Objective

After completing this lesson, you will be able to schedule a report and customize the email notification that is sent for it.

Scheduling Reports

There may be times when a user, or even a group of users, may need the same report on a reoccurring basis, like weekly, monthly, quarterly, etc. By using report Schedules, organizations are able to establish a reoccurring, automatic report execution that delivers the report to those users based on a set schedule and cadence.

Delivery Types

There are three delivery types, or formats, the scheduled report can be delivered in. When a report schedule is created, a delivery type is selected which determines if the report should be emailed through a downloadable URL, as an Attachment, or sent via SFTP.

URL

The URL delivery type provides a temporary hyperlink within the schedule report email where users are able to download the report file. The URL becomes inactive after a period of time, ensuring only the most accurate data is available.

Note: If a URL report schedule has not been accessed for an extended period of runs, the schedule’s creator is notified and the URL schedule is deactivated.
AttachmentBy default, companies can send up to 25 scheduled Attachment reports within a 24-hour period. Once the limit of 25 is reached, the 26th report is sent as a URL instead.
SFTPSecure File Transfer Protocol (SFTP) report option allows scheduling the execution, runtime, and location of your reports automatically. SFTP is a secure file transfer protocol that uses secure shell encryption to provide a high level of security for sending and receiving file transfers.

Schedule a Report

At WorkingNet Networking Inc., a manufacturer of data networking equipment, Mateo, and employee of the Program Office, continues to get the same report requests every month from a group of managers. He decides the reports should be scheduled to run automatically each month and delivered to the group of managers.

He asks you, WorkingNet’s administrator for SAP Fieldglass, to set the report schedule.

Report email notifications from SAP Fieldglass are customizable. Tailoring the language, formatting, and content that accompanies a scheduled report can help provide clarity on the purpose of the report and context for the data within it.

Customize an Email Notification for a Scheduled Report

After scheduling the Current Worker Details report for the group of hiring managers, Mateo notices that the email notifications are very general and may be missing some crucial context. To help, he investigates how to customize the messaging being sent out with the Report URLs.

As the Administrator for SAP Fieldglass, here is how you would customize the message that accompanies a scheduled report.

Webservices

For some clients, analytical data cannot always be manually executed or scheduled to be delivered to a given audience at a specific time. However, through the use of Webservices, SAP Fieldglass provides an organization with the ability to directly call or execute and run a given report via an API. This allows the company an ability to request the information in a real time capacity without a need to access the application via the UI directly. Through a specific configuration of a report or multiple reports, the application can allow for this particular access and functionality to apply.

For instance, if Mateo wants to be able to run My Active Workers report via API, he’ll select Yes on the 'API Enabled Flag' field when editing the report.

Setting the flag to yes will make the report available for API.
