When you initiate an onboarding process, new hire data is passed from the recruiting system to SAP SuccessFactors Onboarding. If the value of certain variables in the new hire data changes before the candidate is hired, the onboarding process may need to be restarted because some onboarding tasks can be affected.
One reason we need to capture accurate new hire data in the onboarding process is because of data privacy and security. For example, some companies only provide system access to new employees on their start date so that internal organization information is only accessible when the new hire becomes an employee. So, if the start date of a new hire changes, you will need to restart the onboarding process to change the deadline for onboarding tasks.
You can restart the onboarding process manually or you can configure the system to trigger a restart automatically using business rules.
When the onboarding process for a new hire is restarted, the following occurs:
- The current onboarding process is cancelled.
- A new onboarding process is initiated.
- An event is written in the change log for reporting purposes.
- An email notification is sent to the assigned onboarding participants.
- An icon below the new hire’s name on their dashboard shows that the onboarding process has been restarted.
