In certain situations, you may need to manually onboard a new hire. You can do this through Add New Hire to Onboarding in SAP SuccessFactors Onboarding. The following are examples of scenarios where this might be required:
Onboarding in companies that don't use a recruiting system
The hiring of a high-level executive that, to ensure confidentiality, doesn’t follow the usual recruiting process
Employees returning from a sabbatical
The same principle applies when you add a new employee in SAP SuccessFactors Employee Central or add a new user in SAP SuccessFactors HCM Suite without Employee Central. The main difference is you are initiating the onboarding process because you are adding the new hire directly to the system.
Before you can manually add a new hire to Onboarding, the permission for the tool needs to be granted through role-based permissions. The ability to manually add a new hire into Onboarding is commonly provided to someone from Human Resources, such as the recruiter and, sometimes, the Onboarding administrator as well.
In this exercise, you will learn how to assign permission to manually add new hires to Onboarding.
Business Example
The recruiters and the administrator need access to add a new hire directly into Onboarding and initiate the onboarding process. You need to assign them the permission to perform this task.
Steps
Search for Manage Permission Roles using Action Search.
Select Manage Permission Roles from the search results.
Select your Recruiter role.
To open the Permission settings page, choose Permission....
Under Administrator Permissions, select the Manage Onboarding and Offboarding category.
Select Initiate Onboarding API Permission.
Select Done.
Select Save Changes.
To assign the permissions needed for your Onboarding Administrator role, repeat steps 4 through 8.
