Requisition Headers and Footers

Job descriptions are important for providing the right information about a job. However, the Job Description field has a maximum of 4,000 characters – you might find that sometimes this is not enough.

Headers and Footers

  • Job requisition header and footer is always available at the top and bottom of the job description.
  • The introduction of headers and footers provides a solution to the 4,000 character maximum of the job description. They provide more space, and speed up the process of creating requisitions by using standard language.

  • Sometimes, the job description character maximum is especially limiting if the customer has standard text that must appear on every posting.

    The solution is to configure internal and external headers and footers.

  • Additionally, you can save one copy of the header and footer template for each location, using the Locale menu.

When you have set up headers and footers in Provisioning, and configured the JRDM, you are ready to work with this functionality in Admin Center.

Creating a Header And Footer

Follow these steps to create a set of headers and footers:

  1. On the Manage Job Posting Header and Footer page, click Create New Content.

  2. Name the new set of headers and footers, so it is easy to pick out the right set for the right requisition.

  3. Set the Locale.

  4. Select filters, as necessary.

    Select Create New Content to create a set of headers and footers.
  5. Add content to both the internal and the external headers and footers.

    Include content in both the internal and external headers and footers.
  6. To save the new set of headers and footers, click Save.

The new set of headers and footers are now available for use on the job requisition.

Job Posting Headers and Footers Configuration in Provisioning

In this section, you begin the configuration needed to create a header and footer.

  • To enable the feature, in Provisioning, select Enable Job Description Header Footer.

  • This switch enables the Manage Job Posting Header and Footer link in Admin Center.

Select Enable Job Description Header Footer checkbox to enable the feature in Provisioning.

You must configure the job requisition template to include the following standard fields for internal and external headers and footers:

  • intJobDescHeader

  • intJobDescFooter

  • extJobDescHeader

  • extJobDescFooter

XML: Field Definition

These fields are optional in a requisition. They are only available if they are configured in the job requisition.

These fields are not usually set as required, that is, they show as required="false" in the XML.

Caution

If these fields are configured, but the Provisioning switch is not enabled, the fields will not display.

Add the XML code to the requisition for all four fields.

Note

Order matters. Normally, customers put the headers above the listingLayout, and the footers below the listingLayout.

Caution

The Add Content Header/Footer button on the job requisition page is only available if all four fields are configured for editing in the job requisition template.

XML: Field Permission Type

You must add field permissions.

  • Add write permission for the appropriate roles in pre-approved and approved statuses.

  • Add read permission for everyone in all three statuses, pre-approved, approved, and closed.

Addition of Headers and Footers to Job Requisitions

Follow these steps to add headers and footers to a job requisition:

  1. Open your requisition.

  2. Click Add Header and Footer Content.

  3. Select the appropriate set of headers and footers. The content automatically fills all four fields.

  4. To change anything in any of the four fields, click the Update button.

Business Example

Headers and footers provide additional flexibility in creating common text for all internal and external job requisitions. This exercise leads you through the configuration of headers and footers.

Task 1: Enable Headers and Footers in Provisioning

Steps

  1. In Provisioning, navigate to Company SettingsEnable Job Description Header and Footer.

  2. Verify that the Job Description Header and Footer option is enabled.

Task 2: Configure Header and Footer Permissions in the JRDM

Steps

  1. In an XML editor, open the latest version of the JRDM XML.

  2. Verify that the following standard fields are on the JRDM:

    • intJobDescHeader

    • extJobDescHeader

    • intJobDescFooter

    • extJobDescFooter

  3. Review the permissions and make sure that all roles have WRITE to these four fields, during the pre-approved and approved statuses.

    1. Scroll down to the permission section.

    2. Review field permissions for the pre-approved and approved statuses to make sure that the user can write into them.

  4. Verify that all roles can read these fields during the closed status.

    Note

    Only use the roles currently being used in the existing permission sets.
  5. Save the file as a new version.

  6. Import the updated JRDM.

  7. Create a requisition to test the fields. Verify they are on the requisition and editable by the proper roles during the pre-approved status.

  8. Delete the requisition. Testing during the open/approved status will occur later in the exercise.

Task 3: Create Headers and Footers in Admin Center

Steps

  1. Navigate to Admin CenterManage Job Posting Header and Footer.

  2. Create a new header and footer and name it EEO Header and Footer (US).

    To do so, click Create New Content and enter the information from the table.

    1. On the Manage Job Posting Header and Footer page, click Create New Content and enter EEO Header and Footer (US) as title.

    2. Set the Locale to English US (English US).

  3. Add the header and footer text for both internal and external candidates, but only for jobs in the United States.

    1. Add content to both the internal and the external headers and footers, but only for jobs in the United States.

  4. To separate the header and footer from the description text when the requisition is posted, add a blank line at the bottom of the header text and at the top of the footer text.

  5. Click Save.

Task 4: Test the Headers and Footers

Steps

  1. Create a new requisition.

  2. For the field Internal Job Desc header, click Add Header and Footer Content.

  3. To add the default content, click Select.

  4. Add some sample text to the Internal Job Description field.

  5. For the External Job Description, click Same as Internal.

  6. At the top right of the form, click External Posting Preview.

  7. Verify that the output is similar to the test example.
