In the simplest terms, SAP Fieldglass is used to procure, manage, and pay for external workers. But it also helps organizations manage and track everything in between, like Job Postings, job seekers, Statements of Work, onboarding, Invoices, and so on.

But what happens to all that data? How can organizations like WorkingNet use SAP Fieldglass to access, view, and analyze their data to determine program performance or drive key business decisions?

The SAP Fieldglass Analytics module contains reporting tools that allow users to create, manage, and run reports that are essential to supporting and maintaining their program.

Leveraging SAP Fieldglass Analytics and SAP Analytics Cloud

An integration with SAP Analytics Cloud brings the ability to combine data from SAP Fieldglass with data from other SAP systems, such as SAP S/4HANA or SAP SuccessFactors. This allows users to perform cross-functional analysis and gain a holistic view of their workforce and procurement data.

SAP Analytics Cloud can combine external workforce data from SAP Fieldglass and data on the permanent workforce from SAP SuccessFactors to develop a heat map showing how a company’s total workforce is distributed across its global offices.

For example, let's say WorkingNet wants to analyze the distribution of its permanent workforce across its offices and compare it with the distribution of its external workforce. By integrating SAP Fieldglass and SAP SuccessFactors with SAP Analytics Cloud, WorkingNet can easily track its entire workforce. By creating an interactive total workforce management dashboard in SAP Analytics Cloud, WorkingNet can visualize the distribution of its workforce on a heat map showing its global offices.

Rate Guidance

Managing Rates for external workers like freelancers & independent contractors can be complex. Unlike a permanent workforce that has a salary or a single hourly rate, an external workforce can have a variety of rates that are subject to various conditions such as worker role, supplier, time worked, location, and regional workforce laws & policies, among others. These variables can add up, resulting in a massive number of rate objects that customers need to manage to ensure accurate and compliant billing.

SAP Fieldglass has a streamlined approach to rates that simplifies the creation and management of rate structures by reducing complexity, volume, and time commitment without sacrificing accuracy, ensuring that organizations can effectively manage and control their workforce costs.

Simplified Rate Structures

SAP Fieldglass simplifies the configuration & ongoing maintenance of rates that are based on multiple conditions by compiling them into a lookup table that incorporates each rate variable to determine the correct rate for each given scenario. Custom logic allows companies to manage large amounts of data across many areas of the SAP Fieldglass application, making it easy to associate a proper rate according to such data points as:

  • What work is required.
  • What supplier is supplying the worker.
  • Where the worker is needed.
  • Where they’re doing the work.
  • How much they’re being paid.the SAP Fieldglass Custom Lookup table for rates can list such data points as Job Code, Supplier Code, Site Code, Rate Category, Currency, Minimum and Maximum Rates, and the Factors.

Tax and Regulatory Compliance

Taxation can be a daunting topic for many organizations, especially those running a global program who often face difficulties in effectively managing both tax regulations and invoicing processes across multiple countries.

The task of applying relevant tax information will differ for each organization based on their unique tax and invoicing requirements. SAP Fieldglass has several tax functionality elements that can be used standalone or in combination to achieve the desired outcome.

Stack multiple taxes

Similar to the manner in which fees can be stacked to control the order in which those fees are applied, taxes too can be stacked using Invoice Adjustment Groups. This allows certain taxes to be applied to an invoice total only after other taxes have already been applied, such as when regional taxes are determined based on earnings after federal taxes have been applied.

To do this, an organization would configure individual Invoice Adjustments to specify each tax line item and associate the Invoice Adjustment Group to the relevant Job Posting and/or SOW Templates to control in what order taxes should be calculated.

Automatically apply site specific tax rates for hours worked

Invoice Adjustments can be used to automatically apply specific tax rates on a transaction in FG for different situations. Additionally, the varying tax rates can be automated should they vary by Site. A special functionality used within an Invoice Adjustment, called the Site Override List, can be used to define the individual tax rates for each applicable Site, so when an invoice is generated using that Site, the specific tax rate automatically applies. This allows one Invoice Adjustment to be used and different percentages to be applied as needed.

Tax Guidance and Jurisdiction

SAP Fieldglass can be configured to include two additional Custom Lookup types in addition to the standard Custom Lookups: Tax Jurisdiction and Tax Guidance. These two lookups are used together to automatically select the tax applicable to the type of work and the location where the work is performed.

The Tax Jurisdiction lookup provides tax information based on the location of a work site on work orders and statements of work. The Tax Guidance lookup then uses the location to provide the tax adjustment that is applied during work order and statement of work creation and revision.

To use this feature, the Tax Guidance site configuration must be enabled for the desired sites. Both Custom Lookups must be configured and associated to invoice adjustments.

Invoice Tax Information

An organization should first decide if official tax references should be detailed on invoices. If so, relevant Invoice Tax Information codes can be created and associated to a company's sites that have the Invoice Tax Information Required flag enabled. The tax information will display on invoices created for these sites. Buyers, suppliers, and MSPs are responsible for defining their own invoice tax information details.

Since not all sites are impacted by the same taxes, a Buyer must flag sites that require invoice tax information and associate the specific details appropriately.

Automated Invoicing Workflow

The invoicing process itself is typically determined by whether the auto-invoicing feature is being used. If an organization has auto-invoicing enabled, any time or expense sheets once fully approved in SAP Fieldglass, will be automatically invoiced and include the relevant tax calculations.

Tax calculations will still be automatically added to the invoice using the manual invoicing process; however, the responsible party creating the invoice will have the ability to edit the tax items if necessary.

Customized Invoicing Templates

Many countries require a physical formatted invoice for verification that is Buyer or Supplier-specific and includes the company logo and any custom fields. SAP Fieldglass uses XSL stylesheets to create different PDF outputs which can be associated to one or many sites and may also be language-specific.

Integration

SAP Fieldglass can be configured to enable real-time integration with your organization’s financial systems, reducing manual data entry and ensuring data accuracy throughout the invoicing process.

But it is important to remember that SAP Fieldglass is not an Accounts Payable system. The application collects and processes data related to an invoice, which is then sent to the Buyer’s Accounts Payable system for processing and payment.

Configuration Manager

The Configuration Manager role allows companies to establish super users who can access integration, system, and maintenance tools via a self-service dashboard in the application.

The Configuration Manager tools allow customers to perform many administrative actions independently, eliminating the need to open support cases with SAP Fieldglass.

As these are advanced functions that can impact the use of SAP Fieldglass, they are not automatically enabled for customers. Configuration Manager permissions are separate from and additional to an Administrator user’s permissions, so to access the Configuration Manager, a user would have to sign out of SAP Fieldglass and sign back in using a password assigned specifically for Configuration Manager.

Navigating Configuration Manager

Configuration Manager tools appear as tiles, arranged in alphabetical order by function. Each tile indicates the category of the function in a small, color-coded footer icon. The categories include:

ActionsThe Actions category includes other actions that the configuration manager can perform.
AnalyticsThe Analytics category contains actions that the configuration manager can perform related to reports.
Implementation ToolsThe Implementation Tools section allows access to company configuration settings. These setting can change the foundation of a company’s tenant.
Integrations ToolsIntegration Tools allow you to independently manage the integration connectors for your company, eliminating the need to open support cases with SAP Fieldglass to implement those actions in your company.
Partner ManagementPartner Management provides access to a growing network of partner integrations that are being migrated from the SAP Fieldglass application to the self-service framework on the dashboard.
Publish/Subscribe FrameworkThe Publish/Subscribe Framework tiles allow you to create and manage payloads and subscriptions independently, as well as a setup wizard that allows you to configure all of these elements in one workflow.
RatesConfiguration managers can maintain rate components, rate component groups, and business rules for a company.
Single Sign-OnThe Single Sign-On (SSO) tile on the dashboard allows you to set up and manage your company's session and user authentication to permit a user to use a set of login credentials to access multiple applications.
