Completing the SOW

Reviewing and Submitting the SOW

She has entered and confirmed details and rules, master data, legal terminology, and payment characteristics. The first step in creating an SOW is defining as much of the project as possible. Things such as Project Scope, Deliverables, Timelines, Expectations and as many details as possible should be planned out before starting the SOW. For instance, WorkingNet recently underwent an expansion and now requires a new data center to support an increased data load. Since their in-house Network Engineering team is engaged in revenue generating business activities, WorkingNet will need to outsource this project for completion. Patricia, the director of Networking and Network Security for WorkingNet, will be overseeing the design and build out of the new data center. She needs to engage a third-party vendor to manage the project. Before she begins creating the SOW, she works with Kiri from reCrewIT, her preferred vendor, to outline in detail exactly how reCrewIT will provide the services necessary to build the new data center space. The project will take a full month, from August 1st through to August 31st, and is budgeted at US$250,000. A payment of US$75,000 will be made at 50% completion, and a payment of US$150,000 will be made at completion. A US$100 per hour will also be budgeted for Network Testing before the new data center is deployed. The workers needed will include a Lead Project Manager, two Network Engineers and five Associate Engineers. Patricia will use this information to create an SOW for this project in SAP Fieldglass. At the start of any new SOW being created in SAP Fieldglass, there are three main elements that a buyer must choose in order to determine some of the specifics of the agreement: the SOW Classification, the Supplier they wish to engage, and the SOW Template that drives defaulted data elements and hard-coded rules. Classifications are used to organize SOW Templates and Suppliers that provide services. They allow organizations to align supplies to specific SOW Templates, so that when an SOW is created for say an IT project, like the one WorkingNet is undertaking, SAP Fieldglass only lists suppliers who provide IT services. Patricia has configured the Defined By setting of the SOW to reflect both Buyer and Supplier Collaboration, as well as having the SOW Details tab reflect the SOW rule Skip Collaboration Asset to No. Based on this configuration, the created and submitted SOW is now sitting with Kiri from reCrewIT for their review and response. Note that the Supplier and Buyer review can go back and forth as many times as needed until an agreement is reached regarding both the characteristics and clause details. Kiri gets the notification that a Statement of Work has been submitted so she reviews the details of the SOW and clicks Respond when she is ready to input her response. This gives her the opportunity to review what has been entered and make any corrections or additions if necessary. In this case Kiri has no changes so she continues on and reviews the Clauses and Characteristics tab, redlining or making amendments for WorkingNet's approval as needed. Kiri does not see any changes required so she continues reviewing until finally she submits her SOW Response. At this point, the SOW is sent back to Patricia in Buyer Review status. Patricia is notified that reCrewIT has responded to her Statement of Work and informed her that review is required. Since Kiri made no changes and terms are now agreed upon, Patricia can submit the SOW for approval by others at WorkingNet based on SOW Approval Configuration. When the Statement of Work is fully approved by WorkingNet, it returns once more to reCrewIT for final acceptance.
