Using Email Services and Preconfigured Email Templates

Notifications in Onboarding

Email Services in SAP SuccessFactors Onboarding simplifies the onboarding experience with consistent communication tools.

Email Services in Onboarding enables you to perform the following actions:

  • Use preconfigured email templates.
  • Create new email templates with business- and locale-specific rules and content.
  • Send timely notifications to assigned onboarding participants.
  • Configure reminder notifications to control the frequency of reminders messages.
  • Unsubscribe from notifications.

Access Email Services in SAP SuccessFactors Onboarding

The Email Services tool is universally enabled in the SAP SuccessFactors HCM Suite. While it can be accessed by all customers, it is currently only used for SAP SuccessFactors Onboarding. To access the tool, assign a consultant and administrator all permissions, or all object permissions under the following permission categories:

  • Email Framework Object Permissions
  • Configure Email Framework Permissions

To access Email Services, search for it using the Action Search bar. You can also navigate to it through Admin CenterToolsSee AllCompany SettingsEmail Services.

The Active email Notifications are displayed on the Email Services page.

Steps

  1. Assign a consultant and administrator all permissions, or all object permissions under the following permission categories:

    • Email Framework Object Permissions
    • Configure Email Framework Permissions
  2. To access Email Services, navigate to ToolsSee AllCompany SettingsEmail Services.

Result

You have accessed Email Services.

Preconfigured Email Templates in SAP SuccessFactors Onboarding

SAP SuccessFactors Onboarding comes with a set of preconfigured email templates. These email templates are designed to work seamlessly throughout the onboarding process. You can choose to use these templates as they are or customize them to meet the organization’s needs.

Preconfigured Email Templates

When you access the Email Services configuration page for the first time after setup, there will be no email templates listed on the Active Email Templates tab. You need to go to the Manage Email Template section to reuse preconfigured email templates or create custom email templates.

Add Preconfigured Email Templates for SAP SuccessFactors Onboarding

Business Example

The organization wants to enable all available email templates in SAP SuccessFactors Onboarding.

In this exercise, you will add all available preconfigured email templates in Onboarding.

Steps

  1. In the instance, navigate to Email Services using the Action Search bar.

  2. On the Email Services page, choose Manage Template.

  3. In the Manage Email template section, choose New Template (the plus icon).

  4. Choose Reuse Templates.

  5. To display more email templates, choose More. Keep choosing More until you see all available preconfigured email templates. Currently, there are more than ninety preconfigured email templates.

  6. Once you see all the available preconfigured email templates, to select all templates, select the checkbox beside Template Title in the column header.

  7. Choose Add to Active List.

Result

All preconfigured email templates for Onboarding are now activated.

Configure Company Settings to Allow Email Recipients to Unsubscribe

To allow email recipients to unsubscribe from email notifications, you need to configure the company setting.

  1. Go to Admin CenterCompany System and Logo Settings.
  2. Under Company System Setting, verify the This option allows a company-wide setting on whether users will receive Email notifications option.
    • To allow recipients to unsubscribe from email notifications, ensure the checkbox for this option is not selected.
    • If this option is selected, all users will receive all email notifications and will not be able to unsubscribe.

Email Services for SAP SuccessFactors Onboarding provides email recipients the option to unsubscribe from email notifications any time through the link in the email footer.
