The Key Functions of SAP Fieldglass

With SAP Fieldglass solutions you can quickly add talent and resources to create a versatile workforce, stay competitive, drive value, and build your business. SAP Fieldglass allows companies to procure and manage an external workforce by providing faster access to more qualified candidates, allowing greater visibility into spend and supplier costs, and analyzing the total external workforce in real time with powerful data and analytics.

SAP Fieldglass offers three powerful solutions to meet all external workforce procurement needs:

  • SAP Fieldglass Contingent Workforce Management allows you to find, engage, and manage temporary workers and freelancers. Thus, you can deliver needed talent across your business, automate compliance with global labor regulations, and more securely monitor access to sensitive data and equipment.
  • SAP Fieldglass Services Procurement lets you more rapidly add and effectively manage contractors, freelancers, and service workers. At the same time, you gain visibility and control over the people-related aspects of the services you buy, so you can increase value, lower costs, and minimize risk.
  • SAP Fieldglass Worker Profile Management helps you more effectively manage your complete population of nonpayroll workers – even those not tied to a job posting or statement of work.

Contingent Workforce Management

Contingent labor provides an economical option for organizations of all sizes to maintain a flexible workforce – one that can be rapidly scaled up and down with the right talent and skills to overcome current challenges and create future opportunities.

The SAP Fieldglass Contingent Workforce Management solution enables organization to:

  • Meet market demands and reduce disruptions by quickly initiating projects and engaging talent
  • Measure your results against benchmarks with self-service simplicity
  • Automate labor rates and on- and offboarding to reduce risks, stay ahead of compliance, and increase efficiency

With the SAP Fieldglass Contingent Workforce Management solution, organizations can:

Quickly initiate and collaborate on talent requisitions

Eliminate repetitive work with customizable tools such as job description templates, qualifications, pay rates, and more. Internal stakeholders can communicate directly to confirm requisition details for streamlined collaboration and approvals. Using talent pools of prescreened candidates reduces time to hire, and tiered distribution gives premier suppliers and managed service providers (MSPs) the opportunity to respond first.

Engage with candidates, streamline vendor interactions

Receive candidates swiftly by allowing MSPs and suppliers to submit candidates directly into the system for consideration. You can use Machine Learning/AI to screen résumés to identify high-quality candidates faster while using decision-making processes to help ensure all steps are complete. Hiring managers can use negotiated rates so you can reduce maverick spend, optimize pay rates, and quickly finalize engagements.

Manage the work and payments with greater visibility

Smoothly onboard and offboard workers to help ensure compliance around sensitive data, materials, and access – with a clear chain of custody through mandated background checks, security IDs, access restrictions, and other risk-reduction measures. It’s easier to monitor progress on time sheets, expenses, milestones, deliverables, and other key project metrics. You can generate invoice details, approve invoices or time worked, and view remittance details at any time. Functionality for more than 180 countries and 21 languages supports compliance with tax laws, invoice formats, pay and rate rules, and local regulations worldwide.

Complete the process with prompt offboarding and evaluations

At offboarding, automate the termination of systems access, asset retrieval, and other proprietary information to reduce security risks. Both workers and vendors can be evaluated using performance tracking, giving workers timely feedback and helping guide future hiring. Comprehensive reports evaluating time, cost, compliance, quality, and quantity help you improve HR and procurement decision-making.

Services Procurement and Management

Services staffing in SAP Fieldglass refers to hiring temporary workers through a vendor using a Statement of Work (SOW), where these workers are managed by the vendor rather than the contracting organization.

The SAP Fieldglass Services Procurement functionality enables organizations to:

  • Reduce supply chain disruptions and meet market demands by quickly initiating projects and engaging service providers
  • Actively manage service engagements for on-time delivery and compliance with key contract milestones
  • Measure your results against benchmarks with self-service simplicity
  • Increase efficiency by automating labor rates, streamlining onboarding and offboarding, reducing risks, and staying ahead of compliance.

With the SAP Fieldglass Services Procurement solution, organizations can complete the entire services project lifecycle, from creating the service request to closing the completed project.

Initiate

The application autopopulates service orders and statement of work templates based on a wide array of pre-defined rules, including terminology, and it leverages generative AI to enhance descriptions, clauses, and payment terms by category of service. In addition, internal stakeholders can communicate directly with each other within the application to verify request details before sending them to vendors. Companies can also send requests to a selected vendor or use robust bidding features to solicit responses from a list of preferred vendors by service category.

Engage

A user-friendly interface makes it simpler for vendors to submit responses for evaluation. Side-by-side comparison of vital information such as cost, duration, location, and number and type of workers for each vendor supports easier data-driven decisions. And built-in communication tools streamline and expedite back-and-forth vendor negotiations and final agreements.

Manage

The solution automatically launches creation of appropriate security IDs, access to systems, and other onboarding tasks. Visibility of historical information helps prevent re-onboarding of workers flagged as "do not rehire." Moreover, companies can monitor progress according to various proof-of-service types – such as time sheets, expenses, or milestones and deliverables – which can be recurring or based on due date or unit price. The ability to validate and approve work from a desktop or remotely using the mobile app helps ensure that services are being performed as expected. In addition, generate invoice details, approve invoices or time worked, and view remittance details throughout the services engagement.

Complete

Offboard workers using prompt automated termination of systems access, as well as asset-retrieval and other end-of-assignment tasks, reducing security risks. Plus, performance-tracking capabilities enables buyers to give vendors timely feedback on workers and the services they provided. After closing the service request, analytical dashboards provide a view of remaining spend, service request budget, and other insights.

Worker Profile Management

Profile Worker is a term specific to SAP Fieldglass that defines a worker who is considered non-transactional, which means they do not use time sheets, expense sheets, or any type of invoicing through the system. Typically, companies will utilize profile workers simply for quick and easy headcount tracking and reporting purposes.

The SAP Fieldglass Worker Profile Management application bridges the gap between full spend under management and decentralized control of the workforce. It allows companies to track and manage nontraditional workers who are not tied to a job posting or statement of work in the SAP Fieldglass application. As a result, they gain greater visibility and control over these workers – who do not submit time sheets or expense sheets in the system – in order to effectively manage headcount, reporting, and on- and offboarding tasks.

An SAP Fieldglass worker record for a Profile worker. The SAP Fieldglass Profile Worker solution does not require a work order or invoice, it’s essentially a designation for a specific type of worker, indicated on the record by a small orange button that says P Worker.

Workers tracked under this category are distinct from Contingent workers (a temporary worker who is directly managed by the buyer organization) and Services workers (a worker hired to perform a specific service defined by a specific contract) in that they often aren’t paid for or directly engaged by the organization that is tracking them.

Companies can use the SAP Fieldglass Worker Profile Management solution to:

  • View and maintain a single, standardized record of your external workers
  • More accurately report on nonemployee workforce data
  • Centralize access to worker data to manage headcount and compliance
  • Automate tasks at onboarding, such as completing background checks and security training
  • Track retrieval of company assets at offboarding, such as computers and security badges
  • Help enforce compliance to policies, such as tenure and rehire eligibility
