Gathering the Customer's Requirements in the Recruiting Advanced Analytics Configuration Workbook

  • Demonstrate how the customer updates the Recruiting Advanced Analytics workbook with their requirements
  • Determine with the customer how to map their applicant statuses to Recruiting Advanced Analytics.

Recruiting Advanced Analytics Overview

This video provides an overview of Recruiting Advanced Analytics.

Customers must have a Career Site Builder (CSB) site to implement Advanced Analytics. The standard Recruiting base scope includes the implementation of Advanced Analytics.

This course covers implementations where the customer is using SAP SuccessFactors Recruiting as their applicant tracking system (ATS). If the customer is using a third-party ATS, engage with the Professional Services team to complete the Advanced Analytics implementation.

Remember that the Source Report located under Recruiting in SAP SuccessFactors HCM contains pre-apply information: Visitors to the customer’s CSB career site, Members (visitors who created a profile), and ApplicationStarts. Advanced Analytics integrates data from Career Site Builder with records from the customer's ATS. So Advanced Analytics tracks the recruiting process from beginning to end, starting with each candidate’s visit through the ultimate hire.

The following columns are pre-apply: Visits, Subscriptions, and Applications Started. The following colums are apply: Applications Completed, Qualified, Interviews, Offers, and Hires.

Uses for Advanced Analytics

Talent Acquisition leaders can help control recruiting costs by ensuring that the sources where they post their jobs are delivering high-quality candidates for them.

Advanced Analytics users are typically Talent Acquisition Leaders and HRIS Admins or Business Analysts. Source reporting allows customers to evaluate trends in source performance over time. They get insight into which sources produce the best candidates, which allows them to adjust their media spend accordingly.

Advanced Analytics provides a number of pre-built reports, along with the ability to drill into full line-of-sight information. Customers can view their recruiting data across sources, locations, dates, job categories, and more.

Advanced Analytics is available in English only, and is not available for localization. Data that is pulled over that is not in English can be mapped in English.

There are plans to move this data to the SAP Analytics Cloud at some point, but not in the near term.

Report Basics

Advanced Analytics is located under Recruiting in SAP SuccessFactors HCM. The Browser report is the default and the most commonly used.

After selecting the date range, customers filter the report on the fields presented in the dropdown. The fields must be included on a job requisition template, populated on requisitions, and mapped to Advanced Analytics. Customers often include fields such as Category, Department, Cost Center, Business Unit, Brand, and Facility.

Select the Source Type from the dropdown list.

The drill path can be changed at any point.

For Advanced Analytics, select the dropdown list next to Social Network to view different options.

Use the gear icon to choose which columns to display. Click Advanced Options to change parameters.

Internal Candidates Reporting

Even if Internal Career Site Builder is not enabled in your customer’s environment, internal candidates can be captured in Advanced Analytics if you change the Advanced Options settings to include all ATS records, not just records from CSB candidates, as shown in Figure: Report on Internal Candidates.

To create a report on Internal Candidates, select your options in the Advanced Options dialog box.

Of course, internal candidates are not able to be shown with a proper source. Instead they will shown as "No Source" or "No Type".

Customers can also view data by the Current Referrer (which groups applications started by the source that referred the applicant, based on the visit) or by the Original Referrer (which groups applications started by the source used when the applicant first joined the Talent Community/ created an account).

Export Option

  • Click the Export icon to save the data in a spreadsheet.

  • The file is exported as a CSV file, but may not be comma-separated. Save it to your drive, open Microsoft Excel (or other spreadsheet program), and then select open the file.

  • Microsoft Excel, for example, will present a Text Import Wizard. See the screen captures for instructions.

On the Text Import Wizard Step 1 of 3, select the Delimiter radio button.
On the Text Import Wizard Step 2 of 3, select the checkbox next to the type of a Delimiter you want to use.

Click the image icon at the right on the main report to display graphics.

Permission Levels

Users can be permissioned to view only the high-level report or can have the ability to drill to detail.

Detail Query Tool

The Detail Query Tool provides a more flexible way to pull candidate and job level detail data. Unlike drilling to detail in Browse, you can pull multiple statuses at one time using this report. You must apply at least one filter before running this report. The user running the report must have the permission Access Advanced Analytics with Details.

This example was used to drop-off (candidates who started an application, but did not complete it) for jobs posted to Indeed.

On the Detail Query Tool tab, select your filters and statuses to include.

Applicant Conversion Report

The Applicant Conversion Report allows customers to view various conversion rates by source type.

Some of the information available from this report type include the following:

  • Get statistics of the total number of people who visited your recruiting site vs. how many then started the application process and how many completed an application.

  • These conversion (drop-off) rates are then displayed in the form of percentages. 

  • Additional statistics in this report include the number of qualified applicants, the number of applicants who were interviewed, who were given offers, and who were hired.

Choose the Applicant Conversion Report tab.

Average Report

The goal of this report is to show the average numbers for each step of the funnel and to be able to filter the results.

Some of the information available from this report type:

  • View various conversion rates according to the dimension you choose (like category, job country, and so on). 

  • Allows you to view your sourcing funnel, which provides you with averages for each column, rather than by source type. This lets you see the average number of visits per hire, application starts per hire, application completions per hire, qualified persons per hire, interviews per hire and offers per hire.

Knowing what your sourcing funnel looks like is important because not all sources are created equal, and the average column shows you the averages across all dimensions in details.

On the Advanced Analytics Browser tab, select the Show averages option.

Advanced Analytics Implementation and Timing

Advanced Analytics is implemented immediately following the Career Site Builder site go-live. It is implemented in production only, and all changes are live immediately.

Advanced Analytics pulls data beginning when the CSB career site went live. The date that Advanced Analytics was configured makes no difference. See Data Purge in this unit for more information.

Configuration for Advanced Analytics is done in Command Center, and role-based permissions are set in the Admin Center. Staffing for Advanced Analytics is estimated to take approximately 2.5 days.

  • The actual configuration can be done in a day or less, but it can take a day or two for ATS data to sync after the status mapping is completed.
  • The rest of the implementation is geared around requirements gathering, best practices for mapping ATS statuses to Advanced Analytics, education and enablement of the Advanced Analytics reports, and source tracking leading practice recommendations.

The Professional Services Advanced Analytics team can support any aspect of Advanced Analytics implementation, from determining which data fields to use for your customer’s requirements to performing the customer training two months after Advanced Analytics is live, after enough data has been generated to demonstrate useful reports.

Advanced Analytics Configuration Workbook

A separate configuration workbook is provided to capture the customer’s requirements for Advanced Analytics. Primarily, you will work with your customer to map their applicant status to Advanced Analytics statuses. The customer's desired field labels for filtering reports are also captured in the workbook, along with which users need permission to generate Advanced Analytics reports.

Status Mapping

Five standard statuses are displayed in Advanced Analytics reports. Although a customer may have many more candidate statuses in the applicant tracking system, all are mapped to these statuses in Advanced Analytics:

  • Apply

  • Completed

  • Qualified

  • Interviewed

  • Offer Made

  • Hired

  • ATS Capture – used to map statuses that the customer would like to remain hidden

The following Statuses are Specific to Advanced Analytics: Applications Completed, Qualified, Interviews, Offers, and Hires.
