Triggering a No-Show Event for a New Hire

Objective

No-Show Event

The No-Show feature in SAP SuccessFactors Employee Central must be set up for the cancel onboarding process function to work in SAP SuccessFactors Onboarding. Even if a customer does not have an Employee Central license, this feature must be set up.

If the customer has implemented Employee Central or they have the license to use all its features, customers can cancel a new hire onboarding process by triggering the No-Show event within Employee Central. Keep in mind that the onboarding process can only be canceled if onboarding tasks are incomplete.

Triggering the No-Show event from within Employee Central only cancels an incomplete onboarding process in the following two scenarios:

  • After the Manage Pending Hire (MPH) step and prior to the job start date
  • Within 30 days of the job start date

A good example for canceling an onboarding process by triggering the No-Show event within Employee Central is when compliance form(s) have not been completed by a new hire but they already started working for the company (after start date). They then decide not to continue their employment.

Note

Before we dive into the configurations, remember that No-Show is a feature of Employee Central. Therefore, all configurations for event reasons, events, and employee status are features of Employee Central that we use in Onboarding.

Add the No-Show Item to the Event Picklist

Business Example

The No-Show feature needs to be configured to be able to cancel any onboarding process. This requires you to configure the event and employee status picklist and create an event reason for the No-Show in SAP SuccessFactors Employee Central.

In this exercise, you will create or add the No-Show event to the existing event picklist.

Steps

  1. In the instance, navigate to Picklist Center using the Action Search bar.

  2. Search for the event picklist and select it from the search results.

  3. Choose the Active version of the event picklist.

  4. On the Picklist Values header, select +(Add New Value). The Add New Value page displays.

  5. In the External Code field, enter NS, in the Label field, enter No-Show, and set the Status to Active.

  6. To save the new picklist value, choose Create.

Add a No-Show Item to the Employee Status Picklist

Business Example

Now that you have added the No-Show event to the event picklist, you need to add a No-Show status to the employee status picklist.

In this exercise, you will create or add the No-Show status to the existing employee-status picklist.

Steps

  1. In the instance, navigate to Picklist Center using the Action Search bar.

  2. Search for the employee-status picklist and select it from the search results.

  3. Choose the Active version of the employee-status picklist.

  4. On the Picklist Values header, select +. The Add New Value page displays.

  5. In the External Code field, enter RNS, in the Label field, enter Report No-Show, and set the Status to Active.

  6. To save the new picklist value, choose Create.

Create an Event Reason for the No-Show Event

Business Example

Now that you have added the No-Show event to the event picklist and the No-Show status to the employee-status picklist, you need to create an event reason for the No-Show.

In this exercise, you will create an event reason for the No-Show event.

Steps

  1. In the instance, navigate to Manage Organization, Pay and Job Structures using the Action Search bar.

  2. In the Create New: dropdown box, enter Event Reason and, from the search results, choose Event Reason.

  3. In the Event Reason ID and Event Reason Name fields, enter NO SHOW EVENT REPORT.

  4. Make sure the Status is set to Active.

  5. In the Event dropdown box, choose No Show.

  6. In the Employee Status dropdown box, choose Report No-Show.

  7. Ensure that the Effective as of date field is set to today's date.

  8. Choose Save.

  9. Navigate to Manage Permission Roles and choose the role who will be allowed to cancel onboarding processes.

  10. Choose Permission...

  11. Choose the Employee Data permission category under User Permissions.

  12. Add Edit permission to the No Show event reason.

  13. Choose Done.

  14. Choose Save Changes.
