Introduction to SAP Business AI

SAP Business AI enhances the capabilities of SAP applications enabling them to learn and improve business outcomes. This leads to significant improvements in key business processes, giving customers access to more intelligent and automated solutions. Business AI is infused across the SAP Product Portfolio and every embedded scenario has gone through rigorous AI ethics process.

Generative AI enables completely new capabilities in business software. With generative AI, we can create new content, summarize complex information, write computer code, and more. It is a new generation of AI that can reason through business problems and make suggestions that were previously unthinkable.

SAP Business AI for SAP SuccessFactors  

By introducing AI into the employee experience, SAP Business AI aims to optimize workforce planning, deepen employee engagement, and align the employee experience to your business objectives throughout the employee lifecycle. Specifically in trending areas such as recruiting and talent development.

While some of these AI features can help drive user productivity and efficiency, such as the generative AI features for Recruiting, other features using extensive machine learning capabilities have been developed to help customers achieve their long-term talent strategy goals.

When introducing AI into your talent management processes, it is critical to understand the data points which drive these features to help you maximize the capabilities AI provides.

When introducing AI for SAP SuccessFactors Recruiting, it is important to consider all of the different data points that we can use beyond the Recruiting-specific data models and templates. When utilizing the different sources of data within SAP SuccessFactors, such as Position or Job Profile data, we can maximize the capabilities of AI features for Recruiting by providing AI with a greater source of context. For example, integrations that can be used for Recruiting include Employee Central and Job Profile Builder, gives us quick access to attributes within the Talent Intelligence Hub like skills and competencies. When utilizing data that is maintained centrally, organizations can increase consistency in data across the different talent processes. When data such as skills are automatically added into the Job Description, the AI assisted skills matching feature can more accurately reflect the organization’s talent needs by evaluating an applicant’s skills against the actual skills required for the role, defined within the Job Profile.  

AI Services Administration Capabilities for Recruiting

Users can now take advantage of AI to assist them on creating recruiting content more efficiently. There are some prerequisites to use the Generative AI features in Recruiting.

  • SAP AI Units license

The following permission needs to be granted in RBP:

  • Administrator PermissionManage AI CapabilitiesAI Services Administration

With these prerequisites, an administrator can navigate to AI Services Administration using Action Search, and turn on the following AI features, relevant to Recruiting.

  • Generative Job Descriptions
  • Generative AI for Interview Preparation
  • AI Assisted Skills Matching (also requires Career Site Builder)

Job Descriptions with AI

The SAP SuccessFactors suite offers the following solutions where embedded generative AI can be introduced into the recruiting process to create greater efficiency and a user-centric experience.  

Generative AI can help recruiters create more inclusive, high-quality job descriptions that more accurately reflect their hiring needs. By using the generative AI functionality for job descriptions, recruiters can be provided with industry-specific keywords and phrases, which will help improve the visibility of their requisitions when advertising their job postings. 

An object is available within Manage Data, allowing more control over how the Job Description is built using generative AI. In configuring the Recruiting Fields for AI Enhanced Job Description, the desired fields on the job requisition can be added to the object. The data in these fields will be used as context by AI to generate a more customized job description for the Recruiting user. 

Prerequisites to Use AI in Job Descriptions

The requirements for the configuration of AI for job descriptions are:

  • The customer has an SAP AI Unit license.
  • The AI Assisted HCM Content Generator option is enabled in Provisioning.

To configure AI for an AI enhanced job description configure the job requisition fields you want to use to help generate the job description in the Recruiting fields for AI Enhanced Job Description object in Manage Data.

Interview Questions with AI and Interview Evaluations in Microsoft Teams

The Microsoft Teams integration provides hiring managers and interviewers with a better user experience, helping interviewers become more prepared and efficient during their interviews.

Using the Microsoft Teams integration, interviewers can now generate interview questions on the spot based on the job description in the job requisition by using generative AI capabilities. Interviewers are prompted by the SAP bot 24 hours prior to their interview with the candidate’s information and the ability to generate interview questions to help them prepare.

Once the interview is completed, the SAP bot prompts the interviewer to evaluate the applicant in Microsoft Teams after the interview has been completed by using the competencies and skills listed in the job requisition. The interviewer can rate each competency and skill in Microsoft Teams, provide an overall rating, and send the feedback, which is then sent and stored in Interview Central.

All of these interview activities can be completed without logging into the SAP SuccessFactors suite.

Prerequisites to Use AI in Job Interviews

The requirements for the configuration of AI for interviews are:

  • The customer has an SAP AI Unit license.
  • The AI-Assisted HCM Content Generator option is enabled in Provisioning
  • The integration between SAP SuccessFactors and Microsoft 365 in the Work Tech Configuration is complete
  • Interview Scheduling with Microsoft Teams has been configured and enabled
  • The Assisted Interview Questions setting under Admin CenterAI Services AdministrationFeature SettingsRecruiting has been enabled. 
  • The Assisted Interview Questions permission under Admin CenterManage Permission RolesUser PermissionsAI Access has been granted to recruiting users. 

AI Assisted Applicant Screening

Introducing AI Assisted Skills Matching into the screening process of candidates allows recruiters to quickly identify top talent.

When creating the job requisition, the recruiter can use AI to identify and extract the skills from the job description. Additionally, recruiters can add additional skills if necessary. These skills will be used during the job discovery and the skills validation processes of the AI Assisted Skills Matching feature.

Candidates can then search for jobs by uploading their resume in the Career Site Builder career site and AI will match them to posted jobs that match their skills.

Prerequisites for AI Assisted Applicant Screening

  • The customer has an SAP AI Unit license.
  • The AI-Assisted HCM Content Generator option is enabled in Provisioning.
  • The AI-Assisted HXM Skills option is enabled in Provisioning.
  • Career Site Builder is implemented and Mobile Apply is enabled.
  • The latest candidate workbench is enabled

The Enable Skills Validation Using AI for Assisted Applicant Screening option must be enabled by navigating to Admin CenterManage Validation Recruiting SettingsCandidate SummarySkills Matching Using AI for Assisted Applicant ScreeningEnable Skills Validation Using AI for Assisted Applicant Screening.

To use the full suite of features that AI Assisted Applicant Screening provides, the following switches must be enabled in AI Services Administration:

  • Assisted Applicant Screening
  • Allow Applicants to Manually Add Skills (optional)
  • Assisted Job Skills for Career Site Builder

Note

Please note that for some of the AI assisted applicant screening features affecting the career site (ex. the cloud skills component), the Unified Data Model is also required.

Create Business Rule for AI Assisted Skills Matching

The AI assisted skills matching features uses a business rule to determine which job requisition template should utilize this feature, allowing complete control over the SAP AI Units consumed. By configuring the Configure AI - Assisted Skills Matching Eligibility for Job Requisition business rule, you can create the conditions which control which job requisition will use the AI Assisted Skills Matching feature. The rule is executed when a job requisition is created or updated (onSave). If the job requisition satisfies the criteria defined in the rule, then the SAP AI Units will be deducted when a candidate is successfully hired for that job requisition.

Steps

  1. Navigate to Admin CenterConfigure Business Rules.

  2. Choose + (Create New Rule).

  3. Expand the Recruiting section and choose Configure AI-Assisted Skills Matching Eligibility for Job Requisition.

  4. Configure the required details and choose Continue.

  5. Create conditions in the If section as required to determine which job requisition template should use the AI assisted skills matching feature.

  6. Choose Save to save the rule.

  7. Assign this rule to the Recruiting Billing and Subscription Configuration object under Manage Data.

Result

You have created a business rule to determine which job requisition template should use the AI assisted skills matching feature.

Skill Validation for Job Requisition

Recruiting users can now identify and extract skills from the job requisition using AI. This feature also allows users to manually select and add additional skills to the job requisition. These skills will be used during the skills validation for candidates as well as the skills matching for recruiting users.

Prerequisites

Ensure you have the following permissions:

  • If you are using Job Profile Builder, set the read and write permission to true for the listingLayout field permission.
  • If you're using Job Description Manager, set the read or write permission to true for the listingLayout or extListingLayout field permission or both.

The Manage Skills button on the Job Requisition Details page (or on the Job Profile page if using Job Profile Builder) lets you extract skills from the job requisition and display them on the Manage Skills page. You can perform the following tasks on the Manage Skills page:

  • Search Skills: Search for skills from the universal skills taxonomy and add them as skills required for a job.
  • Suggest Skills: List the skills extracted from the job description using the Natural Language Processing technique or based on the relatedness of the skills added on the Manage Skills page as per the universal skills taxonomy.
Manage Skills in the Job Requisition is displayed.

Using the AI assisted skills validation on job requisitions, recruiters can complete the following:

  • Review the AI-extracted skills from the job description.
  • Add, remove, and save skills in the job requisition to control the visibility of the skills listed in the job posting on the career site.
  • Categorize primary and secondary skills to find candidates who best fit the job based on their skills matching the skills specified in the job requirements.
  • Search for skills based on the relatedness of the skills from the job description.
  • Add up 100 skills that are relevant to a job.

After the necessary skills are validated, the number of skills identified from the job requisition that matches an applicant's skills in the Skills Compatibility tab will become visible on the Applicant Management workbench.

Note

Job Profile Skills and Competencies are not required to use this functionality. Skills in Manage Skills are not pulled from custom libraries (Job Profile Builder skills and competencies) but are AI-extracted using a universal taxonomy. For instance, Self Motivation might appear in extracted skills even if not in the Job Profile Role or your custom skills library. The AI analyzes all the externally or internally posted fields and sections of the job profile using Natural Language Processing to identify skills.

Skills Validation for Existing Job Requisitions

For existing customers who wish to use the AI assisted skills validation for job requisitions feature, a scheduled job must be ran to identify and extract the necessary skills from existing open and posted job requisitions.

Configure a Scheduled Job

Steps

  1. Ensure that the Assisted Job Skills for Career Site Builder switch is enabled in Admin CenterAI Services Administration.

    Going forward, new job postings are analyzed with AI to identify job skills. Recruiters can validate the identified skills in the job requisition.

  2. Go to Admin CenterScheduled Job ManagerJob Scheduler.

  3. Create and run a scheduled job of type Extract Skills from Job Description Using AI.

    The scheduled job analyzes and extracts skills from existing job postings.

AI Assisted Job Skills for Career Site Builder

Using SAP SuccessFactors Career Site Builder and SAP Business AI, the job search experience for candidates is transforming the way candidates can find jobs. Using the AI assisted skills matching for candidate resumes and job skills on the career site, candidates can be matched to the available posted jobs that perfectly suit the skills identified on their resume.

Prerequisites

  • Career Site Builder is enabled and configured.
  • The Unified Data Model is enabled.
  • Enable the Assisted Job Skills for Career Site builder on the AI Services Administration page.
  • The AI Assisted Skills Matching for Resumes switch is enabled in Career Site BuilderLayoutsSearch ResultsAI Assisted Skills.
  • The Extract Skills from Job Description using AI scheduled job has successfully ran.

When the AI-Assisted Skills Matching for Resumes feature is enabled, the search results page on career sites displays the option to upload a resume. You have the option to present the candidate with a data privacy consent statement (DPCS) before they upload it. After they accept the DPCS and upload their resume, we use AI to analyze the resume and identify their skills. Then, we recommend jobs that match their skills.

AI Assisted Skills For Career Site

In addition, the Cloud Skills component will become available to configure on Job Page layouts, allowing candidates to validate the skills identified in their resume with the skills required for the job they are viewing.

Skills Validation for Candidates

The AI assisted skills matching feature allows candidates to have visibility and control over the skills parsed from their resume and provided as part of their application.

In the Application page of the career site, applicants have the following ways to provide skills as part of their application:

  • By uploading a resume, the skills are automatically derived from the resume using AI capabilities and populated in the My Skills section once a resume is successfully uploaded under the My Documents section. 
  • Using the skills search bar under Add Skills, the applicants can search and add skills that are suitable for the application. 
  • Using the Suggested Skills functionality, applicants can get recommended skills based on the skills that they have added to their skill set. Applicant's can carefully choose from these recommended skills and add them to My Skills
A maximum of 25 skills can be added to the application. It is recommended that candidates retain the skills that best suit their application to a particular job.

Known Limitations

Skills compatibility isn't evaluated for a job requisition if it has already been receiving applications before the Skills Matching Using AI for Assisted Applicant Screening option was enabled.

Also, applicants cannot manage their skills when applying to jobs using the following features:

  • Quick Apply
  • Application using ODATA APIs
  • Application using non-mobile apply Career Sites
  • Forward Candidate Application

Note

Once applicants have submitted a validated skill set using this feature, this skill set will be used if they are forwarded to a job requisition prior to that. This applies to all the Forward Candidate scenarios (Agency forward, employee referral, forward to requisition, forward as applicant).

View Skills Compatibility in the Candidate Workbench

The AI assisted skills matching feature provides applicants with quick visibility into their skill compatibility with the job requisition they’ve applied for. The Skills Compatibility function in the Candidate Workbench gives recruiters a detailed view of the applicant skills that can be used to make informed decisions in the screening and hiring process.

Recruiters will find the following categories of each applicant’s skills:

Applicant Skills Categories

  
Job SkillsPrimary SkillsSkills defined in the job description and nominated as primary skills by a recruiter when a job is posted
Secondary SkillsAdditional skills identified but not defined as primary skills, in the job description.
Other Applicant SkillsRelevant SkillsThe relevant skills are additional skills of an applicant that are relevant for the job but not identified as the required skills. The relevant skills are from the applicant's resume or manually added by the applicant on the career site.
Unmatched ApplicantAdditional skills of an applicant that may not be relevant for the job.

Steps

  1. Navigate to RecruitingJob Requisition to view all open job requisition and the candidates that have applied for those jobs.

  2. Select the desired job requisition from the list.

  3. Hover over the job requisition Action and choose Candidate Summary to see the list of applicants that have applied for the job.

  4. From the Settings option, choose Skills Compatibility to include the skills column in your applicant list page.

  5. In the Skills Compatibility column, for a selected applicant, hover over the skills to view the applicant skills at a high level. The applicant skills displayed here are categorized into Exact Matches and Missing Skills.

  6. To view an applicant’s detailed skills, select an applicant name to navigate into the applicant Details page. 

  7. Choose the Skills Compatibility tab to view a detailed view of the applicant's skill set, classified into the relevant skill categories.
