Setting Approval Parameters

What are Parameters?

"Hi Marco, I would like to review the parameters we have in place for approval flows."

"Sure Michael, that sounds like a good idea. You can find all self-service parameters in the Intelligent Configuration Manager. Let me guide you through understanding them better."

Parameters are site wide settings that determine what features and functionalities are enabled, and how they are configured. Some parameters are only accessible and editable by customer support, while others may be changed by users in the customer administrator user group through the Intelligent Configuration Manager.

Intelligent Configuration Manager (ICM) is the end-user solution for partners and customers, which allows them to manage configurations across various SAP Ariba services in one centralized location.

Note

You must be a member of the Customer Administrator group to access Intelligent Configuration Manager workspace and tasks.

The ICM User Interface Allows You to Do The Following:

  • View and modify site parameters of various SAP Ariba solutions
  • Test configuration updates in the test site before deploying it in your production site
  • Audit and approve the updates before deployment
  • Create and manage deployments of all parameter updates in your site
  • Audit logs of all activities for security and compliance management

Accessing the Intelligent Configuration Manager

  1. On the dashboard, access Manage ﹥ Core Administration.
  2. Click Intelligent Configuration Manager ﹥ Manage Configurations.

Note

Please keep in mind that once a package with a parameter change is submitted, the system behavior has to be tested by an administrator. If the parameter change leads to the desired behavior, the package is approved by the administrator and deployed to production.

Self-Service Site Configuration Parameters Related to Approval Flows

In the following section, you will learn about the main parameters available to you in ICM.

Enable Email Approval

Application.Base.EmailApprovalEnabled

Determines whether users can approve or deny approval requests via email using the approval request notification rather than logging in to the site. When email approval is enabled, email notifications for approval requests include a way to approve or deny requests and add comments.

  • If set to Yes, email notifications for approval requests include a way to approve or deny requests and add comments. Users can act on approval requests using email on a personal computer or a smartphone or personal digital assistant (PDA) device. The way users respond to a notification depends on the format of the notification: HTML, plain text, or compact text.
  • If set to No, email approval is disabled. When users receive an approval request notification, they can view information about the request, but they can't approve or deny the request without logging in to the SAP Ariba solution.

Escalation Period for Approval Requests

Application.Approvable.ApprovalRequestEscalationPeriod

Determines the default escalation period for all types of approvables. The escalation period is the number of days an approver has to act on a request before the request is escalated to the supervisor of the approver.

The default value is 0, while the parameter sets the period to 14 days.

Allow Parallel Approval of Denied Approvables

Application.Approvable.AllowApprovalOfDeniedApprovable

Determines whether parallel approvers can approve requests that were denied by another parallel approver.

If this parameter is set to No, no one can act on an approvable that’s been denied.

If this parameter is set to Yes, parallel approvers can approve requests that were denied by another parallel approver. Also, the parallel approver who denied the request can later approve it.

Prevent Notifications on Weekends and Holidays

Application.Base.SkipWeekendsAndHolidays

Determines whether the user notifications triggered by internal scheduled tasks skip weekends and holidays when counting days.

To avoid sending too many notifications or sending them too soon, you can configure your site to recognize (and ignore) weekends and holidays when sending email notifications.

To prevent the application from sending notifications to users on weekends and holidays, set this parameter to Yes.

The parameter Buyer organization holiday dates, Application.Base.CompanyHolidays, specifies the holiday dates for your organization.
