Converting Templates in Latest Goal Management

Objective

After completing this lesson, you will be able to enable the latest version of Goal Management and convert a template

Legacy Templates and Latest Goal Management

Once an instance is upgraded to the Latest Goal Management, all the existing templates will be placed into a read-only mode until they are converted.

If you need to continue using some of your existing templates, you will need to convert them for compatibility with Latest Goal Management within Manage Templates. Convert only those templates that you are currently using going forward. It is not necessary to convert every single template. New templates created will not require any conversion.

Note

The templates converted will retain their ID. The original template is copied with a new ID and renamed as Original Name Backup in a read-only mode.

Any fields no longer relevant, will be set to optional (not required), and while they will remain in the template, they will not be shown in the UI.

Template Conversion for Compatibility with the Latest Goal Management

All Goal Plan Templates are listed in Manage Templates.

When the instance is upgraded to the Latest version of Goal Management, any new templates added from Manage Templates with the Add A New Template button (SuccessStore) or imported via Provisioning will be already compatible. However, those existing templates created BEFORE the instance was upgraded cannot be used in the latest version unless they are converted in Manage Templates.

In the figure below, notice that:

  1. The Basic Goal Plan is a template created after the upgrade. It is ready to use in Latest Goal Management and no action is required.
  2. The Extended Goal Plan with the green arrow-up icon must be converted, unless it is not needed for the current/future cycle.
  3. The goal plan templates with the green checkmarks, were originally created in the legacy version, and have been successfully converted for compatibility with Latest Goal Management.
The template names, Basic Goal Plan, Extended Goal Plan, Goal Plan and Training Goal Plan are highlighted on the Goal Plan tab in the Manage Templates section.

When converting the templates, there might be some changes on the field attributes. In a later unit, you will explore in more detail all the field definitions that are part of a goal plan, but this is a list of the changes that will be applied during the conversion (as long as these fields exist in your goal plan template).

Fields

  • The name field will be always required and become the first field to display on the user interface when users create a goal. The maximum number of characters allowed for the goal name, which displays as max-length in the XML template, will be set to 500.
  • The metric and comment fields will have a max-length set of 4000 characters
  • The desc field (description) will have a max-length set of 4000 characters.
  • The start and due dates must fall within the obj-plan-start and obj-plan-due element value in the Goal Plan template.
  • The state field (goal status), which includes dropdown options, referred as enum values in the XML (Behind, On Track, Postponed, Completed...), will include the following changes:
    • The label of the last enum value will trigger the completion of the goal. Typically, the last option in the dropdown list for Goal status should be set as Completed.
    • Alternatively, a Trigger Completion option is available in Manage Templates, to define a different status that should trigger the completion of the goal. This is an optional step in case the last option in the dropdown list for Goal status should not be the status determine to complete the goal.
    • The background style is not supported for the goal status, only text color (HEX not RGB). When converting legacy GMv12 templates, it may be needed to adjust the text colors to make them visible.

Convert a Goal Plan Template

Business Example

In the following exercise, you will convert an existing goal plan template to the latest version of Goal Management, and make some changes in the Goal Plan template required for a successful conversion. At this stage, you want to ensure a goal plan template is available for the latest version of Goal Management, but more additional configurations will be explained and completed in later units.

Convert a Goal Plan Template

Steps

  1. Convert the current goal plan template from GMv12 to Latest Goal Management

    1. Navigate to Manage Templates using Action Search

    2. Select the Goal Plan tab to display the goal plan template list.

    3. Select the Extended Goal Plan template.

    4. Choose Convert.

    5. Read the Introduction information. When ready, select Get Started.

    6. The Step 2 (Validate) will perform some validations of your current template. Verify the following:

      1. Validate General Settings is successful.
      2. Validate Fields shows Sub-Goals/Tasks as an optional field. It means, this field is not supported and will be hidden from the UI.
      3. Validate Field Properties: The text and textarea field types will have a New Limit of 500 and 4000 characters.
    7. Choose Convert to start converting the template. Select the option Return to Manage Templates, where you will see when the template is ready to use.

    8. Refresh the page until you see the template converted successfully. A new backup template will be also visible, and available with a legacy view option (read-only).

  2. Navigate to the converted Goal Plan.

    1. Navigate to HomeGoals or select Manage My Goals quick action from the Home Page.

    2. Select the Extended Goal Plan from the dropdown next to the Goal Plan Title.

    3. Check the layout of the Goal Plan. Verify the following:

      1. There are two tabs: Performance Goal and Development Goal, which allows users to switch between their performance and development goal plans from this page.
      2. There is a dropdown list beside the Goal Plan name to navigate to other goal plans. The non-converted ones can be only opened in legacy view. When you select the template, it will show a message Unconverted goal plan template, with a Legacy view link that can be selected if you want to display a read-only view of this goal plan. Any existing goal data will be visible.
      3. The Create Goal and Cascade Goal buttons display in the top right-hand corner. There is also a Print to PDF icon next to these buttons.
      4. A People Selector on the left side will display self, manager, direct reports and matrix reports (if any). There is a search field to find other employees beyond your hierarchy, as well as an option to include inactive users in search results.
