Publish Form Templates

Once you finish editing and testing a form template design, you can proceed with publishing it. After you publish a form template design, it is live and all users with the correct permissions can see it and create form instances from it. You should send an email to all users notifying them of the availability of the new or revised form template and offer suggestions of when they should use it. Users typically will be unaware that the new or revised form is available unless you tell them. This notification is especially useful to warn users about fields that have changed in form template revisions.

Procedure: Publish a Form Template

While editing the form template design, select the Publish button. Alternatively, you can go to the Documents tab of the Form Templates folder, select the desired form template, and then choose the Publish option. The status changes from Draft to Active.

After you publish a new form template design or revised form template design, make your changes available in reporting and the corresponding fact tables by executing the flex fields metadata task in Reporting ManagerFlex Field Reporting .

Revise Form Templates

Revise form template designs to fix problems, rearrange fields for usability, add new fields, or hide fields that are no longer used. When you revise a form template, the system creates a new design version for editing while keeping the old version available to users.

Be aware that your published changes affect all existing form instances that use that design. For example, if you hide a field and republish, that field disappears from all existing forms that use that design. Similarly, if you add a field and republish, the new field displays on all existing forms that use that design.

Procedure: Revise a Form Template

  1. Select the form template you want to change and choose New Version. This action creates a new version of the template while keeping the existing version available for users. The status changes from Active to Draft.
  2. Select the form template and choose Open Draft
  3. Start your form template edits and test them
  4. When you finish, select Publish to save the revised template and make it available to users
  5. To make the changes available in reporting, execute the flex fields metadata task in Reporting ManagerFlex Field Reporting
