Notification of Missing Confirmations and Inbound Deliveries

The following video highlights the importance of being proactive when inbound deliveries are missing and features a discussion on who should be notified and when.

After explaining why missing inbound deliveries are critical and that SAP S/4HANA Cloud Public Edition offers the ability to automatically notify certain users, you can work with your customer to determine which users should be notified in which situations.  

In the following video you can see an example of a business case, when and for whom notifications for missing inbound deliveries should be generated.

In the next step, using interactive simulations, you will learn how to define situations and send notifications to specific groups of people.  We will build on the business case defined in the previous video.

Note

In our example, there are two groups of users that need to be notified:

  1. The first group consists of some employees who are responsible for inbound deliveries in plant 1 (plant 1010).
  2. The second group consists of employees responsible for plant 2 (plant 1020).

Notifications for outstanding inbound deliveries should only be created for these two plants, since these are the most important and critical plants for your customer, and they do not want to flood the employees with too many notifications.

For the other plants, users should use the Monitor Supplier Confirmation app.

Note

You do not set up Situation Handling in SAP Central Business Configuration, but directly in your SAP S/4HANA Cloud Public Edition system using the Manage Teams and Responsibilities and Manage Situation Types applications.

We start by creating two teams: one responsible for plant 1 (1010), and one responsible for plant 2 (1020). The following simulation shows you how to do this.

You want to ensure that the system detects critical situations consisting of missing deliveries in plants 1010 and 1020 and notifies the correct people. In the following interactive simulation, you learn how to create a situation type for this specific use case.   

Now you can set up automatic notifications for users in case of missing or incomplete deliveries.

Notification of Incomplete Confirmations and Inbound Deliveries

Configuring situation types is quite easy and very flexible. Do you also know how to send emails in addition to the notifications and the texts in the application?

From the SAP Fiori launchpad, select your user profile (1), then Settings (2), and then Notifications (3). For each situation type with notifications, you have the option to send additional emails (4) by selecting the Email checkbox.

A typical question from your customers might be as follows:

It's great that we can be notified when order confirmations and shipping notifications are not received on time, but what if you receive a shipping notification and only part of the purchase order is confirmed? It is important to react in a timely manner, follow up with the supplier, and request an order confirmation for the missing quantity with a confirmed delivery date. If the missing quantity cannot be confirmed, there should be enough time to try to order the missing quantity elsewhere.

SAP provides a situation template for this use case:

  • Template ID: PROC_POITEMCONFQTYDEFICIT (Quantity Deficit in Supplier's Delivery)
  • Consuming App: Manage Purchase Orders, where you can contact the supplier using their contact information or order the missing quantity directly from another source

To enable this use case, proceed as described and shown previously:

  • Create teams with the people who should be notified about the situation
  • Create a situation type, where you define the specific cases in which the system should create such a situation instance
