Creating a Landing Page with a Data Capture Form

Objectives

Data Capture Forms

Data capture forms are added to landing pages to capture new candidates (candidate information).

After the form has been submitted, the data is saved to a candidate’s profile. If the candidate later applies for a job, their basic information already exists.

Candidates who complete the form receive a welcome email with a link to set their password. Candidates who complete data capture forms can be added to talent pools, in order to communicate with them.

The behavior is different for candidates who already have a candidate profile and then complete a data capture form. This use case is discussed later in this section.

When you enable Candidate Relationship Management in Command Center, the ability to configure data capture forms and email layouts appears in Career Site Builder (CSB).

In Career Site Builder, under Tools, select Data Capture Forms and under Layouts, select Email.

Standard Fields on Data Capture Forms

Many standard fields on the candidate profile can be added to data capture forms, including:

  • First Name

  • Last Name

  • Primary Email

  • Primary Phone (Mobile phone)

  • Alternate Phone (Home phone)

If any of the fields listed in this table are desired on the form, ensure that the field is first added to the Candidate Profile XML Template, using the data type shown. Run the OData API Metadata Refresh after importing the updated candidate profile template.

Using the Candidate Profile Extension, additional fields can be created to be added to data capture forms.

Customers may also want to add the Resume Upload option to their data capture forms.

Standard Candidate Profile Fields that can be Added to Data Capture Forms provided in two columns: RCM Property and Expected RCM Property Type. For example, contactEmail is text and country is pickList.

Data Capture Form Creation

Data capture forms can be created from Career Site BuilderGlobalData Capture Forms. Career Site Builder prompts you to select the Locale to be used. From the Details tab, ensure you mark the form as Active. From the Layout tab, you may add as many fields to the form as desired.

On the Data Capture Form Builder, select +Add to add a new field.

Labels and Ghost Text

Select Label Only (creates standard field labels displayed outside the fields) or Ghost Text (creates field labels inside the fields themselves) or Both.

Expand the field at the left to enter the desired label or Ghost Text.

On the Data Capture Form page, on the Styles tab, select the Field Alignment from the drop-down list.

Create a Data Capture Form

In this video, you will see a demonstration of how to create a data capture form.

Business Example

Best Run is planning a career fair for engineering students at the local university, and would like to collect some basic information from the participating students. They will add some standard fields to the form, and later will create additional fields using the Candidate Profile Extension.

Steps

  1. Within CSB, navigate to ToolsData Capture Forms. If this option doesn't exist, close and re-open CSB. It may take a while to load when opening for the first time.

  2. Choose +Add.

  3. For the Name field, enter Engineering Career Fair and select the English Locale.

  4. Select Save.

  5. On the Details page, select YES for Is Active.

  6. Choose Label Only from the Label Type field, or, if you prefer, select Both and follow the instructions in the course content to enter the Label and Ghost Text.

  7. Select Save.

  8. Select the Layout page.

  9. Choose +Add.

  10. Ensure that the following fields are added to the form:

    • First Name

    • Last Name

    • Primary Email

    • Primary Phone

    • Resume

    • Country

    • Consent to Marketing

    • Consent to Email Alerts

    Note

    You may have to wait for up to an hour for some of these fields to be available.
  11. Use the arrow buttons to reorder the fields into the order listed, if necessary.

  12. Select Save.

Additional Fields on Data Capture Forms: Candidate Profile Extensions

Customers use the Candidate Profile Extensions in several ways, including the following:

  • Adding additional fields to data capture forms
  • Adding searchable notes for recruiting users

Additional Fields on Data Capture Forms

By creating Candidate Profile Extensions, questions in addition to standard candidate profile fields can be added to the forms on landing pages.

Searchable Notes for Recruiting Users

Recruiters and other internal users add Candidate Profile Extension fields to store notes related to the candidate. These notes are added to the profile and are searchable. Some examples include:

  • Project end date: When is the candidate available for another project?
  • Follow-update with candidate: Recruiter searches on today’s date.
  • Comments (Candidate notes): For example, add notes from speaking with the candidate at a career fair.

Note that candidates cannot view Candidate Profile Extension fields on their candidate profile; only internal users can view and edit these fields.

Select the Candidate Profile Extension option to view the project end date information.

Candidate Profile Extension Field Value Searches

Internal users can search for Candidate Profile Extension fields. From RecruitingCandidates, select the desired field to filter on from the Profile Extension dropdown.

On the Candidates tab, under Keyword and Item search, specify the profile extension and project end date.

Candidate Profile Extension Fields Added to Data Capture Forms

By using the Candidate Profile Extension, additional fields can be created that can then be added to data capture forms. For example, recruiters may want to gather information from a landing page such as "What is your major?" or "How many years of retail experience do you have?"

Remember that many of the standard candidate profile fields can be added to the candidate profile template.

Supported field types include the following:

  • String (Text)

  • Boolean

  • MDF Picklist (Picklist V2)

  • Number

  • Decimal

Fields taken from the Candidate Profile Extension that have been marked as required appear as required on data capture forms. You cannot change these to non-required fields on the form.

Use the Candidate Profile Extension to create additional fields that can then be added to data capture forms.

Create Candidate Profile Extension Fields

To create Candidate Profile Extension fields, proceed as follows:

Steps

  1. Navigate to Admin CenterConfigure Object Definitions.

  2. From the Search box, select Object Definition.

  3. From the second box, use typeahead to locate and select Candidate Profile Extension.

  4. From the Take Action dropdown list at the right, select Make Correction.

  5. Scroll to the bottom of the Fields section and in the box containing cust_ enter the desired field name. (The cust_ prefix will be added automatically.)

    1. In the Maximum Length box, enter 255.
    2. On the same line, select Details.
    3. Scroll down to the Label field and enter the desired field label.
    4. Choose Done. (It appears that some of the remaining fields on that page are required, but they are not.)
  6. Scroll to the bottom of the main Object Definition page and select Save.

Add Candidate Profile Extension Fields to a Data Capture Form

To add Candidate Profile Extension fields to a data capture form, proceed as follows:

Steps

  1. From Career Site Builder, navigate to Global and then select Data Capture Forms.

  2. Edit the desired form.

  3. On the Layout page, choose +Add.

  4. Select the desired fields to add.

    Note

    There may be a slight delay to view new fields.
  5. Select Save.

Create Candidate Profile Extension Fields and Add to the Data Capture Form

Business Example

For the Engineering Career Fair, in addition to the candidate’s contact information, recruiters would like to ask a few more questions. Create those additional fields now, and add them to the data capture form.

Task 1: Create a MDF Picklist

Steps

  1. Navigate to Admin CenterPicklist Center.

  2. Select the + icon (Create a picklist).

  3. For Code, enter gradYear.

  4. For Name, enter Year you will graduate

  5. For Status, select Active.

  6. For Effective Start Date, enter Jan 1, 1900.

  7. For Display Order, select Numeric.

  8. Select Save.

  9. Scroll to the Picklist Values section of the page.

  10. Select + (Add new value).

  11. For External Code, enter 2024.

  12. For Label, enter 2024.

  13. For Status, select Active.

  14. Select Create.

  15. Repeat the previous step to add the following years:

    • 2025
    • 2026
    • 2027

Task 2: Create Additional Fields

Steps

  1. Navigate to Admin CenterConfigure Object Definitions.

  2. From the Search box, select Object Definition.

  3. From the second box, use typeahead to locate and select Candidate Profile Extension.

  4. From the Take Action list on the right, select Make Correction.

  5. Scroll to the bottom of the Fields section and in the box containing cust_ enter major. (The cust_ prefix will be added automatically.)

  6. In the Maximum Length box, enter 255.

  7. From the Data Type dropdown list, select String.

  8. On the same line, choose Details.

  9. Scroll down to the Label field and enter Area of Concentration (Major).

  10. If you do not want the field to be required on the data capture form, select No for Required.

  11. Select Done. (It appears that some of the remaining fields on that page are required, but they are not.)

  12. Add another field in the same way, and name the new field school: Enter the full name as cust_school and then enter School for the label.

  13. Add another field in the same way, enter gradYearPicklist as the new field name.

  14. For Maximum Length, enter 5.

  15. From the Data Type list, select Picklist.

  16. On the same line, select Details.

  17. In the Valid Values Source field, enter gradYear. This is the name of the picklist you created.

  18. Scroll down to the Label field and enter Year you will graduate.

  19. Select Done.

  20. Scroll to the bottom of the Object Definition page and choose Save.

Task 3: Add Fields to the Data Capture Form

Steps

  1. Within CSB, navigate to ToolsData Capture Forms.

  2. Edit the Engineering Career Fair form.

  3. On the Layout page, choose +Add.

  4. Select School, Area of concentration (Major), and Year you will graduate. If these fields are not available, close and re-open CSB.

  5. Move these fields above the Resume, Consent to Marketing, and Consent to Email Alerts fields.

  6. Save.

Landing Pages

Customers can attract candidates in a specific target audience by online advertising buys that link the candidates to a landing page designed specifically for them.

The second column shown in the figure below shows how a Landing Page can contain a Data Capture Form.

Potential candidates who complete a data capture form can be added to talent pools. Examples include Local Engineering Students, Salespeople in Chicago, Java Developers, Retail in Dallas, Qualified Candidates (for a particular role), company alumni that they’d like to hire back.

Landing pages may be used for a period of time and then deleted or inactivated.

Business Example

Best Run would like to attract students who are studying engineering at the local university, either for junior positions opening soon, or for an internship program with the intent to develop talent for the future. They will host a career fair for these students, and will ask them to complete a form with some basic information. (We will add the data capture form to the landing page later.)

Steps

  1. Navigate to CSBPagesLanding PagesEnglishDefault Brand.

  2. Choose +Add and enter the following values:

    • Name: Engineering Students
    • Locale: English
    • Brand: Default Brand
  3. Save.

  4. On the Details page, for Is Active, select YES.

  5. For Show two columns, select YES. We will configure the first column now, and later add a data capture form to the second column.

  6. Using the slider, make the columns equal widths: 50% and 50%.

  7. Choose the Column 1 link.

  8. Add a Text component and Large Image component.

  9. Choose the Text component and for Header Text enter Welcome Engineering Students!

  10. Choose the T icon to the left of the field and change the font size to 32 and select the Best Run Blue color.

  11. Enter the following Body Text: We are excited that you are investigating Engineering Careers at Best Run! Not graduating this year? No problem! We have internship programs in Engineering too.

  12. Choose the T icon above Body Text and change the Size to 18. Choose Close.

  13. On the Styles tab, for Enable Spacing, select YES.

  14. Save Draft.

  15. Open the Large Image component and upload the image file, college_grads.jpg. Add Alt Text.

  16. Change Image Position to Middle Right and Max. Height of Image to 350.

  17. Select Publish and preview.

    Metadata does not apply to landing pages. We don't need to duplicate this page because it's only for the Best Run brand.

Data Capture Forms on Landing Pages

Landing pages are used in campaigns to capture specific traffic and organize potential candidates into talent pools. Examples include engineering students, salespeople in Chicago, Java developers, retail in Dallas, qualified candidates (for a particular role), company alumni that they’d like to hire back.

In the figure below, the form was added as the second column on the landing page.

Ensure that any images used are applicable for the audience.

Include text such as "The data you provide will only be used to contact you about present or future opportunities. Your information will not be shared with any third parties." Consult your legal department for specific language.

Your customer may also want to inform candidates who have previously applied for a position that information submitted on a data capture form will not be saved.

Add Data Capture Forms to Landing Pages

We created a landing page for college students who are studying Engineering at a local university. Too add a data capture form to a landing page in order to gather information from the University Career Fair, do the following:

Steps

  1. Within CSB, navigate to PagesLanding.

  2. Edit the desired landing page.

  3. Select the column where you want the form, choose Add Component, and select Data Capture Form.

  4. Open the component and, from the Data Capture Form field on the Details page, select the desired form.

  5. Enter the Data Capture Form Code*, Header and Instructions, and make any other changes required.

  6. Save Draft.

  7. Select the Data Privacy Consent Statement page and select a Link Font color.

  8. Publish and preview.

    On the Details tab, add a Data Capture Form to a Landing Page.
    Data Capture Form Field Setup

    The Data Capture Form Code is used to search for all candidates who have completed the data capture form. There is a limit of 40 characters.

    Candidate messages can be summarized as follows:

    • The Success Message is displayed after a candidate successfully submits the form.
    • The Completed Message is displayed to candidates who have previously completed all fields on the form, indicating that there are no new fields for them to complete.
    • The Existing User Message is displayed to existing candidates. Your customer will likely want to change this message, as the default text states that their profile has been updated, but this is only true if the existing candidate completed this form after receiving a link from an email campaign.
      • Example text: Thank you for submitting your information. If you have previously submitted this form, a recruiter will be in touch with you.

    On the Details tab, add a Data Capture Form to a Landing Page. The following fields are highlighted: Data Capture Form Code, Success Message, Completed Message, and Existing User Message.

Result

You have added a data capture form to a landing page.

Data Privacy Consent Statement

The Data Privacy Consent Statement is recommended to be presented on the data capture form, detailing how you will handle the candidate's personal data. Otherwise, candidates who complete the data capture form won’t get email campaigns unless an opt-in email is later sent and accepted.

Even if the other steps regarding the Country/Region field are performed, that field won’t display on the list of fields to add to the data capture form unless a Data Privacy Consent Statement is configured.

After the candidate selects their country/region on a data capture form, the link to the Data Privacy Consent Statement appears.

Make My Profile Visible to - Default Option

The Make My Profile Visible to option cannot be added to a data capture form. The customer chooses which of the three options to apply to candidates who complete the form. This is set from ProvisioningEdit Candidate Privacy Options.

Make by Profile Visible to” on a Create an Account Page options. The options are: Any company recruiter worldwide, Any company recruiter in my country/region of residence, Only recruiters managing jobs I apply to.

Add a Tracking Link to the Landing Page

Before posting a link to a landing page online, or disseminating it in other ways, a tracking link needs to be added so that the campaign results are reportable in Advanced Analytics.

To add a tracking link to the landing page, choose Source Tracker – Campaign URL Builder.

To add a tracking link to the landing page, proceed as follows:

Steps

  1. Navigate to RecruitingSource TrackerCampaign URL Builder, and enter the URL for the landing page.

  2. Select the location where the link to the page will be posted and add a Campaign Name. If desired, generate a Short URL.

  3. Post the resulting link.

Result

You have now added a tracking link to the landing page.

Add a Data Capture Form to a Landing Page

This video demonstrates how to add data capture forms to a landing page.

Business Example

Earlier, you created a landing page for college students studying engineering at a local university. Now, add the data capture form that you created.

Steps

  1. Within CSB, navigate to PagesLanding Pages.

  2. Select to edit (pencil icon) for the Engineering Students landing page.

  3. On the Column 2 page, choose Add Component, and select Data Capture Form.

  4. Move cursor onto this and select it to open the new component.

  5. On the Details page, select Engineering Career Fair from the Data Capture Form field.

  6. For Data Capture Form Code, enter Engineering Students.

  7. For Data Capture Form Header, enter Please provide some basic information.

  8. Choose the T icon and change the size to 24 and the color to Best Run Blue.

  9. Close.

  10. For Data Capture Form Instructions, enter The data you provide will only be used to contact you about present or future opportunities. Your information will not be shared with any third parties. Note that if you have already applied for a position, information submitted on this form will not be saved to your profile.

  11. For Existing User Message, enter Thank you for submitting your information. If you have previously submitted this form, a recruiter will be in touch with you.

  12. Save and close.

  13. Close.

  14. Select the Styles page. No changes are required.

  15. Select the DPCS (Data Privacy Consent Statement) page. Change the Link Font color to Best Run Blue.

  16. Publish and preview.

  17. Review your landing page and data capture form.

Associate a Job Alert

You can choose to set up a specific job alert for candidates who complete the form. If a job alert is not set up, no alerts will be sent to those who complete the form.

To associate a job alert to be sent to candidates who complete the data capture form, proceed as follows:

  1. Within CSB, navigate to the landing page containing the data capture form.

  2. Edit the page and choose the Data Capture Form component.

  3. Select the Job Alerts tab.

  4. Select Add Filter.

  5. For Field Name, select Division.

  6. For Values, select Engineering.

  7. Select Done.

    On the Job Alerts tab, associate of a Job Alert to a Data Capture Form.

Business Example

Set up a job alert for candidates who complete the form. A job alert will be sent once per week when new positions are posted to the Engineering department.

Steps

  1. Within CSB, navigate to the landing page containing the data capture form.

  2. Edit the page from the Column 2 tab and choose the Data Capture Form component.

  3. Choose the Job Alerts tab.

  4. Choose the Add Filter button.

  5. For Field Name, select Division.

  6. For Values, select Engineering.

  7. Choose Done.

  8. Publish.

Country Field on the Data Capture Form

While viewing the fields added to a data capture form, select the > icon before the Country field, and choose Picklist to view the list of countries.

If the Country picklist has been updated, chose Refresh Picklist on this page.

On the Data Capture PickList Labels dialog box, the Refresh PickList button is highlighted.

Country on the User Data File for Recruiting Users

When creating an account, candidates can specify which recruiters can view their profile. If they choose Any company recruiter in my country of residence, the system needs to know which country the recruiters reside in.

Customers using a Data Privacy Consent Statement must have a valid country value in the Country field of the user data file for Candidate Relationship Management users, such as recruiters and sourcers. You may enter either the 3-digit ISO code or the country name (as long as your customer is not using Employee Central).

Enter the Country on the User Data File for Candidate Relationship Management Users

To enter the country on the user data file for Candidate Relationship Management users, follow these steps:

  1. Navigate to Admin CenterEmployee Export.

  2. Select Export User File.

  3. Save the ZIP file locally.

  4. Extract the User Directory file.

  5. Open the user data file in a spreadsheet application, such as Microsoft Excel or Open Office.

  6. Scroll to the Country field and ensure that this column is populated for all recruiters and sourcers. (Note that in the figure that appears below, some rows and columns have been hidden.)

  7. If changes are required, save the file as a CSV and import it from Admin CenterEmployee Import.

Welcome and Set Password Email and Trigger Configuration

Candidates who complete the Create an Account page during the recruiting process provide both their email address and a password.

Set a Password on the Create an Account Page. The following fields are highlighted: Choose Password and Retype Password.

However, candidates who complete a data capture form cannot set their password on the form.

An auto-generated email needs to be sent to candidates who complete a data capture form. The email welcomes them and provides a link to set the password for their account in SAP SuccessFactors Recruiting.

Configure the Welcome and Set Password Email and Trigger

To configure the Welcome and Set Password Email and Trigger, perform the following steps:

  1. From Admin CenterManage Recruiting Email Templates, create the data capture form submitted — Welcome and Set Password email.

  2. For Template Name, enter Data Capture Form Submitted - Welcome and Set Password.

  3. For Status, select Enabled.

  4. Add the content as directed in the exercise.

  5. Click Configure Triggers and copy the token [[RECRUITING_PASSWORD_RESET_URL]] for use in the email.

  6. Save.

  7. From Admin CenterRecruiting Email Triggers, select Data Capture Form Submitted — Welcome and Set Password.

  8. Click Enable.

  9. For Email Template, select Data Capture Form Submitted — Welcome and Set Password.

  10. Click Validate Standard Tokens.

  11. Save.

You have configured the Welcome and Set Password Email and Trigger.

Business Example

This step is critical! If this email and trigger are not configured, candidates will not be able to log in and change their password to finish creating their account.

Steps

  1. From Admin CenterManage Recruiting Email Templates, select Create New Template.

  2. For Template Name, enterData Capture Form Submitted--Welcome and Set Password Email.

  3. For Status, select Enabled.

  4. Enter the email content. Some suggested text is provided below. The tokens are available from the email trigger of the same name.

    Subject: Thanks for Submitting Your Information

    Hello [[RECRUITING_CANDIDATE_FULLNAME]],

    Thank you for your interest in our company. By submitting your information on our website, a candidate account was started. To access this account and to provide additional details, please click the link below to set your password. [[RECRUITING_PASSWORD_RESET_URL]]

  5. Save Changes.

  6. Navigate to Admin CenterRecruiting Email Triggers.

  7. Select Data Capture Form Submitted -- Welcome and Set Password Email.

  8. Choose Enable.

  9. From the Email Template dropdown list, select Data Capture Form Submitted -- Welcome and Set Password Email.

  10. Confirm that Recipients contain Candidate.

  11. Choose Validate Standard Tokens and view the message at the top of the page.

  12. Save.

Data Capture Form Testing

To test a data capture form after adding it to a landing page, preview the page from Career Site Builder and complete the form as if you were a new candidate.

Note

Be sure to use an email address that you actually have access to.

  • One option is to use a site such as 33mail.com to create an email address that forwards the email to your existing email account.
  • Or, if you have a gmail account, you can receive the email there by adding a unique number for each candidate. For example, for the first candidate use yourname+1@gmail.com, for the second candidate use yourname+2@gmail.com, and so on.

Test Candidate Completes the Form

Remember that the privacy policy text does not display until after the country is selected, and you cannot select Submit until you have accepted the privacy policy.

To Complete a Data Capture Form, you must accept the privacy policy in order to Submit the form.

Recruiter Searches for the Test Candidate

As a Recruiter, navigate to RecruitingCandidates, and search for the candidate. Note that you can search on candidates’ responses.

  • For standard Candidate Profile fields, select the field from the Background dropdown list.
  • For a field added through the Candidate Profile Extension, select the field from the Profile Extension dropdown list.

After searching, choose the desired candidate’s name to view their profile.

Select a Candidate by selecting the Profile Extension Field, for example, their area of concentration (major).

Test Candidate Changes Their Password

The candidate receives the auto-generated email, selects the password link, resets their password, and now has a working account in SAP SuccessFactors Recruiting.

If the candidate opted-in to Hear more about career opportunities, they can receive email campaigns. If they selected Consent to Email Alerts, they will receive job alert emails.

Leading Practices: Data Capture Forms

Data capture forms can be used creatively to fulfill a customer’s need to collect candidate data without using an application.

  • Rather than using the Create an Account page to capture the information to create a new candidate profile, some customers present a data capture form when the candidate selects Join the Talent Community.
  • In this way, additional fields can be added to the form, and the page can be formatted to match the company’s branding.
  • Notice that the Country field is at the top of the form. After selecting Country, it takes a couple of seconds for the data privacy statement to be presented. To avoid a delay once the candidate gets to the bottom of the form, the Country field is presented at the top.

Data Capture Form or Create an Account

Consider the following:

  • Most customers use the Create an Account form to create a candidate profile for new candidates, but some customers use a data capture form instead.
  • The use of a data capture form is more versatile. For example, additional fields can be added to the form.
  • However, when using a data capture form, candidates must create their login credentials in a separate step, and they are not presented with the Forgot your password? option.

Pros and Cons of Data Capture Forms Versus Create an Account

Considerations include pros and cons for both the data capture form and the Create an Account options.

  • For both:
    • Both the use of a data capture form or the Create an Account page creates a candidate profile for new candidates, which makes the candidate searchable in SAP SuccessFactors Recruiting.
  • Data capture form:
    • Can add other fields to the form.
    • Can attach a resume, but note that resume parsing is not enabled for data capture forms.
    • Can format the page. For example, use two columns, add other components and images.
    • If a candidate profile already exists, there is a way for recruiters to send an email campaign to existing candidates so they can complete new fields. The recruiting organization will need to create a process to support this.
  • Create an Account:
    • Login credentials (email and password) are created for the candidate when the Create an Account page is completed.
    • Data privacy options are presented so the candidate can choose whom to Make my Profile Visible to.
    • If the candidate already has a candidate profile, they can use the Forgot your password? option to log in.
    • After a new candidate creates an account, they are directed to their new profile.

Test the Data Capture Form

Business Example

Complete a data capture form as if you were a candidate, then search for the candidate as a recruiter, and view their candidate profile. Finally, open the auto-generated email and change your password as the candidate.

Task 1: Complete the Data Capture Form (Candidate)

Steps

  1. From your career site, in the header under Not Finding a Job?, select Engineering Students interest form. (If you did not set this header link, navigate to the landing page from CSB, edit the page, and choose Preview.)

  2. Complete the required fields on the form.

    1. For Email Address, use an email address that you have access to.
    2. For Country, select United States.
    3. For Area of Concentration (Major), enter Engineering.
    4. For What year will you graduate, select 2024.
    5. Select Choose File and select Dummy_Resume.pdf or another file.
    6. Select Consent to Marketing and Consent to Email Alerts.
    7. Choose I have reviewed the Data Privacy Consent Statement and then choose Accept.
  3. Choose Submit.

  4. View the form. The form will be replaced with the following: Thank You. Your information has been submitted.

Task 2: Search for the Candidate (Recruiter)

Steps

  1. From Recruiting Management, proxy as a recruiter, Paula Price. Navigate to RecruitingCandidates.

  2. From the Profile Extension dropdown list, select Area of Concentration (Major).

  3. Enter Engineering in the field and choose Search.

  4. Accept the results and scroll down to view them.

  5. Choose the candidate's name who completed the form to view the new profile.

  6. Choose the icon for Candidate Profile Extension to view this candidate’s responses.

Task 3: Change Your Password (Candidate)

Steps

  1. Check your email for an email with the Subject: Thanks for Submitting Your Information. Open the email and choose the password link.

  2. Enter a new password and select Submit.

  3. Choose Sign In.

  4. Enter the email address and password and choose Sign In.

  5. Navigate through the candidate profile.

  6. Expand Search Options and Privacy and notice the options that the candidate chose.

  7. Expand Jobs Applied and notice that the candidate has not applied for a job.

Data Capture Form Updates for Existing Candidates

Candidates cannot update Candidate Profile Extension fields on data capture forms.

Candidate Profile Extension Fields and Candidates

Only permissioned internal users can directly enter updates to Candidate Profile Extension fields.

Candidates can log in to their account to update standard fields on the candidate profile. But remember that candidates currently cannot view the Candidate Profile Extension on their profile. Data capture forms are intended for use by new candidates. Information captured on the form is not saved for candidates who already have a candidate profile.

Example of a message that displays for existing candidates. The message says the following: There's already a profile associated with the email address you provided, so we can't create a new profile.

For existing candidates who submit a form, the information is not saved unless they were sent a link to the form via an email campaign. When the candidate is sent a link, only fields that were not previously completed are presented. Candidates cannot view or update existing values for Candidate Profile Extension fields.

Data Capture Form Updates for Existing Candidates

Recruiters do a search on the Data Capture Form Code to identify existing candidates who have unsuccessfully submitted the form by searching for "Visited." The recruiter can select these candidates and add them to an email campaign.

To search for Candidates Who Unsuccessfully Submitted a Data Capture Form, on the Keyword and Item Search tab, find the Data Capture Form and, for Candidate Activity, select Visited from the dropdown list.

Email Campaign that Links to the Data Capture Form

In order for the data capture form landing page link to pass through authentication when sent in an email, the link must be inserted in the email using the link button. Do not paste the link directly into the email. Copy the link for the landing page, and paste it into the URL field. Provide the text for the link in the Display Text field. The second screen capture shows how this link displays in the email.

Data Capture Form Field Completion

Data capture forms cannot be used to update existing fields that have already been completed by the candidate. Only new fields added to forms and not already completed by the candidate will be shown on the data capture form when they return to it via the link delivered in an email campaign.
