Including Subtotals in the Planning View

Objective

Subtotals

You can use time-based totals and attribute-based totals when you set up or edit your planning view.

Display of data using time-based totals and attribute-based totals enhances the usability of the planning views.

Display the values in totals based on the key figures and attributes that define a planning level. You can choose this option in the Planning Level dialog, by choosing either the Total Before or Total After option in the list of selected attributes.

The value that has been set for the global configuration parameter MAX_SUB_TOTALS in the parameter group PLAN_VIEW determines the number of attributes that can display totals in a planning view.

The global configuration parameter that controls the number of possible time-based totals is MAX_TIME_LEVELS. Using the time-based totals, you create a flexible time axis, so that you can set up your planning view to display time periods on different time levels. For example, you can set up your planning view so that it displays the current quarter in monthly periods, the next quarter in quarterly periods, and periods further ahead in the future in annual periods. Note, that each total counts as a separate time level, so in this example, it means that you are using six time levels.

For this course, the parameter value is set to 4.

Note that if a large number of time profile levels are enabled or attribute-based totals are used, it might have a detrimental effect on system performance.

An example of subtotals.

Restrictions

  • The values of attribute-based totals that you change interactively in the planning view are only updated in the system when you save the data or run a simulation.
  • You can use the attribute-based total values to reverse calculate the values of the individual key figure. If you change the number of the attribute-based total and run a simulation, the values of the relevant key figures are updated as well.
  • You can change the values of attribute-based totals on one level in one simulation run.
  • It is not possible to change the values of the attribute-based total at the highest attribute level in the planning level.

    1. In the Excel UI, log on to your ZIBPADDON planning area (you may already be logged on).

    2. Open your Sales Forecast favorite.

    3. Go to Edit ViewEdit Planning View.

    4. Remove key figures: Actuals Qty, Sales Forecast Qty, and Sales Fcst Rev.

    5. Modify Attributes, time, and filter to match the values provided in the table and choose OK to view the results.

    6. Go to FavoritesAdd and save this file as Cons Demand with Totals ##.

Use the Flexible Time Axis in Planning Views

Business Example

In this exercise, you will see an example of using global parameters to provide functionality for your business. Your planners want to have a flexible timeline in their planning views. They would like to see monthly buckets in the short term, followed by a yearly bucket.

Steps

  1. Modify your favorite from exercise 1, so that monthly buckets for the current year are followed by a yearly bucket after that. Use the data from the table:

    1. In the Excel UI, log on to your ZIBPADDON planning area.

    2. Open your Sales Forecast ## favorite.

    3. Go to Edit ViewEdit Planning View.

    4. If you have subtotals from the previous exercise, remove them.

    5. On the Time tab, on the first line, select Period and Total in the What to Show column and enter "Label for total as Month Total". Choose the Month as a time period and Fixed under Rolling, and then choose the from the first month of the current year to the last month of the current year option.

    6. Choose Add Period and, on the second line, select Period and Total, choose the Year time period and enter "Label for total as Yearly Total" . Keep the Rolling selection and set the From and To to current year +1 to current year +2.

    7. Confirm the rest of the settings shown in the table and choose OK to view the results.

  2. Save your planning view as a favorite called Sales Forecast Flex ## and as a template with the same name.

    1. In the Planning View screen area, choose FavoritesAdd.

    2. Enter the name Sales Forecast Flex ## and choose Add.

    3. In the Templates screen area, choose TemplatesAdd.

    4. Enter the name Sales Forecast Flex ## and choose Add.

  3. Format a total column in your view.

    Choose the "Yearly Total" header and notice the property of the Yearly Total PERIODID - it's called "TOTAL_1"

    1. In the Planning View section of the SAP IBP ribbon, choose Edit ViewView Formats.

      The SAP IBP Formatting Sheet might have already been open as worked with formatting in the previous exercise(s). In that case, the formatting sheet is hidden when you select Edit ViewView Formats. Choosing to view formats again makes the tab visible.

    2. In the Member/Property Formatting section of the SAP IBP formatting section, scroll to the Column section. Locate the Formatting on Specific Member/Property line.

    3. Select the checkmark to Apply.

    4. Select Add Member/Property.

    5. Select Add Condition.

    6. In the Members and Property Selection screen, on the Members tab, use drop-down for Dimension, and choose Mixed Time.

    7. Select Yearly Total, and choose OK.

    8. Choose OK.

    9. In the new line for that specific property, apply formatting for data by setting it to a light blue background and a black font and for the label by choosing the background as dark blue and the font as white, bold.

    10. Return to your planning view and refresh to validate the changes to formatting.

    11. Update your favorite and template.
