Import Content Tool

SAP SuccessFactors Learning Management System (LMS) offers an Import Content tool designed to streamline the process of bringing external content into the platform. This tool allows administrators to import various types of learning materials, such as courses, documents, and media files, from external sources. This functionality ensures that organizations can efficiently keep their training content up-to-date and comprehensive, leveraging a mix of internal and external educational resources.

Using the Import Content tool offers several advantages over manually creating content objects:

  • Time Efficiency: The import tool allows for bulk uploads, saving time compared to creating content objects one by one manually.
  • Consistency: It ensures consistency in data entry, reducing the risk of human error that can occur with manual creation.
  • Scalability: The import tool can handle a large number of content objects, making it easier to scale up learning content as needed.
  • Ease of Use: It simplifies the process of adding content from different sources, supporting various content types and formats.
  • Reduced Workload: Automating the content upload process frees up LMS administrators to focus on other tasks.

The Import Content tool requirements include:

  • Supported Formats: The tool supports AICC or SCORM content. Make sure your files are packed in a .zip file.
  • File Name: Ensure the .zip file name has no spaces.
  • Upload in Batches: Uploading content in organized batches enhances management and accessibility. By batching, you can prefix item IDs, allowing the system to automatically number each content object (for example: SAFE_1, SAFE_2). Meaningful prefixes, such as SAFE_ for workplace safety content, facilitate easy filtering and management.

Steps to Import Content With the Import Content Wizard

To add new content using the Import Content Tool, navigate to Learning AdministrationContentImport Content. There are four available actions that can be executed with this tool:

  • Add New Content
  • Add Content for an Existing Item
  • Replace Content for an Existing Item
  • Enable Mobile or Offline Content for an Existing Item

To add new content, follow these steps:

Step 1: Select Action

  1. Select Add New Content.
  2. Select Next.

Step 2: Select Files

  1. Select Browse and upload your file.
  2. Select Next.
The second step, Select Files, of the Import Content Tool is displayed.

Note

The supported content types are listed on the page. To add more types (for example: .mp4), edit the CONTENT_IMPORT properties file found in System AdministrationConfigurationSystem ConfigurationCONTENT_IMPORT.

Step 3: Configure Content and Item Settings

In this step, you will configure the settings for the content you are uploading. You can save the content to a content server and annotate its location, set the security domain of the content, use the AICC wrapper, or enable it for mobile access or offline player download.

  1. Add the content URL in the Launch URL Prefix field.
  2. Select the Security Domain.

    Note

    If you are using content packages, add Content Package ID in the appropriate field.
  3. Select Launch in a New Browser Window checkbox.
  4. Select Import Files.
The third step, Select Content and Item Settings, is displayed.

If a required field is left empty, you will see a validation error. If there are no errors, you will see a list of courses to import and an option to edit Content Object IDs. It's a best practice to use an organizational standard naming convention for Content Object IDs instead of using the generic ones suggested by the system.

Note

You can set the default launch mode when importing content in Learning AdministrationSystem AdministrationConfigurationGlobal Application SettingsDefault setting for launch mode when importing content and select either Launch in New Window or Launch Inline.

Automatic Creation of Items for a Content Object

The Import Content tool allows you to automatically create an item entity for content packages. In Step 3 of the wizard, you can select the Create a new Learning Item for each content package checkbox and enter the logistical information for the item entity. Item Settings, Library, Category, and Test User settings may also be established in this step. Select Import Files to complete the process.
