Creating, Editing, and Testing Form Templates

Creating Form Templates

You must be a member of the Form Template Creator group to have access to the form template creation controls.

Procedure: Create a Form Template

  1. Select ManageTemplates from the dashboard or home tab. If this menu choice is not available, you are not a member of the Template Creator group.
  2. Select Form Templates. The contents of the form templates folder displays.
  3. Select Actions and choose Create Form Template. The Create Form Template page displays.
  4. Enter the name of your new form template.
    • Names must contain only the following characters:
      • a-z
      • A-Z
      • 0-9
      • Space
      • underscore (_)
    • The system removes characters that it does not allow.
    • The maximum number of characters is 255; however, to avoid problems viewing the Data Dictionary in Microsoft Excel, limit names to 30 characters or less.
    • The template name must be unique among all the items in the current folder and among all template versions in all folders.
    • It is used as the name of the reporting fact table for the form.
  5. Indicate whether the template will have line items. The Has Line Items control adds a line-items table to the template when set to Yes.
  6. If applicable, name the line-items table.
    • Names must be unique across all versions of your designs.
    • This name appears as a header above the line items table when users open the form.
    • It is used as the name of the reporting fact table for the line-item details.
  7. Select Create Form Template. A blank template displays.

Once a form template is created, you can proceed with adding fields. The same concepts covered in the previous units apply to form templates too. However, one difference is, that form template fields cannot be added or modified through Customization ManagerField Configuration. You must open the form template through ManageTemplatesForm Templates,and proceed with making your edits.

Move your cursor to the header level section and select Edit to add or edit header level fields.

Move your cursor to the line-item section and select Edit to add or edit line-level fields.

Editing Form Template Attributes

Procedure: Edit the Attributes of a Form Template

To edit form template attributes, select the specific form template and choose Edit Attributes. The form template must be in Draft status to edit the attributes.

The Form Template Attributes page allows you to change the following:

  • The name of the template
  • The description that appears when users select a template to create a form
  • The owner of the template
  • The editors of the template
  • The access control of the template
  • The reportability of unpublished forms

Note

If the title of a line-items table needs to be updated, you must work with an SAP Ariba resource who can make this change.

Reporting Data from Published Forms Only

The Edit Attributes page for form templates includes the Report Published Forms Only option; when this option is enabled, data loaded for reports does not include data from form documents in Draft.

Changing this field from No to Yes now will not affect already reported Forms until new Form versions are published. Changing from Yes to No will take effect automatically, regardless if any new versions are created or not. Reports will automatically show data from the latest version.

Localizing Form Template Names and Folders

You can localize the names of form templates and the names of folders you create in the Form Templates folder.

Procedure: Localize a Form Template Name or Folder

  1. Confirm that you are in the Translator group.
  2. Select the name of the form template or the name of the folder then select Edit Attributes .
  3. Select the Translations link near the Title. The system displays a polyglot Translations page in which you enter localized text for each language.
  4. Enter the localized text for the languages that you support.
  5. Select OK .

You can also select the Translations link near the Description and add localized text.

Test Form Templates

When your form template design is in draft or revising state, you can test it to ensure the SAP Ariba expressions for visibility, editability, and validity work as expected. Testing also allows you to see the errors your fields display when users do not populate the field, enter information in the wrong format, or any other errors.

Procedure: Testing a Form Template

Enter data and select Test to activate your SAP Ariba expressions. The system evaluates the SAP Ariba expressions and performs the visibility, editability, or validity behavior. Test all fields that have SAP Ariba expressions to ensure that their behavior works as you intended. Be sure to test both common cases and corner cases. Depending on the complexity of your SAP Ariba expressions, testing corner cases can be simple or involved.
