Understanding Key Figure Editability and Key Figure Groups

Objective

After completing this lesson, you will be able to learn about key figure editability and key figure groups

Editability Horizons for Key Figures

Editability Horizons define restricted time windows in which a set of key figures in a certain planning area can be modified. Only key figures that are active, stored, and editable, can be used in editability horizons.

It is possible to define key figure specific frozen horizons to block editing of key figures.

The app Manage Editability Horizons for Key Figures is used for the creation and editing of the editability horizons. When an editability horizon is created, it can be assigned to the users via the business roles or can also be assigned directly to users.

Editability horizons can be defined as restricted and unrestricted (grants editability for all-time levels in the period ranges defined in the planning area planning horizons). If the horizon is defined as restricted, it is possible to define restrictions according to the fixed rule; when fixed from, to the rolling horizon, or unlimited – in the past or future – is selected. In the case of a dynamic rule, you can choose between planning levels and master data for defining an editability horizon.

Editability horizons can be visualized in the SAP Integrated Business Planning, add-in for Microsoft Excel, using the formatting rules for editable key figures.

The following formatting rules are available in the SAP IBP Formatting Sheet for the definition of the format of editable and non-editable cells in the planning view:

  • Default Format for Editable Cells

    Note

If the settings were created for key figure editability in the Manage Editability Horizons for Key Figures app, they are visualized correctly when using this formatting rule (as seen in the figure Editability Horizons).
  • Default Format for Non-Editable Cells

Key Figure Groups

The key figure groups can be found in the Excel add-in, in the New View and Edit View dialogs on the Key Figures tab. When you open the dialog for the first time, the key figure groups are displayed in a collapsed state on the left of the dialog panel, in a horizontal line. The Microsoft Excel add-in remembers whether the side panel for key figure groups was collapsed or expanded the last time you used it, and sets it accordingly the next time.

After you open the arrow next to Key Figure Groups, the key figure groups name is displayed. Here, you can select one or more key figure groups and then choose the key figures assigned to the groups to add to the planning view. You only see the key figures that are part of the groups that you had selected. You can find the key figures that have not been assigned to any groups, under Unassigned Key Figures.

When you open a template or favorite, the system determines the key figure groups used in the template or favorite based on the selected key figures. It only displays the key figures in the groups and not all of the available key figures. You can add other key figures by selecting another key figure group, selecting Unassigned Key Figures, or selecting the checkbox next to Key Figure Groups.

The key figure groups can be created, modified, or deleted using the Key Figure Groups app.

In addition to using the key figure groups in the Excel add-in, they can be used for the creation of the realignment projects, when using the Manage Realignment Rules app.
