Search Screen

SAP SuccessFactors Learning offers a comprehensive searching feature that enables users to quickly and easily find the learning content they need. It allows users to enter keywords, or specific criteria to locate relevant courses, materials, or resources. The system provides filters and sorting options to refine search results based on various parameters such as course type, language, duration, date or custom created fields. 

To begin a search, choose an entity type from the menu tab. The workspace area displays a search screen for that entity. For example, selecting items from the menu displays the items search screen. 

The available search criteria area is highlighted on the Item search screen.

Search Criteria

Every entity has multiple attributes. When conducting searches, you may find that certain attributes are more helpful than others. The system provides various search criteria options, allowing you to choose which attributes of the entity you want to use for your search. 

 You can add more criteria to the screen by selecting the Add/Remove Criteria button. This allows the search screen to be customized according to the administrator's preferences. 

The Add/Remove Criteria button is highlighted. Users select this button to modify the search criteria.

Search Operators

When using a keyword search, it is important to select the appropriate search operators to obtain the desired results. For instance, if you are searching for an item title and you use the Exact search operator, you only get results that exactly match the title you are searching for. 

The following table describes the common search operators and what they are used for.

ContainsUsed to find items that contain a specific term or phrase, regardless of its position within the document or record.
Does not containUsed to exclude items that contain a specific term or phrase from the search results.
AnyUsed to find items that contain any of the specified terms or phrases.
Is EmptyUsed to find records that have empty or null values in a specific field.
Starts WithUsed to find items that begin with a specific term or phrase. This can be useful when searching for items with similar prefixes or when looking for specific categories or groups of items.
The search operators “Contains” and “Exact” are highlighted for the fields Revision Number and Item Title, respectively.

Video Summary

You can use search operators such as EXACT, ANY, STARTS WITH, and IS EMPTY to search for other users based on different criteria. Additionally, CONTAINS and DOES NOT CONTAIN search operators can be used to find items with or without specific alphanumeric characters.  

This video teaches you how to use these operators to find users with specific attributes, such as last name and manager assignment. By using search operators, you can easily locate individuals based on specific criteria. 

Search Filters

The search filter determines the contents of your results by listing only entities that satisfy all the criteria specified by your filter. For example, you may want to list only users who are part of a specific organization. You must specify the organization in a filter and apply that filter to the search criteria to see only those users that relate to the selected organization. This is beneficial for administrators to search by various attributes of specific criteria when an exact ID is not known.  

To create the filter on the criteria, select the filter icon next to the search criteria. The Create Filter screen displays. Now you can do a search to find the desired values and submit the filter.

Saved Searches

The Save As button allows you to store and retrieve specific search criteria for future use, enhancing efficiency and productivity. By saving searches, you can quickly access and retrieve relevant information, without having to manually input the search parameters each time.

Saved Searches on the upper-right area of the Item search screen is highlighted.

Note

Saving a search saves the criteria, not the search results.

Search Results Management

The Search button enables you to retrieve search results based on your entered criteria. All results are presented in the lower section of the workspace area. 

The Search button, field chooser feature, records per page list, and download search results link are individually highlighted to show their locations on the screen.
  1. Field Chooser

    The search results field chooser is a feature that allows you to customize the fields that are displayed in the search results. When conducting a search, the system retrieves relevant information based on the search criteria. The search results field chooser gives you the ability to select which fields they want to see in the search results. 

  2. Records per Page

    When performing a search, the system typically displays the search results in a paginated format, where a certain number of records are shown on each page, as well as the total number of records found. The number of records displayed per page can be configured based on your preferences or system settings.  

  3. Download Search Results

    Search results can be downloaded in a Microsoft Excel format by selecting the Download Search Results link.  In the Microsoft Excel format, you can easily organize and analyze the data, perform further calculations or manipulations, and share the information with others if needed.
