Building a Company Structure Overview

Objectives

The Company Structure Overview function

The Company Structure Overview allows organizations to include several visualizations of the parent/child relationships of their Organization Structure (Foundation Objects). Starting from a Legal Entity or a Business Unit, as an example, users can navigate through the organizational structure underneath (Divisions, Departments, Sub-Departments, etc). and visualize all the hierarchy details, including Employees, Position Count, FTE and other details.

Enable and set up the Company Structure Overview prerequisites

The Company Structure Overview can be enabled following these steps:

Navigate to Manage Employee Central Settings using Action Search, and turn ON the Company Structure Overview switch.

There are some generic objects that are needed to create Company Structures:

  • Company Structure Definition. To create and edit Company Structure Definitions from Manage Data or from the Company Structure Overview UI.
  • Company Structure Definition Item (Company Structure Definition.Items). This is a child object associated with Company Structure Definition (Parent). Allows to specify the available foundation objects and their associations for the creation of Company Structures in HomeCompany InfoCompany Structure Overview .
  • Company Structure UI Configuration. Allows to create and edit the UI configuration for the Company Structure Definitions created from Manage Data or from the Company Structure Overview UI, including the following options:
    • Threshold for Compact View. You can specify the threshold above which the child entities will be shown in compact view in the Company Structure Overview.
    • Show Photo for User Fields. You can specify whether the user fields will be shown with or without a photo in the card
    • Show Level. You can specify whether the level of the entity within the hierarchy will be shown in the card.
    • Start from Level. You can specify the number of the level to be used as the top level.
    • Level Display Mode. You can specify whether the level should be shown as icon or as text in the card.
  • Company Structure Entity Configuration (Object Configuration). This is a child object associated with Company Structure UI.
  • Company Structure Entity Visible Fields Configuration (Fields shown in card).

Navigate to Manage Permission Roles and grant the permissions for the MDF Objects using the table below:

Company Structure Overview - Administrator Permissions

Note

When displayed on an entity in the chart, the Employee and Position Count does not take the user's role-based permissions into account, but when displayed in the side panel it does take RBP into account.

Add Company Structure Overview in the UI

The Company Structure Definition and UI Configuration, can be created from Manage Data, but it is easier to do so from the Company Structure Overview UI directly.

If the administrator has the Access Company Structure Configuration permission from role-based permission, as well as access to edit the MDF Objects needed to configure it, they can navigate to the Configuration option and start adding a new definition.

The Root Entity will determine the object that will be in the top level in the structure. From there, you will be able to Add Child Entity or Add Parent Entity to start building up the hierarchy of the Company Structure Org Chart.

Note

When adding entities, it is important to keep in mind that:
  • Only MDF objects are supported, such as Legal Entity, Division or Position, but XML Foundation Objects, like Location or Geozone will not be available.
  • Only fields and valid-when relationships are supported. If Department is associated to Division as a valid-when relationship, Department will be selectable as a child entity of Division. On the other hand, department and position could be configured as parent/child entities, using field as a relationship type, since Department is one of the fields in the Position object definition.

In the next steps, once the Root Entity is added, you can edit the layout and add child entities (and parent, if available)

When saving all changes, select the Validate option to confirm all the configuration is correct.

The structure configured will be now available in the overall Company Structure Overview.

Access the Company Structure Overview

To access Company Structure Overview (CSO), users can navigate to HomeCompany Info and select the sub-tab Company Structure Overview

Additionally, a new deep link allows to access CSO from different options, like a Custom Navigation link or a Custom Quick Action on the Home Page. Below, there's an example of both options that were created using the standard deep link to navigate to Company Structure Overview (/sf/orgchart?type=entity)

Hint

The Deep Link to access Company Structure Overview allows for additional parameters, such as
  • objectType=<value>
  • evaluationPath=<value>
  • instance=<value>
These parameters can be included into the deep link to make it more specific and navigate to the right Company Structure Overview UI. To do so, check the URL when navigating to that specific location, and get these parameters to include in your deep link.

Example of a Dynamic Deep Link for Company Structure Overview

In the following example, we would like to update a Custom Quick Action that navigates to the Company Structure Overview page, to instead navigate into a specific company structure (BU_View) and display the structure under the Business Unit=Corporate Healthcare.

  1. First, navigate to the specific location where we would like to create the new deep link. When accessing to the location, the new parameters for objectType, evaluationPath and instance will be generated.
  2. The following step is to copy from &objectType until the end of the URL as seen below.
  3. On the next step, navigate to Manage Home Page and locate the custom quick action and change the navigation details, to include these parameters.
  4. Once it is saved, the new link will redirect into the Company Structure Overview specific to the Business Unit=Corporate Healthcare

Navigate the Company Structure Overview UI

The following screenshot displays the options visible within the Company Structure Overview UI

  1. Company Structure Definition
  2. Based on #1, you can select the entity (example: Division)
  3. Based on #2, you can select the from the entity records (example: Industries (IND) division)
  4. Add the view (based on #1 #2 #3) to your Favorites.
  5. Select the effective date to view the Company Structure Overview
  6. Zoom In/Out
  7. View list of Favorites.
  8. Add a new entity record (example: create a new Division)
  9. Access Company Structure Configuration

Additional options (A), refer to access Insights, export Company Structure Overview as a PDF/Image, Hide Top Navigation, or Configure Sorting by Entity.

Configure and use the Company Structure Overview

Your customer would like to set up the Company Structure Overview and create a Company Structure Definition. Within the company structure, the Employee and Position Count should be visible.

Steps

  1. Enable and set up permissions for the Company Structure Overview

    1. Log into the instance and navigate to Manage Employee Central Settings using Action Search.

    2. In the Others section, verify that the switch for Company Structure Overview is enabled.

    3. Navigate to Manage Permission Roles using Action Search, and select the System Admin role.

    4. In Miscellaneous Permissions, make sure to grant the following permissions to the MDF Objects for Company Structure Overview. Enable all the permissions available for:

      • Company Structure Definition
      • Company Structure UI Configuration
    5. In the Administrator Permissions category, locate Company Structure Overview and enable all the permissions available:

      • Access Company Structure Overview
      • Change Display Date of Company Structure Overview
      • View Employment Count in Company Structure Overview
      • View position Count in Company Structure Overview
      • Access Company Structure Overview Configuration
      • Create Entity from Company Structure Overview
    6. Select Done and Save Changes.

    7. Log out and log back into the instance to reflect the permission changes.

  2. Create and configure a Company Structure Definition from the Company Structure Overview.

    1. In the Company Structure Overview, select the Configure option (cog icon on far right).

    2. Select + Add to add a new Company Structure Definition, and include the following details:

    3. Select Apply.

    4. Select the Business Unit card and select the option Edit Layout.

    5. Add the following details (leave the other options as-is):

      • Color: Choose your preferred color.
      • Visible fields: Business Unit Code
      • Visible user fields: Head of Unit
    6. Select Apply.

    7. Select again the Business Unit card to Add Child Entity and select Division.

    8. Repeat the steps and Edit Layout for the Division, adding the following details:

      • Color: Choose your preferred color.
      • Visible fields: Code
      • Count people: Division
      • Count positions: Division
    9. Select the Division card to Add Child Entity.

    10. Select Position.

    11. Select Edit Layout under Position, and add the following details (select bold/italic and organize fields to your preference):

      • Color: Choose your preferred color.
      • Show incumbents: Select the checkbox.
      • Visible fields: Position Code, Department, Job Code and Incentive Plan.
      • Count people: Position
    12. Select Save to save the Company Structure Configuration.

    13. Select Validate and ensure the results are correct and your configuration is valid.

  3. Verify your results from the Company Structure Overview.

    1. Navigate back to the Company Structure Overview menu, and select the Business Unit View structure definition you created in the previous step.

    2. In the Search dropdown, select Business Unit.

    3. In the next dropdown, select Corporate Industries (ACE_IND).

    4. Select the Division Industries (IND) and expand the child entity (Position)

    5. Verify that you can display all the positions under this Division.

    6. Add this Company Structure Overview to your Favorites, selecting the star icon.
