatically upload to Concur Expense once the trip is completed.

  6. Turn ON the Traffic Mode.

    Turn ON this setting if you expect heavy traffic or frequent short stops. It will improve tracking continuity and reduce the number of segments in a long trip.

  7. Select Bluetooth.

    This will prevent capturing mileage when using transportation other than your own. We recommend that you do not connect additional devices to your car while Drive is tracking a trip.

  8. Turn ON Use Motion.

    We recommend using this option to improve the accuracy of mileage captured. Once the Motion setting is enabled, Drive captures the movement of your car.

  9. Save the changes.

    Select Close to save the changes and return to the SAP Concur mobile app main menu.

  10. Start capturing the mileage.

    Now you are ready to use Drive. As soon as your vehicle begins to move, Drive captures the mileage and creates distance logs. You will receive notifications when the mileage capture starts and when the route is completed and saved.
