Managing Opportunity Marketplace as an administrator

Objective

After completing this lesson, you will be able to configure Opportunity Marketplace features as an administrator.

Manage Opportunity Marketplace configuration

Administrators with Manage Opportunity Marketplace permission can access this tool to:

  • Enable types of opportunity to be recommended in OMP, such as Assignments, Learning or Job Roles.
  • Choose a role recommendation source for OMP. The available options are Suggested Roles or Career Explorer*. Both are Career Development Planning features, where Suggested Roles is based on an algorithm that suggests future roles to an employee based on the proximity in the career path, popularity of the role within their team or competencies associated with the role, whereas the Career Explorer uses Machine Learning technology to recommend career opportunities to the employees based on career paths of people similar to them in the organization. This option will only be visible if all the prerequisites are met.

Note

The Career Explorer feature powered by machine learning technology has some specific requirements, including Employee Central, Job Profile Builder, as well as Succession and Development. Additionally, the data requirements to generate recommendations need at least 1000 employee-and-job role pairs in the system.

Career Explorer is one of the Base AI Features in SAP SuccessFactors, which does NOT require an SAP AI Units license. More information can be found on the following resources in SAP Help Portal: Base AI Features in SAP SuccessFactors and Career Explorer

Configure Assignments

Navigate to Configure Assignments using Action Search, to control the following actions:

  • Configure General Settings.
  • Create custom fields to be utilized in assignments.
  • Edit standard assignment types.
  • Create custom assignment types.

Configure General Settings

The general settings are configured selecting the wheel icon. From there, administrators can define the following options:

  • Display or Hide the Job Role on the Assignments.
  • Define how the Part-Time Participation should be measured in Assignments (as % of time or based on hours/week).
  • Choose a user to replace inactive assignment owners to be purged in DRTM Master Data Purge.

  • Set the notification preferences (in days) in regards of reminders prior to start/end date of the assignments. More information about the notifications for assignments in Opportunity Marketplace can be found here: Notifications for Assignments Users

Configuring Custom Fields for Assignment Types

Custom fields can be defined and determine for which assignment types they should be available. An administrator can easily create fields, with the following options:

  • Fields can be of type Boolean, Text, Textarea and Generic Object (GO).
  • Except for the GO's, a maximum of 10 custom fields for each type can be created.
  • The following Generic Objects are available to create custom fields. For each GO, you can only create one custom field:
    • Department
    • Business Unit
    • Division
    • Country/Region
    • Job Function
    • Job Classification

Note

Except for the Country/Region, to view these Generic Objects, it is necessary to have Employee Central Foundation Objects enabled, and View permission for the different objects, granted on MDF Foundation Objects category, in RBP.

To create a custom field in Configure Assignments, follow these steps:

  1. Select Field Type from the dropdown list.
  2. Enter a Field Name (maximum 256 characters). For Generic Objects, the field name is essentially the GO type (Department, Division, Business Unit...).
  3. Enter an Input Prompt (optional), which works as a hint to describe this field (maximum 256 characters). This is not available when selecting Boolean or Generic Object as the field type.
  4. If you need to restrict to which assignment types the custom field should be available, use Related Assignment Types and select one or multiple from the list. If nothing is selected, the custom field will be available to add into any assignment type.

Configure Assignment Types

There are 5 standard Assignment Types in Opportunity Marketplace, which includes:

  • Project
  • Fellowship
  • Vocational Training
  • Internship
  • Other

Additionally, assignment types can be created to the customer's preference, to a maximum of 50 in total.

The following actions can be completed for the Assignment Type configuration:

  • Define Assignment Type name including translations. Standard assignment types can also be renamed if needed.
  • Upload an image to be the default for the assignment type. The file size should be no larger than 2 MB and in JPEG, JPG, or PNG format.
  • Change Status (Active/Inactive)
  • Require Notifications or Approvals. Whenever an assignment needs to be published, someone applies and/or accepts an offer, notifications can be sent Managers to keep them informed. Additionally, approvals can be set for each of these actions.

    Note

    The only "standard" approval is to Accept an offer, which can be sent to the Manager to confirm his/her acceptance before the direct report can accept an offer to an assignment. For other type of approvals (Advanced Approval Workflow), it is required to have Employee Central enabled. More information can be found in this guide: Implementing and Managing Workflows
  • Configure Custom Fields. If these fields have been created in the general configuration, and they are available for our assignment type, they can be included. Additionally, the fields can be made required, if needed.

Mass create assignments

Administrators can mass create assignments using a CSV template. Download the template and follow the instructions included. The template will include the following files:

  • AssignmentType.csv: This is just informative, the file indicates the IDs of the different assignment types which will be required for creation of assignments.
  • AssignmentTemplate.csv: This is the template to create assignments (with Draft or Published status).
  • ApplicationTemplate.csv: You can optionally add applicants on these assignments. If you don’t include application data, it cannot be created in bulk at a later stage.
  • Instructions.txt: Includes instructions on how to mass create assignments.

Email Notifications in Opportunity Marketplace

Enable e-mail notifications so that the target recipients can receive e-mail notifications when applicants apply for assignments, the assignment offer is received, accepted, or rejected, and the applications for assignments are declined.

  1. Navigate to E-Mail Notification Templates Settings using Action Search.
  2. Select the following types of email notifications that you want to enable for assignments:
