Users are employees and partners who have access to perform actions and complete tasks in the SAP Fieldglass application. A user profile is the data record that defines a specific user within the application.

The User List page lists all of the SAP Fieldglass users registered in the tenant. It also provides tools to help with the bulk upload of user data.

The user roles indicated in this column are selectable and can take you directly to the details page of that user role so you can see all of the permissions available to it. |

The user profile contains all the User's organizational information, such as username, employee ID, job title, master data associations, permissions, system preferences, and contact information, among others.
Maria’s User record, for instance, defines who she is within WorkingNet. So as far as SAP Fieldglass is concerned, Maria’s user profile IS Maria!
5 | Actions buttons allow admins to take certain actions on a user profile, such as editing, closing, or copying the selected user’s record; creating a new user; as well as assigning a Configuration Manager role to the selected user. |

SAP Fieldglass allows for multiple User profiles to be created all at once. To do that, you’d download what’s called a User connector file. A user connector file is essentially a template that enables customers, suppliers and MSPs to upload multiple users into SAP Fieldglass, replacing the need for entering users one by one through the application’s UI.

When adding users in bulk through the User Upload you will be working with .CSV files (Comma-Separated Values file). Comma Separated Values files use commas to separate the values contained in them. CSV files can be edited in a number of applications but are most commonly edited in Microsoft Excel, so the commas are unnecessary.
Appearing as a spreadsheet, the CSV file places all of the fields required in the User Account setup process into separate columns. You would add the information for all of the new Users you want to create into the columns, with each new user on a separate row.
2 | Modification Type defines the type of modification you are making to the record. Valid Values are: A = Add, U = Update, D = Delete, Blank = If the username exists, SAP Fieldglass identifies it as an update. If the Username is new, SAP Fieldglass identifies it as an add. |
3 | Username is a mandatory field for every upload. Since usernames need to be unique across all users that access SAP Fieldglass, it’s important to make usernames for your tenant unique. It’s recommended that you append your company’s SAP Fieldglass tenant code to the end of all usernames to ensure there are no duplicates. For example, if WorkingNet’s tenant code in the application is "WRKT" and they want to use employee names as the base of their username, then employee Manee Chen might have the username: ManeeChen_WRKT. |

5 | The Role Name field must include the value of a valid User Role in the buyer’s tenant. |

When you’ve finished formatting the .CSV file, you’ll return to the User List Page and select the Upload File button. The application will process the file and a system audit trail will indicate whether the upload was successful or not.
There are times in a company’s workflow where they may need to allow temporary access to users within the application. For example, if someone Is out of office but has work items that need to be completed and don’t want their absence to hold up their processes.
Proxy User functionality allows users to temporarily reassign certain tasks to other users. This gives the assigned proxy user the ability to perform those specified tasks on behalf of the original user.
In some instances, there’s a need for slightly more permanent, and broader, access than the Proxy User access allows. For example, if a user within the application has a full-time assistant who often completes tasks for them. In this case, the user would want to assign a Delegate.
Delegate User functionality allows the delegated user to essentially step into the original user’s account and take any action the original user can take and see any data that user is able to see.
The process of adding a Delegate is similar to that of adding a Proxy: you would open the My Profile page, select Edit in the Delegates section, then select the Add Delegate link on the Delegates page
When a user is assigned as a delegate, the delegator will appear in the delegated user’s profile as a linked account. The delegate can then select the user profile and get access to that user’s account.
It’s important to note that any user assigned as a Delegate will inherit the user’s visibility and permissions when acting as a Delegate user.
This means they may have more visibility and permissions than their regular user account when taking action as a Delegate.
