Using Nomination History

Objectives

Successor Nomination History

Nomination History allows you to review the changes made to successor nominations for a position. Before the nomination history can be shown, it must be enabled.

Users must have the Succession Planning Permission in role-based permissions to see the nomination history.

To enable the nomination history:

  1. To navigate to Org Chart Configuration, use Action Search.
  2. Select the Succession Org Chart tab.
  3. Enable the Allow succession planners to view successors on org chart nodes/position tile view option.
  4. Save your changes.
Enable the Nomination History by selecting the Allow succession planners to view successors on org chart nodes/position tile view checkbox.

If the Allow succession planners to view successors on org chart nodes/position tile view option is enabled, users with Succession Planning permissions are able to view successors on Org Chart nodes and on the Position Tile view.

If the Allow succession planners to view successors on org chart nodes/position tile view option is NOT enabled, only users with succession reporting permission (Succession Management and Matrix Report permissions) can view successors on Org Chart nodes and on the Position Tile view.

The best use case for when an implementation consultant would turn on this feature would be when managers should be able to nominate successors for their own position (granted through Succession Planning permission), but not allow the managers to be able to see their own Talent Flags.

Viewing the Nomination History

Nomination History can be viewed from the perspective of a position or the perspective of a nominee, through the Position Card or Talent Card. It’s also available from the Nomination Portlet of the People Profile (if configured). The following changes are recorded as new lines in the nomination history:

  • Nomination: When a new successor is nominated.
  • Removed: When a successor is removed.
  • Emergency Cover Changed: When a successor is set as an emergency cover for the position, or the other way around.
  • Readiness Changed: When a successor's readiness level is changed.
  • Ranking Changed: When a successor's rank is changed.
  • Status Changed: When the approval status is changed, for example, from pending to approved.
  • Note Changed: When the nomination note is changed.

To view the nomination history for a particular position:

  1. Navigate to the Succession Org Chart.
  2. Select the position of interest to open the Position Card.
  3. In the top right of the Position Card, select the Action Menu and choose Nomination History.
  4. Choose Close to close the Nomination History window.

Once the Nomination History screen opens, Succession Planners with the appropriate permissions can see all nomination changes or select a date for just that day’s history.

Items that have changed during the defined timeline or date range are shown in red. The following fields are shown in the position nomination histories:

  • Nomination: Nominated successor added or removed.
  • Emergency Cover: Nominee’s emergency cover status.
  • Readiness Change: Nominee’s readiness level.
  • Status Change: Nominee’s approval status.
  • Ranking Change: Nominee’s ranking.
  • Change Type: Identifies the type of change (for example, readiness, nomination, notes).
  • Changed By: Identifies the author of the change.
  • Notes: Note added or changed by succession planner.

To view the nomination history for an individual user:

  1. Navigate to the Succession Org Chart.
  2. Open the Position Card for the position to which the employee is a successor.
  3. Select the nominee to open that nominee's Talent Card.
  4. Choose History (the clock icon) to view the nomination history for that nominee.

The following fields are shown in the individual’s nomination histories:

  • Change Date: Date of change to nominations.
  • Changed By: Identifies the author of the change.
  • Readiness Change: Nominee’s readiness level.
  • Ranking Change: Nominee’s ranking.
  • Status Change: Nominee’s approval status.
  • Change Type: Identifies the type of change (for example, readiness, nomination, notes).
  • Notes: Note added or changed by succession planner.

Alternatively, users with the proper permissions can navigate to People Profile and, if configured, view the same information on an employee's Nomination Portlet. The same Individual’s Nomination History screen shows as the one opened from the Talent Card; it’s just opened from the People Profile.

Nomination History Date Range

The Nomination History Date Range controls the items that you see in both the position and individual’s nomination histories.

This setting only changes the display of the nomination history, not the actual nomination records. Active nominations may be filtered in the history dialog, but still be visible in the Succession Org Chart, the current nominations block on People Profile, and all reports.

If there are no new nominations after the date specified, the history shows No data, as if there were actually no nomination records for that incumbent in the system, which can be misleading. So, using this feature is only recommended for situations where you want to hide any test nominations, created during implementation, to avoid displaying misleading information.

To change the application’s Nomination History Date:

  1. To navigate to Nominations Setup, use Action Search.
  2. Under the option Hide succession nomination history entries prior to this date, enter the date from which you want to hide history entries. All nominations prior to this date will not be shown.
  3. Save your changes.

You can also hide history entries when you’re viewing an individual position’s or employee’s nomination history. But changing the date from the Nomination History screen only changes the entries while that screen is open. The next time you open the Nomination History screen, it will revert to the application’s history date range.
