Retain Onboarding Captured Data After a Restart

When a manual restart is triggered for an onboarding process, you can configure the data already captured in the onboarding process to either be retained or updated from SAP SuccessFactors Recruiting. This provides flexibility for how new hire information is updated in the process.

To enable the feature to retain data already captured in the onboarding process after a manual restart, in Onboarding General SettingsRestart Settings, enable the Retain Onboarding Information feature.

Note

  • This restart feature is supported only for new hires and rehires.
  • The onboarding steps need to be completed again after manual and auto-restart. For example, if the Personal Data Collection step has already been completed, the new hire will need to review and complete it again after the restart.

Notifications for Onboarding Restart Feature

Whenever the Onboarding process is restarted, you must enable pre-configured notifications to inform the relevant onboarding participants. You can also modify or personalize the notifications as needed. The following preconfigured email templates for the restart process are available:

  • (ONB) New Team Member Onboarding Restarted Template
  • (ONB) New Team Member Onboarding Restarted - Hiring Manager Template
  • (ONB) Onboarding Cancelled due to Restart - Hiring Manager Template
  • (ONB) Onboarding Restarted For NH Template
  • (ONB) Responsible Group Onboarding Restarted Template
  • (ONB) Hiring Manager Onboarding Restarted Template

Apart from the restart-specific email templates, the welcome email – (ONB) External User Welcome Message Template – is also resent.

Note

If the onboarding process is restarted before the Review New Hire Data step is completed, the welcome email will only be sent to the new hire after the Review New Hire Data step is completed. This is the default behavior of the system whether or not the process is restarted.
