The Purpose of Forms

A form is a data entry page for capturing additional information. Forms are tailored to meet the specific requirements of an organization and can be used across various projects, workspaces, and requests. In Sourcing modules, forms can reside on the Documents tab of the following:

  • Sourcing Projects (Full Projects Only, not Quick Projects) and Sourcing Requests
  • Contract Workspaces and Contract Requests
  • Procurement Workspaces and Procurement Workspace Requests
  • Supplier Performance Management Projects
  • Supplier Qualification Management Projects
  • Knowledge Projects

Depending on the project template, forms can be added to a project automatically or on an ad hoc basis. Users open the project, complete the form, and then submit it for approval if needed.

Your organization can use form data in reports, or you can use forms to simply store data for display.

The Purpose of Form Templates

Forms are comprised of pre-defined header-level and/or line-level fields. The custom fields and layout for forms are defined in form templates. New form templates are empty until you add fields to them.

Form Templates in Sourcing modules are also referred to as dForms or DynamicForms.

The Purpose of Line-Item Tables in Form Templates

When creating a new form template, you can specify that it contains litem-items. The system will create a table in the form template where you can add line-item fields. These tables allow users to record multiple items that have the same kinds of characteristics. Each line-item appears as a row in the table and the field names display as column headings. Users can sort line items by any column. If a table contains many line items, it displays scrollbars. Each form template can contain only one line-item table and it must be added when you create the form template, not after you start editing.

Users who are authorized to manage project templates and form templates can access form templates.

Procedure: Access Form Templates

  1. Select ManageTemplate from the dashboard or home tab
  2. Select Form Templates

The Organization of Form Templates

If you have many form templates, you can organize them in folders by task name or organization name so that users can easily find them. You can also add access controls to folders and form templates so they can be opened only by users who have the appropriate permissions.
