Change the Assigned Inspection Plan and Trigger Sample Calculation

In some cases, the quality engineer must reset the sample calculation of an inspection lot to assign new inspection specifications:

The image shows an example where Inspection Plan A with a sample size of 10 units is assigned to the inspection lot. After resetting the sample calculation, Inspection Plan B with a sample size of 15 units is assigned.

In our example, the system created one inspection lot and automatically assigned Inspection Plan A. The calculated sample size is 10 PC. After discovering an error, the quality engineer uses the Reset Sample Calculation function, resets the sample calculation of the lot, and assigns a new inspection plan, Inspection Plan B, with a different set of operations and characteristics. In the sample calculation, the system now calculates a sample size of 15 PC.

As explained above, when you create an inspection lot, the system automatically tries to assign an inspection plan to the inspection lot, that is, provided that you've configured the inspection type accordingly. Technically, when the inspection plan is assigned to the inspection lot, the system copies the data from the inspection plan into the inspection lot record. Any changes that the quality planner makes afterward to the inspection plan are not reflected in the inspection lot. Assuming that you discover an error in your master data or you discover that the system has assigned the wrong inspection plan, you might want to remove the assignment of the inspection plan to the inspection lot and reassign the new inspection plan version with the correct master data. To do so, the Reset Sample Calculation function in SAP S/4HANA can be used. After resetting the sample determination, you can reassign the inspection plan (for example, the corrected inspection plan) or a different inspection plan to the inspection lot and reexecute the sample calculation.

However, because you can only reset the sample determination under certain conditions, the system first checks whether the inspection lot status allows you to execute this function. The following image shows some prerequisites that must be fulfilled if you want to reset the sample determination for an inspection lot:

You can only reset the sample determination for an inspection lot if you have not marked the inspection lot for cancellation, recorded inspection results for the inspection lot, recorded defects for the inspection lot, and made a usage decision for the inspection lot.

After posting the goods receipt, you can change the lot quantity if you observe, for example, that an incorrect quantity was posted during goods receipt. The following image illustrates this process and shows the documents created in the system:

In the example, the warehouse clerk posted a goods receipt of 100 PC. In the background, the system created the inspection lot and the material document for the 100 PC. Since the purchase order was completely delivered, the system also set a respective status. Later, when performing the goods receipt inspection, the quality technician discovered that only 90 PC were delivered and changes the lot quantity accordingly. In the background, the system creates a material document that adjusts the incorrect quantity posting. Also, the purchase order status is changed to underdelivery and an open quantity of 10 PC remains.

The function Correction to Inspection Lot Quantities allows you to make a correction to the actual quantity of materials in an inspection lot. For example, the warehouse clerk has posted a goods receipt to a purchase order. During the quality inspection, you determine that the quantity of materials in an inspection lot is less or greater than the original quantity posted for a goods receipt, and you can change the inspection lot quantity accordingly. When you make a correction to the actual quantity of a stock-relevant inspection lot, the system makes a posting in inventory management and creates a new material document to record the changes. If the inspection lot is not stock-relevant, the system records the changes for information purposes only, that is, no stock posting takes place.

Furthermore, note that due to the fact that the correction of the lot quantity occurs after the selection of the inspection plan and after the calculation of the sample size, the system does not assign a new inspection plan.

However, if the prerequisites for canceling the sample calculation are met (for example no inspection results and/or defects recorded), you can cancel the sample determination and change the inspection lot in order to reselect the inspection task list.

If a goods receipt for a purchase order was posted incorrectly, you can also cancel the entire material document. In this case, the respective inspection lot is also canceled by the system.
