Using SuccessFactors Workforce Analytics as a Functional Consultant

A SuccessFactors Workforce Analytics (WFA) functional consultant is crucial in a Workforce Analytics implementation project. This role requires deep knowledge and expertise in utilizing the SuccessFactors Analytics product.

One of the primary responsibilities of a WFA functional consultant is to interact with the customer. This involves understanding their business requirements and effectively demonstrating and explaining how the SuccessFactors Workforce Analytics product can address their needs.

Another important aspect of this role is to assist with customizations of the WFA application. The consultant should understand how any customizations will affect the application's overall functionality. They should be able to provide expert guidance and recommendations to ensure any customizations align with the customer's goals and objectives.

At the end of the project, a SuccessFactors Analytics functional consultant should also perform knowledge transfer to the administrators and report creators who will be responsible for utilizing the application.

Navigating Workforce Analytics

Logging In

The log on screen.

Accessing SuccessFactors Workforce Analytics requires logging into the SuccessFactors HXM platform first. It requires the following steps:

  1. Open a web browser and navigate to the SuccessFactors login page.
  2. Enter your username and password in the appropriate fields.
  3. Select the Log On button to access the SuccessFactors HCM suite homepage.

Please note that the steps mentioned above are generic and may vary depending on your organization's specific configuration of the SuccessFactors HCM suite .

Benefits of Integrating WFA with SAP SuccessFactors HCM

The WFA application is integrated with an SAP SuccessFactors HCM instance. The integration provides the following benefits:

  • Single Sign On (SSO) access for users to SAP SuccessFactors modules.

  • Automated management of WFA user accounts and role-based security. This significantly reduces the administration burden of managing WFA user accounts and security. SAP SuccessFactors HCM user accounts are linked to the WFA user accounts.

Accessing the Analytics Portal

Access Workforce Analytics via the Home dropdown list in SAP SuccessFactors HCM.

After you log into the SAP SuccessFactors instance, you can navigate to the WFA application, also referred to as the WFA portal.

To access the WFA portal:

  1. From the main navigation list select Workforce Analytics. The label can be renamed in individual instances.

  2. The WFA landing page loads.

The Analytics Portal Page provides the following features:

  • Workforce Analytics allows you to design custom Landing Pages.

  • It eases user navigation by providing access to WFA standard views and areas of the site at one entry point.

  • Users can choose their own Landing Page.

Workforce Analytics Page Navigation

Navigate around the Analytics Portal Page.

The Analytics Portal Page, also known as the landing page, provides the following navigation components:

  1. Landing Page: Return to your login landing page.

  2. Metrics: Search link and menu containing links to available measures.

  3. Filters: Apply time, structural and/or analysis dimensions to further customize your report.

  4. Reset : Reset to default any applied time, structural or analysis dimensions.

  5. Tools: List of the tools available for your role.

  6. Export: Send the display to Microsoft Word, Adobe PDF or PowerPoint.

  7. Admin: Access to administrative features available to your role.

  8. Resources: Catalogue of customer specific documents, Resources can be hidden.

A Pin to Screen button is available for users to set and clear the Workforce Analytics Navigation Bar.

Navigation Bar - Filters and Tools

Via the Navigation Bar access Filters, for example, time, report by, limit by, and Tools, for example, Investigate and Analytics Workspace.

Additional tiles in the Navigation Bar include Filters and Tools.

Filters allow you to apply time, structure, and/or analysis dimensions to the current report. The options available can change based upon the selected report.

Select Reset to reset the applied filters back to the default.

A user can save predefined dimensions as a filter profile. Additionally, a filter profile can be set as the default.

The tools panel allows you to access a variety of WFA tools within the application. Some of these tools will be covered in more detail later in this course.

Navigating to Measure Views

Navigate to Measure Views via the Metrics dropdown list.

Measure Views (also called Metrics Views) provide a quick and easy way to navigate the rich content of over 2,000 metrics provided by Workforce Analytics.

These Measure Views allow for different views of the WFA data without any need to build dedicated reports or queries.

To access the Measure Views:

  • Locate the measure you want in the menu system and select it.

    The measure view for the selected measure loads.

To locate a measure, you can expand the different measure categories and subcategories. The location of the measure category and subcategory is documented in the Core Workforce and Mobility Metric Pack Documentation.

You can also search for a measure with the search box:

  1. Type part of the name in the search box and either select the Search icon or press Enter.

  2. You can select Next and Previous to navigate through matching measures.

Navigating to Query Workspace

Access Query Workspace via the Tools dropdown list.

Query Workspace allows WFA users to create custom queries against WFA data and visualize the query results in tables, charts, or embed them in custom reports. It allows users to analyze data in ways that are not available in the default measure views.

The use of Query Workspace is detailed in a lesson later in the course.

To access Query Workspace:

  • Select Query Workspace from the Tools panel in the navigation bar.

Note

You can also navigate to query workspace by selecting the Switch to Classic View link inside an Investigation.

Access Query Workspace using the Action Search.

You can also access Query Workspace by using action search.

Navigating to Investigate

Access Investigate via the Tools dropdown list.

Investigate combines a clean and modern look with improved usability based on SAP Fiori design principles and our comprehensive analytical library to make interactive analytics simple and readily accessible. Investigate allows you to create queries and adjust visualizations within a single tool.

The use of Investigate is detailed in a lesson later in the course.

To access Investigate:

  • Select Investigate from the Tools panel in the navigation bar.

Note

If Investigate has not been enabled, you cannot access the tool. Details for enabling Investigate can be found in the lesson on the Investigate tool later in the course.

Navigating to Create Custom Reports

Access Reporting via the Home dropdown list.

Report Center is a report management tool. One of its functions is to allow WFA users to create custom reports. These reports can include data from a variety of data sources, including the Query Workspace and Investigate.

The use of Report Center is detailed in a lesson later in the course.

To access the Report Center:

  • Select Reporting from the main navigation menu.

Navigating Measure Views

Measures, Dimensions, and Benchmarks

WFA users must understand the components that make up queries and reports produced from workforce analytics data. WFA collects data from one or more sources and make that collected data available for analysis, essentially Measures and Dimensions.

Measures can be defined as input measures or result measures, and dimensions can be categorized as structural, analysis, or time dimensions. Finally, result measures can often be compared to benchmarking data provided by SuccessFactors. Understanding the differences in these components is important.

Result Measures and Input Measures

Multiple Measure Types are available.

An Input Measure is information that has been sourced or calculated from the raw data extract provided by members from their Human Resource Information Systems (HRIS) to convert into metrics.

The following examples are input measures:

  • End of Period Headcount

  • FTE

  • Average Headcount

  • Terminations

  • Hires

  • Performance Appraisal Participants

A Derived Input Measure is a base input measure that has been filtered by a dimension category. The following examples are derived input measures:

  • EOP Headcount – Male
  • FTE – Part-Time
  • Terminations – Voluntary
  • External Hires – Minority

A Result Measure is a new piece of information that has been calculated by combining multiple input measures. This information represents information that was not present within the original HRIS extract.

The following examples are result measures:

  • Average Workforce Age

  • Staffing Rate – Female

  • Average Workforce Tenure

  • Termination Rate

  • Net Hire Ratio

  • Average Performance Appraisal Rating

  • Employee Turnaround Rate

Filters – Time Navigation

Navigating through the multiple levels of the time dimension filter.

Navigational time models are multi-level models that allow the user to navigate through the time dimension using the left-hand navigation menu. WFA supports time models based upon calendar years or fiscal years.

The Time Filter supports 3 levels for the time dimension: years, quarters, and months.

Yearly time models are based on calendar years like 2018 and 2019 and on fiscal years like 2017/2018 and 2018/2019.

Quarterly time models are based on the calendar quarters of Quarter 1 (January to March), Quarter 2 (April to June), Quarter 3 (July to September) and Quarter 4 (October to December) or, alternatively, on the fiscal quarters.

Monthly time models are based on the twelve months of the year.

Note

WFA on SAP HANA also supports weekly and daily time models, but they are NOT available within the Time Filter.

Filters – Structural Dimension Navigation

Structural dimensions allow analysis by organizational, regional, reporting or line of business structures. Selecting Report By allows you to choose a structural dimension to "slice" the data. Selecting Limit By allows you to choose a structural dimension to filter the data.

Report By: choose a structural dimension to "slice" the data.

Limit By: choose a structural dimension to filter the data. You may not filter using the same structural dimension as the one used in Report By.

Note

A dimension must be configured as a Structural Dimensions to be used in Tree Security. Tree security allows WFA administrators to limit access to areas within the hierarchy of a dimension. Dimensions implemented as Analysis Dimensions can only be enabled/disabled for the entire hierarchy. For more information on Tree Security, go to the section on Workforce Analytics Administration.

Filters – Analysis Dimension Navigation

Navigating through the multiple levels of the Analysis Dimension Filters - Analyze By and Limit By.

Analysis dimensions allow analysis by groups which logically segment the measure. For example, Workforce measures such as Termination Rate may be analyzed by Gender or Job Role. Financial measures such as Operating Expense may be analyzed by Expense Type and Staffing measures such as Applicant may be analyzed by Applicant Source.

Analyze By: choose an analysis dimension to "slice" the data.

Filter By: choose an analysis dimension to filter the data.

Note

Analysis Dimensions may vary according to the modules implemented and the data available.

Note

Analysis Dimensions must be utilized to support Benchmarking and Derived Input Measures.

Benchmark Gauges

The gauge and value represent the organization's score for a particular measure.

The SAP SuccessFactors benchmark program provides a large database of hundreds of benchmarks. SAP SuccessFactors analytics customers have their results on each of these benchmarks deployed via an online dashboard as part of their workforce analytics application.

The SAP SuccessFactors benchmarking application is the most comprehensive online resource for workforce metrics on the market today. The benchmark values are embedded in organizations’ measure views and are superimposed onto actual company results for quick visual comparisons.

Benchmarks can be selected by the user to compare their organization results to peer organizations:

  • Results within the Green zone are within the desired range for that measure.

  • Results within the Orange zone are close to the target for that measure.

  • Figures representing the 25th, 50th and 75th percentiles of the years benchmark sample.

  • Results within the Red zone are far from the desired range for that measure.

  • The gauge and value represent the organizations score for that measure.

Note

Benchmark results will appear only for applicable benchmarked measures. Benchmarking data availability varies by region.

Measure Page Heading

Common items on the Measure Page.

All Measure pages contain a heading with the following features:

  1. Title of the measure

  2. Description for the measure

  3. Measure Explain & Footnote text

Measure Explain

Explanation of a measure currently being viewed.

When selected, the ? icon displays an explanation of the measure that is currently being viewed.

FootNotes

Footnotes are available of a measure currently being viewed.

The + icon displays any footnotes available for the currently selected measure. FootNotes are specific to an organization and can be added by any user to provide more detail/context on the measure for other users within their organization.

Result Measure Navigation – Result Measure Views

Result Analysis View

  1. A trended graphical representation of the measure for the whole organization for a selected period of time.

  2. A graphical representation of the percentage make up of that measure sliced by the analysis dimension for the selected time period.

  3. A table comparison of each structural dimension unit by each analysis dimension unit for the measure for the selected time period.

Result Benchmark View

Content of the Benchmark View for Result Measures.

In addition to the common features of all measure views, the Benchmark View for Result Measures contains:

  1. A benchmark line chart representation of the measure by benchmark groups available in the selected benchmark category for the selected time period.

  2. A benchmark analysis describing the selected benchmark.

  3. A stacked benchmark chart showing the organizations results for the selected time period against the benchmark ranges.

  4. A table comparison of the measure by the selected analysis option compared to the benchmark category selected.

Result Inputs View

Content of the Inputs View for Result Measures.

In addition to the common features of all measure views, the Inputs View for Result Measures contains:

  1. A trended graphical representation of the measure for the whole organization for a selected period of time.

  2. The formula for calculating the result measure.

  3. A table comparison of each of the measure inputs for the selected time period.

Result Table View

In addition to the common features of all measure views, the Table View for Result Measures contains:

  1. A table representation of the measure by the selected analysis option for the selected time period.

  2. A table representation of the measure by the selected analysis dimension for the selected structural dimension.

  1. A pie graph representation of the measure by the selected analysis dimension for the selected time period.

  2. A pie graph representation of the measure by the selected structural dimension for the selected time period.

Input Table View

In addition to the common features of all measure views, the Table View for Input Measures contains:

  1. A table representation of the measure by the selected time period and the selected analysis dimension.

  2. A table representation of the measure for a single point in time, by the selected analysis and structural dimensions.

Input Trend View

In addition to the common features of all measure views, the Pie Chart View for Input Measures contains:

  1. A trended graphical representation of the measure for the selected time period including the average over time.

  2. A trended table representation of the measure by the selected structural dimension for the selected time period.

Administrative Features

Access via the Admin link to the administrative features available to your role.

The Admin link that appears in the top right corner of the WFA Portal provides access the administrative features available for your role.

The options available in the Admin menu depend on an individual user’s role permissions.

Exporting to Word, PDF or PowerPoint

Views can be exported to various media.

Export Report Pages, or an entire Report to Microsoft Word, Adobe PDF or Microsoft PowerPoint using the Export icons in the menu bar.

Exporting to Excel

Export tables easily to Excel.

You also might need to export the results of a table. Each table has a button to export that individual table to Microsoft Excel.

Exporting Individual Charts

Export individual chart from a right-click dropdown list.

Certain individual charts can be copied and pasted into an image, document or presentation editing program.

Right click the chart and select Copy, then, right click in the program and select Paste.

Workforce Analytics Standard Report Templates

What are Standard Templates?

WFA Standard templates are pre-built templates only applicable to customers with Workforce Analytics. They are available in the SAP Help Portal to be uploaded to the organizations instance. Customers are then able to customize these reports per business requirements. The data is easily exportable for use in other tools or applications such as Microsoft Excel.

The scorecards that are available depends upon what Metric Packs have been implemented.
