Candidate Relationship Management Enablement and Permission Setting

Candidate Relationship Management configuration can be done by the customer.

Provisioning: Enable the following settings under Company Settings. Note that it is quite likely that these settings are already enabled in your customer’s environment.

  • Enable Generic Objects - requires "Enable the Attachment Manager"

  • Role-based Permission - This will disable Administrative Domains)

Career Site Builder: Enable Candidate Relationship Management from SettingsSite ConfigurationSite Information.

From the Upgrade Center (from within Admin Center), enable the following:

  • Candidate Relationship Management Talent Pools

  • Candidate Relationship Management Email Campaigns

Roles in Candidate Relationship Management

Candidate Relationship Management is typically used primarily by recruiters and sourcers to:

  • Manage talent pools

  • Send email campaigns

The initial setup is usually performed by an admin or perhaps a "technical recruiter":

  • Enable Candidate Relationship Management and set user permissions

  • Create data capture forms and landing pages

  • Create talent pools and status sets

  • Create email layouts and email campaign content templates

  • Send initial consent opt-in email(s)

  • Create ad hoc reports

The company’s marketing/brand management group often assists with decisions regarding:

  • Data capture forms and landing pages

  • Email layouts and email campaign content templates

Permission Settings

Admin Center: Manage Permission Roles

  • For admins and recruiters/sourcers who will create and manage elements of Candidate Relationship Management.
  • Under Metadata Framework (MDF), enable the permissions that are required.Select Metadata Framework (MDF) to set permissions. The page provides various checkboxes, for example, Manage Data, Configure Business Rules, or Manage Positions.
  • Under MDF Recruiting Permissions, select View, Edit, and Import/Export for each of the Candidate Relationship Management features:

    • CRMSavedSearch

    • CRMSavedSearchAudit

    • Campaign

    • CampaignContent

    • CampaignPool

    • CampaignRecipient

    • Pool

    • Pool Member

    • Share Pool with Group

    • Share Pool with User

      Select MDF Recruiting Permissions to set permissions. The page provides various checkboxes, for example, CRMJobSummary or Campaign settings.
  • Under Manage MDF Recruiting Objects, select View, Edit, and Import/Export for the appropriate Candidate Relationship Management:

    • Campaign Limits

    • Candidate Relationship Management Status

    • Candidate Relationship Management Status Map

    • Candidate Relationship Management Status Set

    • EmailBrandTemplate

    • MarketingBrand

    • Pool Limits

      Select Manage MDF Recruiting Objects to set permissions. The page provides various checkboxes, for example, Campaign Limits or Candidate Relationship Management Status Set settings.
  • Provides permission to users for the Manage Email Campaign Content Template page and for the OData entities EmailCampaignTemplate and TemplateLocaleLabel.

  • Under Manage Recruiting, enable Administrator Permission for Email Campaign Content Template and OData Entities.

    Select Manage Recruiting to specify what permissions users in this role should have. The highlighted option is Administrator Permission for Email Campaign Content Template and OData Entities.

Enable Candidate Relationship Management and Set User Permissions

Business Example

To work with Candidate Relationship Management, it first needs to be enabled in Provisioning, Career Site Builder, and Admin Center. Then, role-based permissions must be set.

Task 1: Enable Candidate Relationship Management

Steps

  1. Navigate to ProvisioningCompany Settings.

  2. In Career Site Builder, navigate to SettingsSite ConfigurationSite Information and select Use CRM. Select Save.

  3. In your SAP SuccessFactors HCM instance, navigate to Admin CenterUpgrade Center. Under Optional Upgrades, if Candidate Relationship Management Talent Pools is listed, choose Learn More & Upgrade Now. (Talent pools and email campaigns may have already been enabled in your training environment.) Select Upgrade Now.

  4. Also under Optional Upgrades, if the Candidate Relationship Management Email Campaigns is listed, select Learn More & Upgrade Now. Select Upgrade Now.

  5. Log out and log back in. These changes may take 30 minutes to take effect.

Task 2: Set Permissions for Administrators, Recruiters, and Sourcers to Manage Candidate Relationship Management

Steps

  1. Navigate to Admin CenterManage Permission Roles, select the Administrators role, and choose Permissions.

  2. Under Administrator Permissions, select Metadata Framework on the left and enable all options on the right.

  3. Under User Permissions, select MDF Recruiting Permissions on the left and on the right, and enable the View, Edit, and Import/Export options for all elements listed.

  4. Under Administrator Permissions, select Manage MDF Recruiting Objects on the left and on the right, and enable the View, Edit, and Import/Export options for all elements listed.

  5. Also under Administrator Permissions, select Manage Recruiting on the left, and on the right. enable Administrator Permission for Email Campaign Content Template and OData Entities.

  6. Select Done.

  7. Select Save Changes.

  8. Perform the same steps for the Staffing role, so that recruiters and sourcers can also create and manage talent pools, status sets, email templates and campaigns, marketing brands, and so on. (Note that Recruiting users don't actually need each one of these permissions, but we'll select all for practice.)

  9. Log out and log back in.
