Assigning Role-Based Permission for Offboarding

Objective

After completing this lesson, you will be able to assign permissions for the offboarding process

Offboarding Permissions

Once Offboarding has been enabled, you need to identify and create user groups who will be performing specific tasks for the offboarding process (generally the manager and the offboardee). Other users may need to be involved, such as the security and IT team. The system administrator will also need access to specific offboarding configurations.

To find Offboarding-specific permissions, go to the Manage Permission Roles tool and select a permission role. To display a list of permission categories, choose Permission.

Under the User Permissions category, you can find the following categories that contain Offboarding permissions:

  • Onboarding or Offboarding Object Permissions – This category contains offboarding permissions for a manager or HR representative, such as permission for returning company assets and managing knowledge transfer.
  • Employee Data – This category includes a list of HRIS fields important for two data review steps in the offboarding process.
  • Onboarding or Offboarding Permissions – This category has permissions that are relevant for users who need to monitor the offboarding process as it provides access to the Offboarding Dashboard.

Under the Administrator Permissions category, you can find the following categories that contain Offboarding permissions:

  • Manage Onboarding or Offboarding – This category includes the Cancel Onboarding Permission, which is useful for a manager or HR representative. All other permissions in this category are integral to the Offboarding Admin.
  • Onboarding or Offboarding Admin Object Permissions – This category includes the ONB2OffboardingActivitiesConfig permission, which provides access to configure Offboarding Programs. All object permissions in this category are needed by the Onboarding administrator.

Assign Permissions for Offboarding

Business Example

The organization wants you to assign Offboarding admin permissions to the existing Onboarding Admin group as they will also be managing the Offboarding setup. They also want you to assign the permission to complete tasks in the offboarding process to the Hiring Managers group because they are the same managers involved in the offboarding process as well.

In this exercise, you will assign offboarding permissions to the managers and the offboarding administrator.

Steps

  1. In the instance, using the Action Search bar, navigate to Manage Permission Roles.

  2. Create an Offboarding Admin role by completing the following steps:

    1. Choose + Create New.
    2. For the Role Name, enter Offboarding Admin.
    3. Choose Permission....
    4. Navigate to Administrator PermissionsManage Onboarding or Offboarding.
    5. Select Permission to Cancel Offboarding.
    6. Navigate to Administrator PermissionsOnboarding or Offboarding Admin Object Permissions.
    7. For ONB2OffboardingActivtiesConfig, select View and Edit.
    8. Choose Done.
    9. Choose Add... and assign/grant the role to the existing System Administrators group (this is the same RBP group you used for the Onboarding Admin role).
    10. Choose Done.
    11. To save the new Offboarding Admin role, choose Save Changes.

    The previous Onboarding Admin role you created has the other necessary permissions needed for an Offboarding administrator. You are only adding the permissions specific to Offboarding to the existing Onboarding administrators.

  3. Choose the Hiring Managers role (Manager Role) that you have for Onboarding and, to assign offboarding permissions to them, complete the following steps:

    1. Choose Permission....
    2. Navigate to Administrator PermissionsManage Onboarding or Offboarding.
    3. Select Permissions to Cancel Offboarding.
    4. Navigate to User PermissionsOnboarding or Offboarding Object Permissions.
    5. For each of the following permissions, select View and Edit:
      • Asset Task
      • ONB2KnowledgeTransferPlanActivity
      • ONB2KnowledgeTransferTaskActivity
      • ONB2ScheduledMessageActivity
    6. Choose Done.
    7. Choose Save Changes.
  4. To create an Offboardee Role, complete the following steps:

    1. Choose + Create New.
    2. For the Role Name, enter Offboardee Role.
    3. Choose Permission....
    4. Navigate to User PermissionsOnboarding or Offboarding Object Permissions.
    5. For each of the following permissions, select View:
      • Asset Task
      • Knowledge Transfer Plan
      • Knowledge Transfer Task
      • ONB2ScheduledMessageActivity
    6. Choose Done.
    7. Choose Add... and assign the role to the Everyone (All Employees).
    8. To create the new Offboardee Role, choose Save Changes.
  5. To refresh the permissions, log out from the system and log back in.
