Identifying Continuous Performance Management Integrations

Objective

After completing this lesson, you will be able to identify the integration points between Continuous Performance Management and other SAP SuccessFactors modules

Continuous Performance Management and Continuous Feedback in the Home Page

In the Home Page, users will be able to access Continuous Performance Management from Quick Actions and Engagement Cards:

Quick Actions

  • Request Feedback: You can send a feedback request to someone else, including a feedback topic and at least one question. The recipient will receive a Feedback Request in the To-Do panel (Task Center), and will be able to provide feedback directly from there.
  • Give Feedback: You can give feedback to someone else, including a feedback topic and at least one question and the corresponding response. The recipient will be notified and the feedback given will be visible in the Feedback Received tab within the Continuous Feedback menu
  • Create Activity: You can create Activities directly from the Home Page quick card.

Engagement Cards

  • Activity Cards: Show recent activities on the user’s Home Page. More than one activity is stacked under the top activity. Choosing View All expands to show all activity cards.

    The Activity card shows updates to activities created by a user. Updates also include activities by the user’s manager, for example, adding comments to the user’s activities.

Note

There are some limitations on the Quick Actions and Engagement Cards related to CPM in the Home Page.
  • On the Home Page, once the Create Activity quick card is enabled from Manage Home Page, it will be visible to ALL users (regardless of whether they have Edit Activity permission granted to them). If a user does not have the Edit Activity permission, once they try to create an Activity via the Home Page card, they will not be able to save the Activity.
  • The Add Attachments to Activity functionality is not available from the Create Activity quick action card dialogue. The work around is to create the activity directly from Continuous Performance Management.
  • Feedback Requests do not display as an Engagement Card. The user has to navigate to the To-Do Panel to access the request.
  • The Activity card does not support multiple role functionality. An Activity card is shown only when a manager makes an update and not when another channel owner makes an update.

Integration of Continuous Performance Management with other SAP SuccessFactors Modules

Continuous Performance Management (CPM) can be integrated with several SAP SuccessFactors modules and some other external integrations.

Note

Those integration points marked as * are not in scope for this training and are just mentioned as a reference.

Integrations with Continuous Performance Management

CalibrationAccess to Continuous Performance Management Achievements link can be shown in a dropdown option for the Calibration Session.
Microsoft OutlookIf enabled, users will be able to give Continuous Feedback to others within their target population, directly through an add-in in Outlook (not supported in SSO environments).
Career Development Planning*Continuous Performance Management Achievements can be linked to goals and displayed on the Development Plan, including feedback received. The Continuous Performance Page can be accessed directly from the mentee card to create a 1:1 channel between mentors and mentees for ongoing meetings and activities.
Compensation*Access to Continuous Performance Management Achievement view can be enabled in a Compensation Plan template and shown on the dropdown list for the Compensation worksheet.
Microsoft 365*With the integration of SAP SuccessFactors and Microsoft 365, users can now use Continuous Feedback of the latest Continuous Performance Management right inside Microsoft Teams. In Teams, users can enter the SAP SuccessFactors app and request feedback to others, as well as giving feedback (reply a feedback request received).

Goal Management

Continuous Performance Management can be linked to your default Goal Plan, and it is available for both GMv12 and Latest Goal Management versions. There are some differences in functionality depending on which version you use.

Note

At this stage, your instance is using the Latest Goal Management version, once you upgraded it at the beginning of this course.

In GMv12 Goal Management version:

  • Continuous Performance Management standalone Achievements and Activities tagged as Achievements will be visible on the Goal Plan. The number of achievements linked to a goal will display on the goal plan view. The number contains a link to a pop-up window with details of the linked achievements.
  • Continuous Feedback linked to the Activity/Achievement is visible in the goal plan.
  • Achievements and Feedback are pulled into the Goal Section in a Performance Form.
  • Integration needs to be enabled in Manage Templatesselect Goal Plan templateGeneral SettingsDisplay Continuous PM Achievements on your goal plan.

In Latest Goal Management version:

  • Integration is automatic.
  • Users can create and view activities directly from the goal plan.
  • Only activities tagged as achievements display in the goal plan.
  • You’re shown activities in the goal plan. Feedback is linked to the activity details.

Note

Make sure that Access to Continuous Performance Management Data is selected in role-based permission under User PermissionsGoals.

From Continuous Performance Management, goals can be created using the Create Goal button. The Create Goal option is only available for Performance Goals, and visible from the Activities view or on a Meeting.

Performance Management

Achievements can be integrated with Performance Management form templates.

In a Performance Goals and/or Development Goals section you can display an Achievements tab. Within that tab, there will be achievements recorded during the performance review period. The Achievements tab can be permissioned within the form XML, and the CPM data will respect Role-Based Permissions.

To configure integration of Continuous Performance Management and Performance Management forms, navigate to Form Template Settings from Action Search, and select one of the Performance Management form templates to enable the integration.

There are several settings that you can enable:

  • Enable Achievements tab in Performance Goal Section
    • Display Achievement Feedback for Performance Goal Achievements
  • Enable Achievements tab in Performance Development Goal Section
    • Display Achievement Feedback for Development Goal Achievements

The access to the Achievements tab in a Performance Form can be controlled via tab permission in XML by using tab refid="achievements".

Calibration

Achievements can be displayed within a Calibration session. The Calibration Template can be configured to show Achievements as an additional point of information for Calibration participants to view.

To configure integration of Continuous Performance Management and Calibration:

  • Navigate to Manage Calibration Templates from Action Search.
  • Select the Data tab.
  • Select Others if not already selected.
  • Select the option Allow Access to Continuous Performance Management Achievements

Microsoft Outlook

Enable Continuous Feedback Outlook Integration: With this option, users can give feedback from a Microsoft Outlook add-in. This option requires you to set up mapping between SAP SuccessFactors user attributes and Microsoft Active Directory.

  • Navigate to Continuous Performance Management Configuration, from the Action Search bar.

  • Select the Enable Continuous Feedback Outlook Integration.

  • Follow the steps required.

Note

To configure this integration, check the requirements and steps in the Using Continuous Performance Management guide, available in the SAP Help Portal. This integration is not supported for SSO (Single Sign-On) environments.

Career Development Planning

Activities in CPM can be linked with development goals and, like in Goal Management, there are two possible versions of Development Plan (Development V12 and Latest Goal Management).

Achievements can be integrated with Career Development plans. If desired, the number of achievements linked to a development goal will display on the development goal plan view. The number contains a link to a pop-up window with details of the linked achievements.

To configure integration of Continuous Performance Management and Career Development Planning:

In Development V12:

  • Navigate to Manage Templates and select the Development tab.

  • Open the Development Plan template in which you want to include the Continuous Performance Management Achievements.

  • Select the General Settings tab.

  • Select Display Continuous PM Achievements on Development goal plan.

  • Select Save.

In Latest Goal Management version

  • Integration is automatic.
  • Users can create and view activities directly from the development plan.
  • Only activities tagged as achievements display in the development plan.
  • You’re shown activities in the development plan. Feedback is linked to the activity details.

Configure, Permission, and Use Continuous Performance Management and Continuous Feedback

Business Example

As the implementation consultant, you will configure, set up the permissions and use Continuous Performance Management and Continuous Feedback.

Note

Continuous Performance Management is enabled in Performance Management Feature Settings and all the initial configurations, including Continuous Feedback feature, have been already set up in your training instance.

Task 1: Enable and Grant Permissions for Continuous Performance Management

Learn how to enable Continuous Performance Management in the instance, and grant permissions to the administrator, all managers and employees in the organization.

Task 2: Enable Continuous Performance Management Configurations

Learn how to validate Continuous Performance Management configuration, enable additional features and grant the additional permissions to the administrator, all managers and employees in the organization.

Steps

  1. Enable Continuous Performance Management configurations.

    1. Navigate to Continuous Performance Management Configuration using Action Search.

    2. In General Configuration , choose Validate button to validate configurations. If you receive any error, refer to the note above to troubleshoot.

    3. Leave Activities View as the Default View when navigating to Continuous Performance Management.

    4. In the Activity Status Label menu, change the Paused status label to On Hold. Click away to save changes.

    5. In Feature Configuration, verify that the following features are already enabled:

      • Enable "Discussion Topic"
      • Enable Meeting Notes
      • Enable Multiple Role Support
      • Enable Continuous Feedback
      • Enable Activity Feedback Linking
      • Enable Attachments on Activities
    6. Enable these additional options:

      • Disable Deleting Feedback
      • Hide the meeting histories of previous managers from the new manager
      • Automatically Hide Prior Feedback Requested or Given by Former Manager from the New Manager.
    7. Choose Save Configuration .

  2. Grant additional permissions to the Employee Search role:

    1. Navigate to Manage Permission Roles using Action Search.

    2. Locate the Employee Search role, and select the Edit option from the Actions column.

    3. Select Next to navigate to step 2. Add Permissions.

    4. Enable the following permissions under the category Continuous Performance User Permission:

      • Request feedback from others
      • Limit about whom feedback can be requested
    5. Select Next to navigate to step 3. Preview and then, select Save to save your changes.

    6. Log out and log back in to reflect the permission changes. You can also use Proxy Now function.

Task 3: Explore Continuous Performance Management as an Employee

Learn how to navigate and use Continuous Performance Management as an employee.

Steps

  1. Entering the instance as an employee, go to the main menu and navigate to Continuous Performance. Complete the following actions:

    • Create two activities.
    • Add a link to one of your Performance Goals for the first activity.
    • Post an activity update on the second activity.
    • Complete the second activity and mark it as an Achievement.
    • Select View Meeting to start the discussion with your manager and verify that you can see your recent changes.
    • Add a Discussion Topic.
    • Add a private note in Meeting Notes and save it.

Task 4: Explore Continuous Performance Management as a Manager

Learn how to navigate and use Continuous Performance Management as a manager.

Steps

  1. Entering the instance as a manager, go to the main menu and navigate to Continuous Performance. On the Active Channels column, select your employee. Complete the following actions

    • Create an Activity on behalf of the employee.
    • Change the link to a different Performance Goal for the first activity. If there is no other goal, you can create a goal on behalf of your employee and link it to the activity.
    • Post an activity update on the second activity and verify that you can see employee’s update.
    • In the Achievements View, verify that you can see the achievement that the employee marked from an activity.
    • Send a feedback request on behalf of the employee to one of your direct reports.
    • Select View Meeting on your employees channel and verify that you cannot see their private note. Mark your employee’s discussion topic as discussed.
    • Select Finish and Add to Meeting History to capture the meeting.
