Creating Custom Cards for SAP SuccessFactors Onboarding

Objectives

Create Custom Home Page Cards for New Hires to View Documents

Custom home page cards enable you to make relevant content available to new hires based on variables such as the country they are working in, locale, start date, and so on.

For example, a lot of companies ask new hires to read important documents during the onboarding process. Many of these new hire documents can be policy, data privacy, and security documents, which the new hire isn’t always required to fill out or sign.

For this requirement, a custom home page card can be created to present these types of documents to new hires for viewing only.

Steps

  1. Navigate to Manage Documents using the Action Search box.

  2. Choose the button to upload the prepared onboarding document.

  3. Search and select the document, then choose a category for the type of document you are uploading. A country or region can be selected, but it is not mandatory.

  4. ChooseOK.

  5. Once the document is uploaded, navigate to Configure Business Rules using the Action Search box.

  6. To create a new business rule to identify the new hires to which the document applies, choose + (the plus icon).

  7. In the Custom Tile category, chooseShow New Hire Onboarding Content .

  8. Enter a Name for the business rule and choose Continue.

  9. Define the If expression for the condition of the business rule and choose Save.

  10. Navigate toManage Home Page using the Action Search bar.

  11. Choose Organizational Updates.

  12. Choose Add Card, enter a card name in the General settings section, and choose Next.

  13. On Card settings, enter a Title, upload a Thumbnail, and choose Next.

  14. On Navigation settings, turn Rule-based ON, choose Show New Hire Onboarding Content.

  15. Choose the business rule defined earlier from the Rule dropdown menu.

  16. Choose More... or the ellipsis (…) in the Content section, choose Insert Document Link, and select the document from the list.

  17. Personalize the content of the card and choose Next.

  18. To finalize the home page custom card, under Target Group, select Permission Roles or Groups.

  19. From the drop-down, search and select the OnboardingExternalUser role.

  20. Choose Save.

    The US Edition of the Preventing Sexual Harassment policy will now show as a link on the new hire custom card created.

    Note

    If a company requires new hires to electronically sign the documents, this will be handled in the Document Flow step of the Onboarding process.

Result

A custom home page card has been created for new hires to view a document.

Create a Custom Home Page Card for New Hires to Complete Their Employee Profile

For the new hires to complete their employee profile in the SAP SuccessFactors HCM suite, they must go to the Start Completing Your Profile task from the To-Do side panel.

Currently, there are no home page cards for this task. If the organization wants a home page card for new hires to access and build their employee profile, you can create a custom card. Creating a custom card for this task makes the task more visible to new hires so they are more likely to begin building their employee profile.

Note

Typically, access to the Start Completing Your Profile custom home page card is intended for all new hires. However, if access to this custom card is not meant for all new hires, you can use the Show New Hire Onboarding Content scenario to create a business rule.

Steps

  1. Navigate to Manage Home Page using the Action Search bar.

  2. Select Organizational Updates. Currently, custom home page cards only appear in the Organization Updates section of the home page.

  3. Choose Add Card and enter Start Completing Your Profile for the card name in the General settings section and choose Next.

  4. In Card settings, in the Title field, enter Start Completing Your Profile, upload a Thumbnail, and choose Next.

  5. On Navigation settings, in the Target field, select URL.

  6. In the URL field, enter /sf/onboarding2/completeprofile and choose Next.

  7. On the Assignment settings, in the Target Group field, select Permission Roles or Groups.

  8. Under Permission Roles and Groups, select the role OnboardingExternalUser.

  9. Set the Active Period. This can be set using the Start Date of new hires.

  10. Choose Save.

Result

The Start Completing Your Profile custom card appears on the home page in the Organizational Updates section for all new hires.
