Exploring Master Data in Service

Objective

After completing this lesson, you will be able to explain the concept of master data in service

Business Partner

Hint

You can learn more about these topic going back to:
  • Unit Performing the Record-to-Report process, lesson Managing Accounts Receivable
  • Unit Performing the Lead to Cash process, focusing on Sales, lesson Using Master Data in Sales.

External Business Partners

Let's take a look at external business partners. Suzanna will explain this concept to Ivan using the example of the customer Northsea Energy.

How to Display an External Business Partner

Internal Business Partners

As you could see in the lesson Identifying the areas in Service, personnel numbers can be linked to the organizational structure. The personnel master is linked to the business partner role employee as well as to the SAP user.

When creating documents business partner employee can then be assigned automatically. For example, when creating a service order template, the default value for the employee responsible is linked to the SAP user.

Suzanna has prepared another example to explain the concept of internal business partners in the following interaction.

Product

In previous lessons, you learned that the product or material master is divided into different areas or departments such as Basic Data, Sales, Purchasing, Accounting and so on.

In the following, you will find out about the relevance of products/material master records for the Service Department of the Bike Company.

Hint

To refresh you memory about the previously discussed points, you can check:
  • Unit: Discussing central concepts and objects in SAP intelligent enterprise, lesson: Explaining the impact of enterprise structures to master data and documents.
  • Unit: Performing the lead to cash process, focusing on sales, lesson: Using master data in sales.

Products are services and goods that are the object of a company's business activities and can be differentiated as follows:

Note

The structuring of technical objects will be explained later on in this lesson.

Service Products

You need to maintain sales area specific data for Service products. The assignment of an Item Category to a Service Product triggers the usage in Service documents, for example, Service Orders.

Conditions

In the unit Performing the lead to cash process, focusing on sales, you learned that prices, surcharges and discounts, freight, and taxes are all part of the conditions master data. Here you can see the condition master overview again as a reminder:

Second box: surcharges and discounts, with, customer, material, and customer & materials as examples, third box: freight, with freight incoterms as an example. Last box: taxes, values added tax as example.

Conditions in SAP S/4HANA Service

The Service Department of the Bike Company needs to define the conditions for services and spare parts.

Depending on the business process, condition master records are differentiated according to condition types, for example, PPRO when using service orders or PSI1 when working with service contracts.

Technical Objects

The Bike Company uses technical objects to structure the produced bikes from a service perspective.

SAP S/4HANA Service offers the possibility to structure simple as well as highly complex technical asset structures. There are four categories of technical objects:

Note

  • The Bike Company has decided not to use Functional Locations due to the comparatively simple requirements regarding the mapping of technical assets.
  • Functional locations, equipment, and serial numbers can be assigned to documents in service processes, for example, Service Order Templates, Service Orders.
