Developing a Job Distribution Strategy With the Customer

Job Delivery Overview

Job distribution is vital to ensuring proper candidate workflow and source analytics. SAP SuccessFactors Recruiting offers a variety of options to deliver jobs to the job boards where customers choose to post.

The goal is to ensure that customers are able to utilize tracking and analytics to make informed decisions on their job placements and ongoing spend.

Job Delivery Intake Meeting

At the start of the project, when sending the job delivery review documents from SAP PartnerEdge, direct the customer to complete the Job Distribution Sources tab in the configuration workbook to map out all of the current sources that they are using as part of their job distribution/online sourcing strategy.

After the customer returns the workbook with the completed Job Distribution Sources, the implementation consultant conducts the job delivery intake meeting with the customer to develop a job distribution strategy.

Use the following suggestions to organize the meeting:

  • Review relevant slides to prepare for the job delivery intake meeting, available in SAP PartnerEdge.

  • Explain the purpose of the meeting.

  • Explain how job tracking works and why it’s important.

  • Explain the options so that the customer can determine what work best for their purposes. Examples including the following:

    • Recruiting Posting: Pick-and-post

    • XML Feeds: Automated job delivery

    • Organic Network: Free delivery to job boards that SAP has relationships with

  • Consider the customer’s sponsorship and agreements with vendors (contracts with job boards). Examples include the following:

    • LinkedIn: Uses job slots (job "parking spots")

    • CareerBuilder, Monster: Use job postings (single-use job posting credits)

    • Glassdoor, Indeed: Use pay-per-click (unless using free version)

Optional: Engage Professional Services for Support with Job Distribution

If the implementation consultant does not feel that they can adequately support their customer with their job distribution strategy, remember that you can engage Professional Services for support. This is highly recommended for your first few implementations.

Professional Services can work with the customer on advanced job distribution/source tracking enablement, and also for consultation on their Recruiting Advanced Analytics  reporting needs. A Professional Services contract is required, through the customer’s sales representative.

Job Distribution Combinations

Recruiting Posting and XML feeds are not a one versus the other option. They are meant to work together for a full job delivery solution. Possible combinations may include the following:

Recruiting Posting includes the following:

  • Finite Inventory Job Board Postings (for example, LinkedIn, CareerBuilder, and Monster) split by Line of Business, Brands, and so on.

  • Identifying Sponsored Postings on "Cost Per" Sources (for example., Indeed PPC, Glassdoor JobAds, and so on.)

  • College/University Postings

  • Social Media Postings

Standard (All Job) XML feeds include the following:

  • Job Aggregators (Indeed, Jobs2Careers, and so on) for free listings/Organic Network

  • Unlimited Inventory Job Boards (for example, RecruitMilitary.com)

  • OFCCP Compliance Postings (for example, Direct Employers)

Custom (Filtered) XML feeds include Niche Job Board Automation (for example, All Part-Time/Hourly jobs on SnagAJob).

Organic Network

Considerations for the Organic Network include the following points:

  • Be sure to offer your customer free delivery to the job boards that SAP has relationships with: the "Organic Network."
  • SAP SuccessFactors maintains this partnership network with job aggregators and job boards that drive traffic to customer career sites. Automated feeds are set up by SAP Support.
  • Some sources accept all jobs, but some only post jobs relevant to their region and audience. Examples: College Recruiter only accepts internship, college graduate or early talent/entry level jobs. Eluta only accepts jobs in Canada.
  • Inclusion in the Organic Network is "all in" or not at all. Customers are not able to choose specific sources to send to, as the delivery is universal and filtered on the backend. If the customer wants to send to only to a specific partner in the Organic Network, it will have to be based on their specific relationship and with a standard XML feed.
  • For your customer’s jobs to be posted to the Organic Network, they must deliver the signed authorization forms from SAP PartnerEdge to their functional consultant. The consultant attaches the forms to the Referral Engine Task Support Ticket after the customer's career site is moved to production. Expected turnaround time is 3-5 business days.

XML Feeds

An XML feed is automated technology that pushes job content to job boards and aggregators.

  • Replace the recruiters’ process of manually posting jobs on interactive sources.
  • URL tracking is automatically set up for each job within the XML feed.
  • XML feeds can be filtered to only include certain types of jobs.

XML feeds can only be enabled after Career Site Builder is implemented. The jobs come from CSB to the job board via the XML feed, then back to CSB to begin the application.

XML Feed Types

The types of XML feeds that can be set up for customers are as follows:

  • Standard: All job feeds that involve no customization to set up and distribute to the receiving source. This is an effective alternative for direct scrape to ensure proper source tracking in Advanced Analytics. Examples: Indeed, GlassDoor. Note that one standard XML feed is included in a standard Recruiting implementation.
  • Custom: Any job feed that requires a level of filtering, client-specific customization. Examples: Only nursing jobs are sent to a niche healthcare site. Jobs with "Account Executive" in the job title are sent to a niche sales site.

Job Distribution to State/Local Boards

The Office of Federal Contract Compliance Programs (OFCCP) is part of the U.S. Department of Labor, and is responsible for ensuring that employers doing business with the federal government comply with the laws and regulations requiring nondiscrimination.

Presently, SAP SuccessFactors Recruiting does not deliver jobs directly to state/local boards or similar sites, which is required by U.S. government contractors and other employers in order to be OFCCP compliant. Note that the auto-posting functionality within Recruiting Posting can be used for this purpose.

We recommend leveraging partnerships with third-party vendors who are able to automatically deliver jobs to the required boards as well as diversity, disability, gender, and military veteran sites within their network. These vendors are also able to provide on-demand reporting on compliance and job delivery validation to these channels. Third-party contracts should be purchased directly with the vendor. Pricing may vary on job volume, regions, and number of brand entities.

We recommend using an XML feed to deliver the jobs to the third-party vendors. Vendors include Circa, Direct Employers Association (non-profit), and Maximus.
