Asset Accounting (FI-AA)

To assign pieces of equipment to an asset, you can define an asset number in the equipment master record. This establishes the integration with asset accounting.

If integration between Asset Accounting and Asset Management is activated in Customizing, equipment can be created automatically when you are creating a technical system. Asset class settings are used to differentiate various mapping aspects (for example, which equipment types are used).

Alternatively, you can define it so that an asset is created automatically when a piece of equipment is created, or you can define the asset master record so that it is changed when the equipment master record is changed.

Integration can be realized as direct synchronization or as workflow.

You can ensure data consistency for both the asset and the equipment by defining that fields in the equipment master record that also need to be updated when changes are made to the asset master record.

Asset accounting helps maintain or manage all of the technical assets from a financial perspective.

Procedure

There are two procedures:

You are only using the usage view. Then create functional locations in the usage view.

You use the architectural view. We recommend that you create the functional location structure in the architectural view rather than in the usage view, since the architectural view is better able to reflect the physical structure of your real estate objects. However, make sure that you also make Customizing settings for architectural objects. You can also automatically create or make settings for functional locations from usage objects and architectural objects.

For the usage view:

For the architectural view:

For each relevant usage object type or architectural object type, define if the following applies:

  1. A functional location should be created automatically. In this case, the system generates and assigns one functional location for each real estate object. An automatic update does not take place. You can assign additional functional locations manually if you created them already in Plant Maintenance (PM). You can manually assign functional locations for a specific time period. Using the Management of Time Slots function, you can display and change them.
  2. A functional location should be created and updated automatically. In this case, the system generates one functional location per real estate object, and it is updated as necessary. You can assign additional functional locations manually in the object if you created them already in Plant Maintenance. By update, we mean that any later changes to the master data of the real estate object are automatically updated in the master data of the functional location (such as a change within the object hierarchy).
  3. A functional location must be created and updated manually. If you have selected the setting for manual maintenance of functional locations, the system does not generate functional locations for this object. As in cases 1 and 2, you can still assign additional functional locations manually in the object if you created them already in Plant Maintenance. You can change and delete manually assigned functional locations.

Note

Please note that as of SAP S/4HANA OP 2023 you can assign real estate objects to technical objects if you have activated the SAP Intelligent Real Estate product.

How to Integrate with RE-FX

Geographical Enablement Framework (GEF)

Geographical Enablement Framework works as the foundation to extend business data with geometric attributes for SAP S/4HANA. As a framework leveraging the spatial capabilities inherent in SAP HANA, it enables organizations to develop geospatially enriched business data, and make them accessible from within SAP applications as well as external GIS (geographical information system) systems.

The framework is being delivered with a standalone Spatial Explorer, Spatial Editor, and a template for the Business Partner business object as an example for spatially enabling other business objects.

An overview of the geographical enablement framework, including the relationships within the framework (for example, from the spatial explorer to SAP HANA), as well as with the GIS server and the SAP Business Suite of SAP S/4HANA

In the following, you can find typical scenarios how Geographical Enablement Framework can be used:

  • A technician receives the maintenance order, and then reviews details of the order including the geometries on a map. He then goes to the location to execute the repair work. When the work is completed, the technician updates the order status and enters additional comments before completing it.

  • A maintenance planner sees the notification previously created, and generates a maintenance order from a maintenance notification (the geometry and some information from the notification are copied to the order). The planner then dispatches the order to a technician.

  • A back office agent gets an overview of a commercial business partner including all its geometries on a map. It has a point geometry which represents the location of the company headquarter. It also has a polygon geometry which represents its service area.

  • A call center agent receives a complaint about a noisy transformer. The agent now needs to find the equipment and create a notification for further processing on a map.

SAP Spatial Asset Management - supported EAM objects

SAP Spatial Asset Management supports the following EAM objects:

  • Equipment
  • Functional location
  • Maintenance order
  • Maintenance notification

For EAM objects, the following SAP Spatial Asset Management features are available:

  • Spatial attributes of a technical object are defaulted to the maintenance notifications and orders.

  • Spatial attributes are copied from the source document when the following applies:

    i. A maintenance notification is created from a maintenance notification as a reference.

    ii. A maintenance order is created from a maintenance notification.

    iii. A maintenance order is created from a maintenance order as a reference.

    iv. A maintenance notification is created from a maintenance order.
