Organizational Unit Reporting

<div id="content"><p tabindex="0">Some of our users are responsible for checking tasks for specific areas, independent of the organizational unit. This can be done by choosing reports with a view that focuses on the tasks across and independent of organizational units. You can check the video to see the task-based reporting apps in action:</p><div class="kalturaVideoLessonWrapper"><div aria-label="The video shows how to process and approve closing tasks in SAP Advanced Financial Closing" class="kalturaVideoLessonContainer" data-testid="video" id="1_atsapzmf"></div></div><p tabindex="0"></p><div class="parentsection"><div class="section"><div tabindex="0"><h3>Comparing Organizational and Task View apps</h3></div><p tabindex="0">We saw that there are two sets of similar apps that cater to different use-cases between an organizational and a task level view. The two sets differ in how they weigh a task status, especially a task with multiple organization units (such as company codes) attached to it.</p><p tabindex="0">Let's take the simple case of a task list containing a single task. Assume that the task has three company codes assigned to it. After processing, the task in two company codes was completed successfully but, in the remaining company code it has an error.</p><p tabindex="0">The <strong>Task View</strong> apps will always aggregate the status on task level with the least favorable status. Consequently,the task in this example will appear with a completion rate of "0%" and the status "not okay".</p><p tabindex="0">In the <strong>Organizational View</strong> apps, however, the task is counted as three different tasks, one per company code. The completion rate here is 2 x 100% for the two successful runs and 1 x 0% for the one that failed. So, the overall completion rate is 66% when we look at the task list level.</p><p tabindex="0">The other difference between the two views is that the task view overview page offers fewer cards as the organizational unit is excluded from the reporting views.</p></div></div></div>

How to Work with Company Code Groups in SAP Advanced Financial Closing

SAP Advanced Financial Closing enables you to perform flexible reporting, using various data points. In this video, you'll learn how company code groups can help you base your reporting on company codes and make that reporting independent of country/region assignments. Before I can get started, I need to ask myself: What are company code groups? Well, they're exactly what they sound like: groups of company codes. But there's a little more to it, so let's take a closer look. Company code groups are created within specific grouping characteristics. In total, I have four grouping characteristics that I can use. What each characteristic represents needs to be defined by my company.  For example, we've decided that grouping characteristic 1 is Region and grouping characteristic 2 is Business Size. Now, what do we do with that? As mentioned before, I create company code groups within specific grouping characteristics. Let's take grouping characteristic 1 as an example: We've defined it as Region. Within this characteristic, I can, for example, create the four company code groups North, East, South, and West. In a next step, I assign company codes to these groups. So, for example, I'll assign company code 1010 and 1020 to the region North, and assign company code 1030 to the region East.  There are some rules I need to keep in mind when I set up company code groups.  First of all, within one grouping characteristic, a company code can only be assigned to one company code group. So, I can't assign company code 1010 to East as well as to North. However, company code 1010 can have additional assignments for the other characteristics. This means that I can assign company code 1010 to a group in characteristic 2. Grouping characteristic 2 was defined as business size, so I create the two company code groups Mid-Sized and Small. Now I can assign company code 1010 to the Mid-Sized group. Keep in mind that the company codes that form one group in characteristic 1 don't have to all be in the same group for characteristic 2. So, company code 1020, which was also in the North group for characteristic 1, can be assigned to the Small group for characteristic 2. In the two reporting apps offered as Organizational Unit View, I can see how the financial close is progressing for each company code group because they also show data by grouping characteristics. So, now I know what  company code groups are, but how do I create them?  I open the Manage Company Code Groups app and here I can see one tab for each characteristic plus one more tab for an assignment overview. On the tab for grouping characteristic 1, I now create a new company code group. I provide a name and I can add a description if I need to. Now, in this new company code group, I add company codes here in the bottom section.  And that's it, I'm finished setting up this group.  I can repeat these steps for more company code groups and for the other grouping characteristics. Once I've done that, let's take a look at the Assignment Overview tab in this app. Here I can see to which groups each company code is assigned. Additionally, I can easily change the assignments for several company codes at the same time. I select the company codes for which I want to change the assignments and then I choose Change here in the table toolbar. For each grouping characteristic, I can now decide whether I want to keep, clear, or replace the existing value. If I choose to replace the value for a characteristic, I need to provide a new company code group to assign the selected company codes to. I can either start typing and select a group from the list or I can use the value help to find a group. When I'm happy with the settings for all characteristics, I choose Change in the dialog footer, and that's it, my assignments are updated. Before we conclude this introduction, let's just have a quick look at the Financial Close Overview - Organizational Unit View app. In this app, I can display the information about the different grouping characteristics and this way, get an overview of the current financial close. In the filter bar, I can also filter for specific values of the grouping characteristics. The filter affects the information in all the displayed overview cards. This concludes the introduction to reporting based on company code groups in SAP Advanced Financial Closing.  Thanks for watching, and be sure to check out our other videos  on SAP Advanced Financial Closing, especially those concerning the Organizational Unit View and Task View reporting apps.

Introduction to Reporting Based on Organizational Units in SAP Advanced Financial Closing

In this video, we'll have a look at the reporting apps in SAP Advanced Financial Closing. The reporting apps are offered in two different views, the Task view and the Organizational Unit view. In the Organizational Unit view apps, the data is based on an organizational unit level, that is, on individual task executions. Remember, if one task has multiple organizational units assigned, it'll have multiple task executions, one for each organizational unit, and these executions may have different business statuses. So, if a task has company codes 1010 and 1020 assigned, it has two task executions, one for each organizational unit. If processing for company code 1020 fails, while the processing for company code 1010 is successful, the task has a completion rate of 50% in the Organizational Unit View apps, since reporting is based on execution and not overall task status. Now, let's have a look at the Organizational Unit View apps in more detail: Two apps are available in this view: Financial Close Overview and Closing Task Completion. I can use the apps individually, but they're also designed to complement each other. To see how this works, I start with the Financial Close Overview - Organizational Unit View app. This app gives me a quick overview in a flexible layout based on individual overview cards. I can freely rearrange the overview cards, resize some of them, and set new filters.  Each card has a specific layout: A title, possibly a secondary title, a number showing either a percentage or how many entries are available in total for this card for my filter settings, and then a doughnut chart or a table. Some cards also offer a dropdown menu where I can switch between different rankings for the card. I can also adjust the overview card selection. I open the User Actions Menu, go to Manage Cards, and select or deselect cards. I shouldn't add all cards at once, since, for me, this will clutter my overview. Before we move on to the connected app, let's have a look at the Company Code Grouping Characteristic 1 card. So, what are company code groups and company code grouping characteristics? Well, company code groups are exactly what the name implies: they're groups of company codes. But the important question is: Based on what am I grouping the company codes? In company code groups in SAP Advanced Financial Closing, I'm grouping company codes that can be defined by the same value for a specific grouping characteristic. So, next question: What's a grouping characteristic? Grouping characteristics define the characteristics by which I want to group company codes. SAP Advanced Financial Closing offers four grouping characteristics. But it's up to my company to decide what each characteristic is going to represent. For example, one grouping characteristic could be Business Size. Company code groups within this characteristic could then be Large, Mid-Sized, and Small with the corresponding company codes grouped accordingly. Finally, there's one more thing I want to mention here in this app. If I click on a table entry or doughnut chart section, I'm forwarded to the Closing Task Completion - Organizational Unit View app. For example, I select a company code group from the table in one of the cards. Now, I'm in the Closing Task Completion app and I can see that the layout of this app is very different from the overview that I've just seen. In this app, I can drill down into more details and analyze the financial close. I have the filter bar on top, below that I have a chart, and at the bottom, I have a table. I've also noticed that some settings have been applied based on the overview card I used as a starting point: My filters are set to filter for the entry I selected and the views for chart and table have already been preselected. I can adjust the layout of the page by deactivating chart or table using the controls above the chart. This way, I can decide to show only the chart, only the table, or both. The chart controls offer many more settings, such as the chart type and additional View By criteria that help me personalize the chart layout.  The table at the bottom offers many details, and using the table controls, I can also adjust the table by defining filters, grouping settings, and sorting.  Note that each task execution has its own table entry  in the app due to the Organizational Unit view. From the table entries, I can jump to the specific task in the Process Closing Tasks app. This concludes the overview of the Organizational Unit view apps. Thanks for watching, and be sure to check out our other videos on SAP Advanced Financial Closing.
