Using AI-Assisted Writing in Continuous Performance and Feedback

The AI-Assisted Writing tool offers advanced capabilities that can assist users in providing feedback. These new AI capabilities can be utilized to enhance the quality of feedback text in Continuous Performance and Continuous Feedback. One notable feature of AI-Assisted Writing is the ability to make feedback actionable, providing constructive suggestions that employees can take immediate action on. By leveraging AI-Assisted Writing, users can deliver prompt, improved, and actionable feedback.

The following steps are required to use AI-Assisted Writing:

• Turn on the feature in AI Services Administration → Global Features → Assisted Writing with Text Analyzer.
• Administrator needs the following permission in Manage Permission Roles: Administrator Permissions → Manage AI Capabilities → AI Services Administration.
• End users will need the following access permission granted in Manage Permission Roles: User Permissions → AI Access → Assisted Writing with Text Analyzer.

Once AI-Assisted Writing is enabled and permissioned, the following features of the AI-Assisted Writing become available to the end user:

• Enhanced Writing. Suggests enhancements in grammar, spelling, vocabulary choices, and phrasing in the context of the selected line or paragraph
• Change Tone. Provides options to change the tone of the writing of the selected line or paragraph to professional, personable, or constructive to suit the communication needs for different audience groups in the organization.
• Make Shorter. Shortens a selected line or paragraph to convey the message more concisely.
• Make Longer. Rewrites a selected line or paragraph by adding more words to provide a detailed explanation based on the original content.
• Make Bulleted List. Converts a selected line or paragraph into a bulleted list to simplify complex information, and enhance readability by breaking it down into easy-to-read points.
• Analyze Text. Performs a safety scan on each text box, prompt entry, or Generative AI output in order to detect bias, and suggest replacement text for any language flagged as potentially biased, discriminatory, or harmful.
• Translate. For written text, the user can select this option to choose the target language they'd like it translated to. The following capabilities are currently supported (2H 2024) with this action:
  • One-directional translation: Translation from en_US (US English) to all 46 languages supported in SAP SuccessFactors
  • Bi-directional translation: Full translation between the following languages: English (US), German, French, Spanish, Portuguese, Chinese (Simplified), and Japanese
• Make Feedback Actionable. This is a unique option available in Continuous Performance Management to give feedback to an employee. Provides constructive feedback the employee can take action on.

In this example, Aanya Singh is giving feedback to Ana Lovelace. Aanya provides feedback on Question 1 - What went well?. Aanya is not satisfied with the feedback text written, and would like some help to enhance the content.

1. Aanya selects the entered text, and a menu dialog appears with three icons: Use AI Capabilities, Enhance Writing and Make Shorter. By selecting the Use AI Capabilities (stars) icon, all available actions within AI-Assisted Writing will display.
2. From the actions available, Aanya decides to use Make Feedback Actionable, and selects it from the dropdown list.
3. Generative AI returns suggested text including actions to improve. Aanya reviews the suggested text and can take three actions:
   • Apply : This action will replace Aanya's entered text with the text suggested by Generative AI.
   • Use AI Capabilities: This action will trigger additional outputs from Generative AI, to enhance further the suggested text. Aanya can decide later which of the outputs would like to apply to the feedback. More actions can be taken to further enhance the feedback provided, can be Change Tone, Make Shorter, Make Longer, Make Bulleted List, Translate or use the Text Analyzer to flag any possible bias or harmful content.
   • Discard: This action will not use the text suggested by Generative AI.
4. Charles chooses Replace selection and the text suggested by Generative AI becomes available as feedback in Question 1.

With AI-Assisted writing, Aanya is able to provide quick, enhanced and actionable feedback for Ana.
